Agency · Notion · Since 2024

The Notion agency. One workspace, fully used.

A Notion agency does the part a template never will: design the architecture, build the databases with relations and rollups, wire the automations, then migrate your content and train each team so people actually work in it. We run our own company in Notion, and we have shipped 150+ automations since 2024 for clients worldwide.

What we do

A Notion agency designs the system, not just decorates pages.

Anyone can buy the seats and drop in a template. Architecting a workspace that scales, building databases that connect, and getting the team to actually use it is a different job. Here are the four things we own.

Method · 4 stages

We build a Notion workspace like a system, not a scrapbook.

Most Notion rollouts die the same way: a blank workspace, a few enthusiastic pages, no architecture, no relations, and three months later it is a maze nobody trusts so the team drifts back to spreadsheets. So we treat it like a system: structured teamspaces, relational databases, templates and automations, and a rollout that trains each team on the part they use.

  • Audit · map how your team works today and where the workspace falls apart
  • Architecture · teamspaces, wikis, page hierarchy and permissions, built to scale
  • Build · relational databases, views, templates, formulas and automations
  • Rollout · migrate, train each team, and document it so adoption sticks
Walk me through the method
Signature · 5 structure rules

The Notion that still works six months in.

Most workspaces look great on demo day and fall apart by month three. The difference is never the decoration, it is the structure underneath. We run our own company in Notion every day (wikis, a lightweight CRM, project hubs), so these five rules come from actually living in it, not from a template gallery. Apply them and the workspace is still where people work six months later, instead of the thing they abandoned for a spreadsheet.

  • One source of truth. Relations, rollups and synced blocks are wired so a fact lives in one place and updates everywhere, instead of being copied by hand across pages.
  • Structure before pages. Teamspaces, hierarchy and permissions are designed first, so the workspace scales instead of sprawling into orphan pages nobody can find.
  • Every database has an owner and a view per team, so people see their own work, not a wall of rows, and nobody quietly stops updating it.
  • Templates for anything repeated. A new project, a client, a meeting note all come out of a template button, so the structure never depends on who created the page.
  • Built to be handed over. The architecture, templates and wiki live in your workspace and are documented, so your team runs and extends it without us.

What we set up

Notion at the core, your way of working around it.

We build the parts that turn a blank workspace into a connected system, then wire it to how your team already works. Here is what a real build covers.

Free audit · 60 minutes

We map how your team works, you leave with a plan.

Before quoting anything, we take 60 minutes to look at how your team works today and where information gets lost. You leave with an honest read on what Notion should run for you, what to architect first, and where it is not the right fit. Zero pitch, just a frank take on your workspace.

  • An honest read on what Notion should run for your team
  • The architecture and permissions to design first
  • The databases, relations and automations worth building
  • A ballpark on cost (from $2,000) and a timeline you can plan around
  • A frank take on where Notion is the wrong fit

Our approach

How we run a Notion workspace build.

Five steps, in order. We do not build a database before the architecture is signed off, we do not call it done before the team is working in it, and your team owns it at the end. Each step has a deliverable and you sign off before we move on.

  1. Step 1 · Workspace audit

Map how your team works and where Notion falls apart

We sit down with your team and look at how work actually flows today: where information gets lost, the spreadsheets duct-taping the gaps, the pages nobody can find. We check your current Notion (or the tools you want to replace) and your real processes. Half the value is telling you what Notion fixes and what it does not, so you do not move a workflow into a tool that will not hold it.

  2. Step 2 · Architecture

Design the structure before building a single database

We design the workspace first: teamspaces by function, the wikis that hold your knowledge, project hubs, and a page hierarchy people can navigate without a map. We set permissions so the right people see the right pages and clients only see theirs. Someone on your side signs off on the structure before we build, because re-architecting a workspace full of data later is the expensive mistake.

  3. Step 3 · Build the system

    Databases, views, templates and automations

We build the relational databases that run your work and link them with relations and rollups, set the right view per team (table, board, calendar, timeline), and add the formulas, buttons and database automations that kill the manual busywork. Templates make every recurring page identical, and synced blocks keep one source of truth from going stale across the workspace.

  4. Step 4 · Connect it

Wire Notion AI, the API and your other tools

We wire Notion AI where it earns its place (drafting, summaries, querying your wiki) and connect the Notion API and integrations so data flows between Notion and the tools you already run, instead of being re-keyed by hand. If you publish externally, we set up Notion Sites so a page or database becomes a public site without a separate build.

  5. Step 5 · Roll out & hand over

Migrate, train each team, then get out of the way

We migrate your existing content, train each team on the views and databases they actually use, and write the wiki that documents how the workspace works so new hires inherit it. Adoption, not setup, is what decides success, so we do not call it done until the team is working in it. If you want us on call for what scales next, we talk about that separately.

