What the Kudoboard Zapier integration actually does

Kudoboard is where a team signs a group card for a birthday, a work anniversary or a farewell. The Zapier integration links it to the rest of your tools: something happens in Kudoboard and another app reacts, or something happens elsewhere and a board or card gets created, updated or delivered in Kudoboard without a person clicking through it.

Three results people usually build first. A welcome card for every new hire: the New User trigger starts the Zap and Create Card opens a card in their name, so nobody forgets the newcomer in week one. A team shout-out board on demand: a form, a CRM stage or a project milestone in another tool feeds Create Shout-Out Board, then Invite Board Contributors sends the invitations. A heads-up when kudos land: New Post fires the second someone writes on any board, so a manager can relay the message in chat or log it for the next review.

What the integration does not do matters just as much. The searches only find a board or a card by its public ID, and a user by email: there is no lookup by title or by recipient name. No search can create the item when it finds nothing, because Kudoboard ships no find-or-create variant. Deleting a board or a card through the Zap is permanent. And the only polling trigger, List Users, waits for Zapier's next check, while the other four arrive straight away.

The trigger costs nothing, and neither does Zapier checking for new data. Each action that completes counts as one task, and one that fails is not counted. A Zap with a welcome card plus a scheduled delivery uses two tasks per new user. The catch: the free plan only builds two-step Zaps, one trigger and one action. Add a second action, a filter or a search and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your Kudoboard account in three steps

    Open the connection dialog

    In Zapier, go to the Apps page of your account and click + Add connection. A search box opens: type Kudoboard and pick it from the list. You need an existing Kudoboard account before you start.

    Sign in to Kudoboard

    Click Add connection. A new tab opens on Kudoboard: sign in with the account that owns, or can edit, the boards and cards you want the Zap to work on. Boards owned by colleagues stay out of reach if you have no write access to them.

    Grant Zapier access

    Approve the access request in that tab. The connection then shows up on the Apps page and in every Kudoboard step of your Zaps, so you only do this once per account.

First Zap

Your first Zap: a welcome card that delivers itself

GoalWhen a new user joins the Kudoboard workspace, open a welcome card for them and schedule its delivery.

    Create the Zap

    Start a new Zap, then pick Kudoboard as the starting app and New User as the event. Select your Kudoboard connection from the list.

    Test the trigger

    Run the test. Zapier pulls the three most recent users of the connected workspace, so you can pick a real person to map against. Nothing is billed for this.

    Add Create Card

    Add a Kudoboard action, choose Create Card, and map the new user's first name and email into the recipient fields. Title, Creator, Occasion and Message are all required.

    Add Schedule Delivery

    Add Schedule Delivery, set the resource type to card and map the card ID from the previous step. The date wants YYYY-MM-DD, the time a 12-hour clock with AM or PM.

When to use it

Watch out
for anything you want to happen on arrival, New User is instant and the better pick.

Someone opens a group board in your workspace, whatever its type except a single-recipient card, and the Zap starts with that board's details in hand. Farewell boards, team celebrations and memorials all count.

When to use it
posting a link to every new board in the team channel so colleagues can sign it before the delivery date.
Watch out
cards do not set this one off; they have their own trigger, New Card, so a Zap that should cover both needs two Zaps.

Fires on a new card, the Kudoboard format meant for a single recipient, as soon as it is created in your workspace. The Zap receives the card so later steps can invite people or plan its delivery.

Each kudo written on any board of the workspace starts the Zap, with the post and its board attached. This is the trigger that turns appreciation into something visible outside Kudoboard.

on a busy board every single post is one run, and each action behind it costs a task, so count your volume before you publish on the free plan.

Starts when a person joins your Kudoboard workspace, and also when a recipient who was pending until then gets activated. It hands over the new user's name and email for the next steps.

Opens a card for one person, with its title, occasion and opening message already written. The recipient's first name and email are required, as is a workspace user named as creator.

When to use it
a birthday arrives in your HR tool and the card is ready for signatures.
Watch out
the title stops at 191 characters and the message at 4000, and the message expects HTML.

Create Engagement Board

Creates a board aimed at a group rather than a person: you give it an audience label such as a team name, an event occasion and a creator. Kudoboard derives the recipient from that audience.

When to use it
an event added to your calendar opens a board the whole group can write on.

keep a human check in front of this one; an automated memorial built from bad data is hard to take back.

Creates a group board for one recipient's big moment, with an occasion, the recipient's first name and email, a title and a creator. Unlike Create Card, the result is a board, so New Board picks it up, not New Card.

When to use it
a leaving date entered in your HR system opens the farewell board early enough for everyone to sign.

Delete Board

Action

In Zapier“Permanently deletes a board. This action is irreversible.”

Removes a board for good, found by its public ID. Kudoboard states plainly that this cannot be undone.

When to use it
clearing out test boards created while you were building another Zap.
Watch out
map the ID from a trusted step, never from free text, and put a filter in front.

Delete Card

Action

In Zapier“Permanently deletes a card. This action is irreversible.”

Erases a card permanently using its public ID, with everything written on it. Like Delete Board, there is no way back.

When to use it
an offer is withdrawn in the recruiting tool and the welcome card prepared for that hire should disappear.

Deliver Board or Card

Action

In Zapier“Immediately delivers a board or card.”

Sends a board or a card to its recipient right now. You say which of the two it is and give its public ID, usually mapped from an earlier step.

When to use it
a contract signature or a ticket closing is the moment, and the card should land at that instant.
Watch out
there is no undo; a half-signed card goes out as it stands.

Invite Board Contributors

Sends invitations to sign a board, to workspace users or to any email address you type. Two switches let you copy invitees on the delivery email and send a reminder 24 hours before delivery to those who have not posted.

