What the Bellbird Zapier integration is for

Bellbird runs video calls in the browser: you send a link, the other person clicks it, and nobody has to sign up. On Zapier, it plugs into a Zap, an automation where one event in an app sets off steps in others. Here Bellbird is never the starting point. It only answers, by generating a call link on request.

So what comes out of it, in practice? Three outcomes, all from Create Meeting Link. A booking confirmation that already carries the call link: someone reserves a slot in your scheduling tool, the Zap makes a link and your follow-up email includes it. A support handoff: a ticket is tagged as needing a call, and the link is posted in the ticket thread so the agent can jump on. A sales record with its room: a new deal appears in your CRM and the link is saved on it, ready for the first demo.

Here is the limit nobody spells out. Bellbird has no trigger on Zapier at all. Nothing that happens in Bellbird (a call starting, a guest joining, a call ending) can kick off a Zap. You cannot log call durations, send a recap when a call ends, or watch who attended. The integration works in one direction only: other apps ask, Bellbird hands back a link.

That makes the design simple. Pick the moment that should produce a call, put Bellbird right after it, and send the link wherever people will see it.

Each link Bellbird creates successfully counts as one task. The trigger from the other app costs nothing, however often Zapier looks for new events, and an action that fails is not billed. On the free plan you get 100 tasks a month, as many Zaps as you like, and two steps per Zap. That is exactly a trigger plus Create Meeting Link. Want to also email the link, or post it in a chat? That second action makes the Zap multi-step, which requires a paid plan, and it adds its own task each run.

    Find Bellbird in Zapier

    From your Zapier account, open Apps, then click + Add connection. In the dialog, search for Bellbird by name and select it from the list of results.

    Start the sign-in

    Click Add connection. Zapier opens a separate tab on the Bellbird side, where you log in with the Bellbird account that should own the meeting links.

    Allow access

    Grant Zapier access to that account. Once done, the connection is listed on your Apps page, and any Zap that creates a Bellbird link can pick it from a dropdown.

    Create a new Zap and choose your scheduling app as the trigger. Bellbird cannot start a Zap, so the first step always belongs to another app.

Zapier attaches no help article to Bellbird, so the risks below come from how Zaps behave in general.

Most of these do not raise an error. You notice them as a missing link, a duplicate one or a task count that drops too fast. The Zapier troubleshooting page goes through the usual fixes.

  • Past bookings get no link

    The Zap only reacts to events after you publish it. Meetings booked before that keep no Bellbird link unless you create those by hand.
  • A loop eats your tasks

    If a later step writes back into the place the trigger watches, each new link sets the Zap off again, and every round costs another task.
  • A bulk import gets paused

    Importing a large batch of bookings or deals at once can trip Zapier's flood protection, which can hold those runs back instead of processing them.
  • The link goes nowhere

    On a two-step free Zap, Bellbird creates the room but no later step shares it. Delivering the link takes a second action, and so a paid plan.

01Is the Bellbird Zapier integration free?
Yes. Bellbird is not a premium app, so it runs on the free Zapier plan, which includes 100 tasks a month and unlimited Zaps. The restriction is the two-step limit: a trigger from another app plus Create Meeting Link fits, but adding a step to email or post the link turns it into a multi-step Zap that needs a paid plan. 02How many tasks does each Bellbird link use?
One. Every time Create Meeting Link completes, it counts as one task. The trigger in front of it never costs anything, and neither do the checks Zapier runs looking for new events. If you add more actions, each successful one counts separately, so a Zap that makes a link and sends an email spends two tasks per run. A step that fails is not taken off your allowance, which keeps errors from draining the plan.
03Does Bellbird react in real time on Zapier?
Bellbird itself has no trigger, so the speed depends on the app that starts the Zap. If that app offers an instant trigger, the link is created as soon as the event happens. If it uses a polling trigger, Zapier checks it on a timer set by your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. An existing Bellbird account. In Zapier, open the Apps page, click + Add connection, search for Bellbird and click Add connection. A new tab opens where you sign in to Bellbird and approve Zapier's access. After that, the connection appears in every Zap that uses Bellbird, so you set it up only once. Your guests, on the other hand, need nothing at all: they open the link in a browser and join the call.
05Can Zapier react when a Bellbird call starts or ends?
No. Bellbird offers no trigger on Zapier, so calls starting, guests joining or calls ending stay invisible to your Zaps. You cannot use them to log attendance, send a follow-up after the call or update a CRM when it finishes. Any such follow-up has to be started from another app, such as your calendar or your CRM, never from Bellbird itself. Bellbird only steps in once that other app has started the Zap.
06What if the Bellbird operation you need is missing?
Then it cannot be done on Zapier today: the only operation available is Create Meeting Link. No setting adds another one. The practical move is to build the rest of the workflow in the apps around Bellbird, such as your calendar, CRM or help desk, and keep Bellbird for the single step it covers. For anything that has to happen inside Bellbird, check whether another automation tool offers it, or do that step by hand.