Proof · what the teams say

We're judged on the workspace they live in.

No certification badge to display, so we lead with what matters: feedback from the teams whose Notion workspace we built, and whether they kept working in it after we left. Our Trustpilot reviews come from those teams, not from a marketing deck.

  • The structure, templates and wiki live in your workspace, owned by your team
  • Relations and rollups designed so data stays connected
  • Each team trained on the views and databases they use
  • Trustpilot reviews come from the teams we built it for

FAQ · Notion agency 2026

The questions we get asked on repeat.

  • What does a Notion agency actually do?
A Notion agency designs, builds and rolls out a workspace your team actually works in, instead of handing you a blank Notion and a template gallery. We architect the teamspaces, wikis and page hierarchy, build the relational databases with relations, rollups and the right views, add templates, formulas and automations, connect the Notion API and Notion AI to your stack, then migrate your content and train each team. The deliverable is a workspace people adopt, not a tidy demo page nobody opens a month later.
  • How much does a Notion agency cost?
Pricing starts from $2,000 and climbs with scope: a single-team wiki with a couple of databases is nothing like a full company workspace with a lightweight CRM, project hubs, dashboards and API integrations. We skip the flat package, because the right scope depends entirely on what Notion should run for you. After a free 60-minute audit you get a precise quote and a timeline, usually between one week and six months. The Notion subscription you pay Notion directly per seat, and we design the workspace so you are not buying plan tiers you do not need.
  • Can you set Notion up as our CRM?
Yes, and for a lot of small teams a Notion CRM is plenty. We build it as linked databases: companies, contacts, deals and activities, tied together with relations and rollups so a deal shows its company, its last touch and its total value with no copy-paste. You get pipeline views by stage, reminders through database automations, and forms or the API to create records straight from your site. The honest limit: if you need heavy sales reporting, fine-grained permissions per rep, or thousands of deals recomputing live, a dedicated CRM will serve you better, and we say so in the audit.
  • Can you automate Notion and connect it with n8n or Make?
Yes, that is half of what we do, and it is why a lot of people search for a Notion automation agency in the first place. Inside Notion we set up database automations, formulas and buttons that handle status changes, date math, assignments and notifications, so the workspace updates itself. Outside Notion we connect the API through platforms like n8n, Make or Zapier, so a form submission, a new deal or an incoming email creates and updates the right record without anyone re-keying it. We have shipped 150+ automations since 2024, so this is the part we are strongest on. If a workflow does not save real time, we leave it manual rather than automate for the sake of it.
  • Is Notion the right tool for us, or are we forcing it?
Honest answer: Notion is excellent as a connected workspace for docs, wikis, lightweight databases and projects, but it is not a true relational database and not a heavy project-management tool at scale. If you need complex SQL-style queries, thousands of linked rows recomputing in real time, or hard resource-planning and Gantt dependencies for hundreds of tasks, a dedicated tool fits better. Part of the audit is telling you where Notion is the right fit and where it is not, before you commit.
  • What are relations and rollups, and why do they matter?
Relations link records across databases (a task to its project, a deal to its company), and rollups pull a value from the linked records up to where you need it (total hours on a project, deals per account). They are what turn Notion from a pile of pages into a connected system where one update propagates everywhere instead of being copied by hand. Most workspaces that feel messy are missing this layer. Designing relations and rollups well is the difference between a workspace that scales and one that sprawls.
  • Will you migrate our existing content into Notion?
Yes, and we do it as part of the rollout, not as an afterthought. We move your existing docs, spreadsheets and the tools you are replacing into the new structure, map old data into the right databases, and clean up the duplication that built up over the years. Migration is where a lot of workspace projects stall, so we plan it in batches: the team gets a useful, populated workspace early instead of waiting on a big-bang import before anyone can use it.
  • How long does a Notion workspace project take?
For a scoped build (architecture, core databases, key templates and training), count a few weeks: audit and structure first, then databases and automations, then migration and training. A full company workspace with a CRM, project hubs, dashboards and API integrations runs longer. We split into batches so your team is working in a useful part of the workspace early, rather than waiting on the whole thing before anyone opens it.
  • Do you train our team or just build the workspace?
Both, and the training is where adoption is won or lost. A workspace nobody knows how to drive gets abandoned for the old spreadsheet. We train each team on the views, databases and templates they actually use, write the wiki that documents how the workspace works so new hires inherit it, and stay available while the team finds its feet. Setup is the easy half; getting people to genuinely work in Notion is the half that decides whether the project paid off.