When to use it
right after a board is created, invite the recipient's whole team in the same Zap.

Schedule Delivery

Action

In Zapier“Schedules delivery of a board or card for a future date and time.”

Plans the delivery of a board or card for a date and time today or later, read in the timezone you name. Contributors can be copied on the delivery email.

When to use it
the card is created weeks ahead and should arrive on the birthday morning.
Watch out
the date must be YYYY-MM-DD and the time a 12-hour value with AM or PM; reformat a date from an earlier step with Formatter by Zapier first.

Update Board

Edits an existing board: title, admins, access, engagement and gift settings. The switches cover external posting, hiding posts, moderation, reactions, comments and tagging.

When to use it
a board for a sensitive occasion should require moderation once it goes beyond the immediate team.

Lock or Unlock Board

Action

In Zapier“Locks or unlocks a board. Defaults to locking when no value is specified.”

Freezes a board so nobody can add to it, or opens it again. Leave the Lock field empty and the board gets locked, which is the default.

When to use it
lock a board automatically once it has been delivered, so no late post slips in after the recipient has read it.

Switches the privacy setting of a board to a new value. You only give the board's public ID and the privacy level you want.

When to use it
a surprise board stays hidden until the delivery is scheduled, then opens up to the wider team.

Changes a card that already exists: its title, its admins, its message or its gift settings. Only the card's public ID is required, the rest is whatever you want to change.

When to use it

Changes who receives a board or card, with a new first name and email. You can choose whether contributors and the recipient's managers get told about the change.

A search step finds a board, a card or a user that already exists, so the actions after it can use its ID. In the editor, the searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the search does not find exactly one match.

Search

Looks up a board by its public ID and returns its details to the next steps. It does not search by title or by recipient.

When to use it
a spreadsheet row holds the board ID and the Zap needs the board's current state before updating it.

Find Card

Search

In Zapier“Finds a card by its public ID.”

Retrieves a card when you already know its public ID, and passes what it found down the Zap.

When to use it
checking that a card still exists before scheduling its delivery, so the action does not fail on a deleted card.
Watch out
no ID in the earlier steps means nothing to search with; store it when the card is created.

Find User

Search

In Zapier“Finds a user by their email address.”

Finds a workspace user from their email address. Handy because every create action wants a creator chosen among workspace users.

When to use it
the creator's email comes from a form, and the Zap must resolve it to a real Kudoboard user first.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switch it on and the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Kudoboard offers no such variant, so you will not see it on these three searches.
  3. If multiple search results are found?
    Three ways out: keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When a Kudoboard Zap breaks

Zapier attaches no help article to Kudoboard, so the problems you will meet are the general ones. They still hit hard on an app where one post equals one run.

Most broken Kudoboard Zaps come down to one of these four situations. When the cause is not obvious, the Zapier troubleshooting guide is the next stop.

  • Old boards are ignored

    A Zap only reacts to what happens after you publish it. Boards, cards and posts that already existed never trigger it; moving that backlog is a separate job.
  • The Zap triggers itself

    New Card plus Create Card in one Zap means each card it creates starts it again. The loop runs until your task count is gone.
  • A bulk import gets held back

    Add a large batch of users at once and New User can return a flood. Zapier's flood protection may hold that batch back.
  • List Users never repeats a person

    On the polling trigger, Zapier remembers who it has already seen. The same person never starts the Zap twice from this trigger.

Kudoboard Zapier integration: frequently asked questions

01Is the Kudoboard Zapier integration free?
Yes, Kudoboard is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks per month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. As soon as you add a second action, a filter or a search, for example creating a card and then scheduling its delivery, the Zap becomes multi-step and requires a paid plan. You also need your own Kudoboard account to connect.
02How many tasks does a Kudoboard Zap use?
One task per action that completes, and nothing else. The trigger is free, and Zapier checking Kudoboard for new users costs nothing however often it runs. A Zap that creates a card and schedules it uses two tasks per run. An action that fails is not counted. Watch New Post on busy boards: every kudo is a separate run, so the tasks add up with the number of posts. A filter in front keeps the count under control.
03Does Kudoboard trigger Zaps in real time?
Four of the five triggers do. New Board, New Card, New Post and New User are instant: Kudoboard tells Zapier as soon as the event happens, on every plan, including the free one. The exception is List Users, a polling trigger that Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. For anything time-sensitive about new people, use New User rather than List Users.
04What does it take to connect Kudoboard to Zapier?
A Kudoboard account and a Zapier account. From the Apps page in Zapier, click + Add connection, pick Kudoboard, sign in in the tab that opens and approve the access. The account should have write access to the boards and cards your Zap will touch. Because every create action asks for a creator chosen among workspace users, connect an account whose workspace already contains those people. You only do this once per account.
05Why does Schedule Delivery reject the date?
Because the format is strict. The delivery date must be written YYYY-MM-DD and be today or later, and the time must use a 12-hour clock with AM or PM, never 24-hour values. Both are read in the IANA timezone you give, such as America/Chicago. When the date comes from an earlier step as a full date and time, add a Formatter by Zapier step to reshape it before Schedule Delivery.
06What if the Kudoboard action you want does not exist?
Check the 16 actions and 3 searches first: most board and card tasks are covered, from creation to privacy, lock and delivery. If an operation is really missing, such as finding a board by its title, the usual way round is to store the public ID when the board is created and reuse it later with Find Board. Otherwise, flag the gap to Kudoboard and keep that step manual in the meantime.
07Zapier, Make or n8n for Kudoboard?
It depends on your criteria rather than on a winner. Zapier has a ready-made Kudoboard app with 24 operations and four instant triggers, so a non-technical team starts from something already built.
