What the Admin Shortcuts Zapier integration actually does
Admin Shortcuts is a Shopify app that adds your own buttons to the pages of the Shopify admin. Each button can send custom data from the page it sits on. With Zapier, a click becomes the start of an automation: the person who clicks decides when it runs, instead of waiting for an event to happen on its own.
Three things store teams build on the New Button Click trigger:
An escalation button for support. A support agent looking at a tricky order clicks a button, and the warehouse lead gets a Slack message with what the page passed along. No copy-paste, no forgotten ticket.
A one-click supplier request. The buyer clicks a button on a product page and the product's data lands in an email draft to the supplier, ready to check and send.
A manual review log. Each time someone flags an order for a second look, a row goes into a shared sheet, so the manager has one list of every flagged order. Add a filter (a step that lets the Zap continue only when a condition is met) to log only the clicks of one button.
What Zapier does not do with Admin Shortcuts: there is no action and no search. A Zap cannot create a button, change one or read your button list. The integration only listens to clicks. Should you need either one, the trade-offs sit in n8n vs Zapier and Make vs Zapier.
Zapier words, in plain English
A button is easy to click; the words around it in Zapier less so. Here are the seven that matter for this one.
- Zap
- Your automation on Zapier. For this app, a button press starts it, and the actions you chose follow every single time someone clicks.
- Trigger
- The event that starts the Zap. Here, a click on one of your Admin Shortcuts buttons; once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
- Task
- How Zapier measures use: one action that completes is one task. Clicks are not tasks, so only what happens after the press counts.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens. A button click is instant.
- Filter
- A gate after the click. If the data the button sent meets your rule, the Zap carries on; if not, it stops there and nothing else runs.
- Connection
- Your Admin Shortcuts account, linked to Zapier once and then reused by every Zap that needs it.
What it costs to run
Admin Shortcuts is not a premium app, so it works on the free plan. Clicking is free; what follows the click is not.
- Premium appNo, works on Free
- Free plan tasks100 per month
- Free plan Zap size2 steps: 1 trigger, 1 action
- Cost of a click0 tasks
The trigger itself never costs a task, however many times a button is pressed. Each action that succeeds after the click is one task, and an action that fails is not counted. The free plan gives you 100 tasks a month, but it only builds two-step Zaps: one trigger, one action. Add a filter, a second action or a search and the Zap becomes multi-step, which needs a paid plan. Decide that before rolling buttons out to the whole team.
Connect Admin Shortcuts to Zapier
- 01
Open your Apps page
Sign in to Zapier and open the Apps page from the side menu. Click + Add connection, and a search dialog pops up. Your Admin Shortcuts sign-in will be needed two steps later.
- 02
Pick Admin Shortcuts
Type Admin Shortcuts in the search box, select it in the list of results, then click Add connection. A new browser tab then opens on the Admin Shortcuts side.
- 03
Sign in and allow access
Log in to Admin Shortcuts in that tab and grant Zapier access to the account. The connection now shows on the Apps page, ready for any Zap that starts on a click.
Your first Zap: an escalation button for support
GoalPost a Slack message to the warehouse channel each time a support agent clicks the escalation button on an order page.
- 01
Create the Zap
Start a new Zap, choose Admin Shortcuts as the app that starts it and pick New Button Click as the event. Select your connection, then the escalation button.
- 02
Click, then test
Click the button once in the Shopify admin, then run the test. Zapier brings back the three most recent clicks, so you map fields from real data, not a blank template.
- 03
Add the filter
Click the plus icon, add Filter, then set the field to check, the rule and the value. Pick a text rule for text and a number rule for numbers, or it never passes.
- 04
Add the Slack step
Add the action that posts in the channel and place the clicked page's data in the message. The filter makes this a multi-step Zap, so it runs on a paid plan.
- 05
Test, then publish
Run each step once and read what came back. When the test message looks right in the channel, click Publish to switch the Zap on.
The Admin Shortcuts trigger
1 event starts a Zap when something happens in Admin Shortcuts, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Button Click
Instant triggerIn Zapier“Triggers when an Admin Button is clicked.”
Starts your Zap each time someone presses one of your Admin Shortcuts buttons inside the Shopify admin, and hands over the custom data of the page where the click happened.
When an Admin Shortcuts Zap breaks
Admin Shortcuts comes with no help article and no limit of its own on Zapier. A button Zap still trips on the same general traps as any other.
Each case below starts from the click and ends in another app, so test with a real press before you trust it. For anything that persists, open Zapier troubleshooting.
Earlier clicks are not replayed
A Zap only reacts to what happens after it is switched on. Clicks made before publishing are gone; nothing that already existed is picked up.The Zap loops on itself
A button Zap is safe as long as no step writes into a place a trigger watches. If one does, the Zap sets itself off again and again and drains your tasks.A burst of clicks is held back
When a trigger suddenly sends a huge batch at once, Zapier's flood protection can hold the run back instead of firing every action straight away.Filtering clicks needs a paid plan
The free plan stops at two steps. A filter or a second action turns the Zap into a multi-step Zap, and that needs a paid plan to run.
