What the AgendaForge Zapier integration actually does
AgendaForge is an event planning tool built around three things: the people you invite, the sessions on your program and the sponsors who fund the event. Zapier listens to it. When a contact, a session or a sponsor is created, changed or deleted, a Zap (an automation with one starting event and one or more steps after it) passes the news to another app.
Three results people usually want from it. A live program channel: Session Created and Session Updated post every new or rescheduled talk into the chat tool your crew already reads, so nobody works from last week's agenda. A speaker roster that keeps itself: Contact Created and Contact Removed add or flag rows in a spreadsheet the logistics team prints. A sponsor pipeline your sales team trusts: Sponsor Created opens a record in the CRM the moment the deal lands in AgendaForge.
Now the part the app page leaves out. Zapier only reads from AgendaForge. There is no action to create a session, no step to edit a contact, no search to look one up. Information flows out of AgendaForge, never back in. If your plan is to fill the agenda from a form, Zapier cannot do it with this app today.
The other thing to know: nothing here waits on a timer. All nine triggers are instant, which matters more on a cheap plan than any other detail on this page.
If you are weighing other tools for the same job, the Make vs Zapier and n8n vs Zapier comparisons are the next read.
Zapier words, in plain English
Seven terms come back on every line of this page. One sentence each.
- Zap
- The automation you build: one starting event, then one or more steps that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it and does nothing until it shows up.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you in another app.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those, nothing else.
- Instant vs polling
- An instant trigger is reported by the app the second it happens. A polling trigger is checked by Zapier on a timer instead.
- Filter
- A step that lets the Zap continue only when what arrived matches a rule you set, and quietly stops it otherwise.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What it really costs
AgendaForge is not a premium app, so it runs on the free plan.
- Premium appNo
- Free plan100 tasks a month, two-step Zaps
- Trigger cost0 tasks
- Instant triggers9 of 9
The trigger never costs a task. You pay one task per action that goes through, and an action that fails is not counted. The free plan gives you 100 tasks a month but only two-step Zaps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only, so none of the nine AgendaForge triggers waits on it.
Connect AgendaForge to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your AgendaForge account linked once, then reused by every Zap that needs it.
- 02
Pick AgendaForge
Type AgendaForge in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the AgendaForge side, where the sign-in happens.
- 03
Sign in and allow access
Log in to AgendaForge in that tab and grant Zapier access to the account. You need an AgendaForge account, plus access to any event you do not own yourself but want the Zap to watch.
Your first Zap: new sessions straight to Slack
GoalEvery session added to the agenda shows up in your event channel, but only the ones that match a rule you set.
- 01
Build the trigger
Create a Zap, pick AgendaForge as the app and
Session Createdas the event, then choose the connection you just created. - 02
Test it on a real session
Click test. Zapier brings back the three most recent sessions in your account, so you map the next steps on a real one instead of guessing.
- 03
Add the filter
Use the plus icon, choose Filter, then set the field, the rule and the value. Pick a text rule for a text field, or the filter never passes. This makes the Zap multi-step.
- 04
Add the Slack step
Pick Slack and the message action, choose the channel, then drop the session details from the trigger into the message text.
- 05
Test, then publish
Run each step once, read what came back, then click Publish. The lightning bolt in the editor confirms the trigger is instant.
The 9 AgendaForge triggers
9 events start a Zap when something happens in AgendaForge, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.
Contact Created
Instant triggerIn Zapier“Triggers when a contact is created on platform.”
Starts your Zap each time a new person lands in your AgendaForge contacts, whether a speaker, a moderator or a guest you just invited. The record arrives in Zapier ready to copy into another app.
Contact Removed
Instant triggerIn Zapier“Triggers when a contact is deleted.”
Fires when a contact is deleted from AgendaForge. It is the signal to clean up everywhere else, so a speaker who dropped out does not keep receiving logistics emails from another tool.
Contact Updated
Instant triggerIn Zapier“Triggers when a contact is updated.”
Reacts to any edit on an existing contact. A corrected job title, a new company name or a fixed spelling all count, and each one starts a fresh run of the Zap.
Session Created
Instant triggerIn Zapier“Triggers when a session is created.”
Kicks off as soon as someone adds a talk, a workshop or a panel to the agenda. It is the most natural starting point if your goal is to broadcast the program as it grows.
Session Removed
Instant triggerIn Zapier“Triggers when a session is removed.”
Runs when a session disappears from the program. Cancelled talks are where attendees get confused, so this is the trigger that stops a ghost slot from staying on someone's calendar.
Session Updated
Instant triggerIn Zapier“Triggers when a Session is updated.”
Goes off whenever a session changes: a new time, a different room, a swapped speaker. Each of those edits starts its own run.
Sponsor Created
Instant triggerIn Zapier“Triggers when a sponsor is created.”
Triggers when a sponsor is added to your event in AgendaForge. For a partnerships team, that moment is usually when the follow-up work starts: contract, logo, booth, invoice.
Sponsor Removed
Instant triggerIn Zapier“Triggers when a sponsor is removed.”
Picks up the deletion of a sponsor from the event. Use it as the cue to pull their name from everything that was built on it, before printed material or the website still thanks a partner who left.
Sponsor Updated
Instant triggerIn Zapier“Triggers when a sponsor is updated.”
Responds to any change on an existing sponsor record, such as an upgraded package or a new contact person. It keeps finance and marketing working from the same version of the deal.
When the AgendaForge Zap breaks
Zapier links no help article to AgendaForge, so the failures below are the general ones that hit this kind of setup.
None of them is rare. If a run fails and the cause is unclear, the Zapier troubleshooting page goes deeper.
Your existing agenda never arrives
A Zap only reacts to what happens after you switch it on. Sessions, contacts and sponsors already in AgendaForge stay where they are; moving them is a separate job.A bulk import gets held back
If you load a full program or a big contact list at once, the trigger suddenly sends a large batch, and Zapier's flood protection can pause it for review. No way to write back
With 0 actions and 0 searches, a Zap cannot update or look up anything in AgendaForge. Any fix has to be made inside AgendaForge itself.A failed action costs nothing
If the step after the trigger fails, the task is not counted. The work still did not get done, so a failure on the other app means that update is simply missing there.
