What the Fantastical Zapier integration really does
Linking Fantastical to Zapier means one thing: when something happens to a booking in Fantastical, another app hears about it straight away. A booking gets requested or confirmed, a proposal is accepted, a guest answers an RSVP. Zapier catches that moment and hands it to the tool where your team actually works.
Three results come up again and again. First, a team that stops checking the calendar by hand: Appointment Confirmed drops each new booking into a chat channel, so the person on duty sees it without opening Fantastical. Second, a request queue someone owns: Appointment Requested turns each pending request into a line in a tracker, where it waits until somebody answers it. Third, an attendance list that builds itself: RSVP Response logs every reply in a sheet, and the headcount is ready before the event.
A fourth one, quieter: Proposal Confirmed closes the loop on a meeting you suggested, so the follow-up email or the prep task starts the moment the other side says yes.
Now the part the app page does not spell out. Fantastical on Zapier only talks; it never listens. There is no action, so no Zap can create, move or delete an event in Fantastical. There is no search either, so a Zap cannot look up an existing booking halfway through. If the plan was to push events into Fantastical from a form or a CRM, this integration will not do it (no Fantastical card can come after the first one).

- The step that does something once the Zap has started. Fantastical has none on Zapier, so every action here belongs to another app.

Each action that works counts once; one that fails counts for nothing. The free plan gives 100 tasks a month, as many Zaps as you like, and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes a multi-step Zap, which needs a paid plan. Fantastical is not a premium app, so it runs from the free plan, and only the actions placed after it touch your monthly count.
Connect Fantastical to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a Fantastical account first, plus access to any calendar you do not own and want the Zap to watch.

Pick Fantastical
Type Fantastical in the search box of the dialog, select it, then click Add connection. A new tab then opens on the Fantastical side for the next part.

Sign in and allow access
Sign in to Fantastical in that tab and grant Zapier access to the account. The connection now shows on the Apps page, and every Fantastical step you build reuses it.
Your first Zap: confirmed bookings in Slack

Create the Zap
Start building a new Zap and pick Fantastical as the app that starts it. Choose the event Appointment Confirmed and select your Fantastical connection.

Test the trigger
Run the test. Zapier pulls the three latest confirmed appointments, so pick a real one. Read what came back: that is the material every later step will use.

Add the filter
Click the plus icon and add Filter. Choose a value you saw in the test, a text rule, and what it must contain. The filter makes this a multi-step Zap (paid plan).

Add the Slack action
Add Slack, pick the channel, and map the appointment details from the test into the message. Keep it short: two or three values are enough for the team to act.

Test, then publish
Run the Slack step once and check the message landed. Then click Publish. From now on, each new confirmation that passes the filter shows up in the channel.

This one starts your Zap when an appointment booked through Fantastical Openings is confirmed. It is the event most teams want: a slot that is now firmly in the diary, ready to be announced, logged or prepared for.
Appointment Requested

Somebody asks for a slot through Openings, and the Zap kicks off before the request is answered. That makes it the right event for anything that should happen while the booking is still pending, such as alerting the person who approves requests.
Proposal Confirmed

Fires when a proposal you sent from Fantastical gets confirmed. Unlike the two Openings triggers, it starts from a meeting you suggested yourself, so it suits the follow-up work that only begins once the other side agrees to a time.
RSVP Response

Each time an invitee answers an RSVP, the Zap starts with that reply in hand. One reply means one run, so a well-attended event produces as many runs as there are answers, and every action after the trigger is billed on each of them.
When a Fantastical Zap breaks
No Zapier help article covers Fantastical, and no limit of its own is recorded. What follows is general Zapier behavior, as it plays out on a calendar that only sends.
