ActiveDEMAND Zapier integrationAutomate ActiveDEMAND with Zapier.

The ActiveDEMAND Zapier integration gives you 3 triggers, 3 actions and 0 searches. Every trigger is instant, it works on the free plan, and the trap to avoid is a Zap that creates records each time a contact is merely edited.

Overview

What the ActiveDEMAND Zapier integration is for

ActiveDEMAND is a marketing platform that brings contacts, forms and campaign activity together. Through Zapier, it can start a Zap when a contact is created or edited, or when an activity is logged on a contact, and it can create contacts, form entries and activity records from another tool.

Three results worth building. A clean intake: Create Contact adds people who signed up somewhere ActiveDEMAND does not reach, such as an event tool. A form bridge: Create Form Entry posts data into an ActiveDEMAND form, so entries from another tool land next to the ones collected on your site. An activity trail: New History reacts to a chosen type of logged activity, and Create History writes your own entries on a contact.

All three triggers are instant, so the free plan's polling delay does not apply to any of them.

What Zapier does not do for ActiveDEMAND. There is no search step, so a Zap cannot check whether a contact already exists before creating one. There is no action to update or delete a contact either. And a Zap never picks up contacts or activity from before it was switched on.

Comparing tools? There is an ActiveDEMAND Make integration page, and you can also read n8n vs Zapier before choosing.

Vocabulary

Zapier vocabulary in one minute

The words below come back on every block. One plain line each.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new contact. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that creates, sends or moves something for you in an app.
Task
The unit Zapier bills: one action completed successfully. The number on your plan counts those and nothing else.
Instant vs polling
An instant trigger is reported by the app as it happens. A polling trigger is checked by Zapier on a fixed timer.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that finds something already stored in an app for later steps. ActiveDEMAND offers none on Zapier.
Connection
Your ActiveDEMAND account linked to Zapier once, then reused by every ActiveDEMAND step of every Zap you build.
Cost

What an ActiveDEMAND Zap costs

ActiveDEMAND is not a premium app, so it runs from the free plan. Zapier bills tasks, and only actions produce them.

  • Free plan100 tasks a month, unlimited Zaps
  • TriggerNever costs a task
  • Each successful createOne task
  • Filter or second actionPaid plan needed

A new contact, an edit or a logged activity starting the Zap never costs a task. Each create that goes through counts once, so a Zap that logs a history entry for every new contact uses one task per contact. A create that fails is not counted. The free plan builds two-step Zaps only, one trigger and one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below concerns polling triggers only; the three ActiveDEMAND triggers are instant.

Connect

Connect your ActiveDEMAND account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. Search for ActiveDEMAND by name in the dialog and pick it from the results to move on.

  2. 02

    Sign in to ActiveDEMAND

Click Add connection. In the tab that opens, sign in to ActiveDEMAND with the account that holds the contacts, forms and history types your Zaps will work with.

  3. 03

    Grant Zapier access

Allow Zapier to use the account. Every ActiveDEMAND step in every Zap then reuses this connection, so you set it up once and simply select it when you build the next Zap.

First Zap

Your first Zap: tag every new contact and file it in an onboarding form

GoalEach new contact gets a history entry that says where it came from, then lands in the ActiveDEMAND form your team uses to onboard people.

  1. 01

    Build: set the trigger

Start a Zap with Build, pick ActiveDEMAND and the New Contact event, then your connection. Add a test contact in ActiveDEMAND first so there is something to pick.

  2. 02

    Test the trigger

Click Test. Zapier brings back the three most recent contacts of the account. Pick a real one so the next two steps are set on actual data.

  3. 03

    Add the history entry

Add ActiveDEMAND with Create History, choose a History Type that no New History Zap watches, and point it at the contact from step 1 so the entry lands on the right record.

  4. 04

    Add the form entry

Add Create Form Entry, pick the onboarding form you prepared and map the contact details from step 1 into it. Two actions make this a multi-step Zap, so a paid plan.

  5. 05

    Test and publish

Test each step once and read what came back, then check the contact and the form in ActiveDEMAND. Click Publish to switch the Zap on for every new contact.

Triggers

ActiveDEMAND triggers on Zapier

3 events start a Zap when something happens in ActiveDEMAND, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created in ActiveDEMAND.”

Each contact created in ActiveDEMAND starts the Zap, once per new person in the account. It is the natural entry point for anything that should happen once per person.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a SaaS sales team wants every fresh lead announced to the account executive who covers that region.
Watch out
never answer it with Create Contact on the same account, or each new contact creates another one and the Zap loops.
2

New History

Instant trigger

In Zapier“Triggers when a new history item is created in ActiveDEMAND.”

ActiveDEMAND logs what a contact does as history items. This trigger starts the Zap when a new item of the type you choose is created, so you follow one kind of activity rather than everything.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a training company wants a coordinator told each time a contact records the activity type it uses for course sign-ups.
Watch out
the History Type is required, and a Zap that creates history of that same type on the same account sets itself off again.
3

Updated Contact

Instant trigger

In Zapier“Triggers when an existing contact is updated in ActiveDEMAND.”

This one fires when an existing contact is changed, not when one is added. It suits work that should follow the life of a record after it exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keeping a copy of contact details current in another tool, where the next step updates rather than adds.
Watch out
it starts on every edit, so never let it create a contact, a form entry or a history item, or each edit leaves a duplicate behind.
Actions

ActiveDEMAND actions on Zapier

ActiveDEMAND gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact.”

Adds a new contact to ActiveDEMAND with the details mapped from an earlier step.

When to use it
people who register through a webinar or booking tool should become ActiveDEMAND contacts without an export.
Watch out
with no search step available, the Zap cannot check first whether that person already exists in the account.
2

Create History

Action

In Zapier“Create a new history item for a contact.”

Writes a new history item on a contact, so an event from another tool shows up in that person's activity.

When to use it
record a signed quote or a support call on the contact so marketing sees it in that person's activity.
Watch out
the History Type is required; pick one your New History Zaps are not watching, or you build a loop.
3

Create Form Entry

Action

In Zapier“Creates a new web form entry.”

Posts a new entry into an ActiveDEMAND web form, next to the entries collected on your own site.

When to use it
leads captured on a partner's landing page should land in the same form as the leads from your own site.
Watch out
the target form is required, so it has to exist in ActiveDEMAND before you set up the step.
When it breaks

When an ActiveDEMAND Zap breaks

Zapier attaches no help article and no app-specific limit to ActiveDEMAND. The cases below come from the required fields and from how Zapier behaves in general.

Trouble here is about loops, duplicates and timing. Check these six cases before you publish.

  • The contact loop

A Zap that starts on New Contact and runs Create Contact on the same account creates a contact that starts it again, and burns through your tasks.
  • The history loop

New History watching a type, plus Create History writing that same type on the same account: every entry the Zap writes starts it once more.
  • Duplicates from edits

Updated Contact fires on each change. Hooked to a create action, it adds a new record every time someone edits a contact.
  • Missing type or form

History Type and the ActiveDEMAND form are required boxes. If the type or form was never created in ActiveDEMAND, the step cannot be set up.
  • Contacts from before the Zap

A Zap only reacts to what happens after it is switched on. Contacts and history created earlier are never sent; moving them is a separate job.
  • A bulk import held back

After a bulk import or a migration, a trigger can return a huge batch at once, and Zapier's flood protection can hold it back instead of running it.

FAQ

ActiveDEMAND and Zapier: common questions

01Is the ActiveDEMAND Zapier integration free?
Yes, ActiveDEMAND is not a premium app, so it works on the free Zapier plan. That plan comes with 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: on the free plan, a Zap has two steps, one trigger and one action. Add a filter or a second action and it becomes multi-step, which needs a paid plan. Since all three triggers are instant, the free plan's polling delay does not slow them down.
02How many tasks does an ActiveDEMAND Zap use?
One task per action that succeeds, and nothing for the trigger. A new contact, an edited contact or a logged activity starting the Zap costs nothing. A Zap that writes one history entry per new contact uses one task per contact; with two actions it uses two. A create that fails is not counted against your plan. To estimate a month, multiply the contacts or activities you expect by the number of actions in the Zap.
03Is ActiveDEMAND on Zapier real time?
Yes. New Contact, New History and Updated Contact are all instant triggers: ActiveDEMAND tells Zapier as soon as the event happens, and the Zap starts straight away. The polling interval of your plan, 15 minutes on the free one, does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The actions then follow at once, so there is no wait for a check anywhere in the chain.
04What does it take to connect ActiveDEMAND to Zapier?
An ActiveDEMAND account, plus access to anything you want the Zap to touch that you do not own. You connect from the Apps page of Zapier with + Add connection, sign in to ActiveDEMAND in the tab that opens and grant access. If you plan to use New History, Create History or Create Form Entry, create the history types and forms in ActiveDEMAND first, because those steps ask for them. Then pick that account when the steps ask.
05Why does an Updated Contact Zap create duplicates?
Because it fires on every edit, not once per contact. If the action after it creates something, a contact, a form entry or a history item, each change to the contact leaves a new record behind. Two edits in a row mean two new records. Keep Updated Contact for steps that update or notify in another tool, and use New Contact for anything that should only happen once per person.
06What if the ActiveDEMAND operation you need is missing?
Then the built-in steps cannot do it. On Zapier, ActiveDEMAND has three triggers and three actions, and every action creates something, with no search step and no update or delete. You cannot, for example, check whether a contact exists before adding it. See whether your goal can start from one of the three triggers, and compare what other automation tools expose for ActiveDEMAND before working around the gap. Sometimes a different trigger reaches the same result.
07Zapier, Make or n8n for ActiveDEMAND?
It depends on your criteria, not on a winner. Zapier is quick to set up when three instant triggers and three create actions cover the job, and instant triggers mean no polling delay even on the free plan. If your team already runs Make or n8n, the test is the same there: check that the ActiveDEMAND operations it offers cover the contacts, forms and history you need before moving anything, and keep the tool already in place when both do the job.
