Overview

What the Leader CRM Zapier integration actually does

Leader CRM is a CRM for capturing and following up leads and customers, including from a phone. Hooking it to Zapier means building a Zap (an automation that waits for one event, then runs steps for you) so contacts, notes and tasks move between Leader CRM and your other tools without retyping.

Three results people usually build first. Leads that never stay in a form: Find or Create Contact takes a form entry and makes sure it exists in Leader CRM once, not twice. Follow-ups that schedule themselves: New Contact followed by Create Task gives every new lead a first call to make. A contact list that stays in sync: New or Updated Contact mirrors every change into the spreadsheet your team or accountant reads.

All 6 triggers are instant. Leader CRM tells Zapier the moment something happens, so even on the free plan your Zap does not wait for a timer.

Now what Zapier does not do here. There is no action to delete a contact, a note or a task, and no action to update a task or a note after it is created: only contacts can be edited, with Update Contact. Searches only cover contacts, never notes or tasks. If a workflow depends on those moves, the n8n vs Zapier and Make vs Zapier comparisons are there to open before you build.

Vocabulary

Zapier words in one minute

Eight terms come back across this page. Here they are in plain words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier simply waits for that event.
Action
What the Zap does once it has started: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action your Zap completed successfully. Not to be confused with a Leader CRM task.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
Search step
A step that looks up something already in an app, such as a contact, so later steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
Cost

What a Leader CRM Zap really costs

Zapier bills tasks, and only a successful action produces one. Leader CRM is not a premium app, so it works from the free plan.

  • Trigger0 tasks, every time
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps only
  • Leader CRM premium? No, available on the free plan

The trigger never costs a task, however many contacts or notes it catches. Each successful action counts on its own: a Zap that creates a task and then a note uses two per run. A failed action is not billed. The free plan gives you 100 tasks a month, but only two-step Zaps. A search, a filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below concerns polling triggers only; every Leader CRM trigger is instant, so it never slows them down.

Connect

Connect Leader CRM to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Leader CRM account linked once, then reused by every Zap that touches it. You need a Leader CRM account first.

  2. 02

    Pick Leader CRM

Type Leader CRM in the dialog's search box, select it, then click Add connection. A new browser tab opens on the Leader CRM side, which is where the real sign-in happens.

  3. 03

    Sign in and grant access

Log in to Leader CRM in that tab and allow Zapier to reach the account. If the Zap will touch contacts owned by teammates, check that your account has read or write access to them first.

First Zap

Your first Leader CRM Zap

GoalGive every new Leader CRM contact a follow-up task, but only when the condition you set is met.

  1. 01

    Set the trigger

Create a Zap, choose Leader CRM as the app and New Contact as the event, then pick your connection. There is no interval to think about: the trigger is instant.

  2. 02

    Test on real contacts

Run the trigger test. Zapier brings back the three most recent contacts of your account, so you build the next steps on a real one instead of placeholder data.

  3. 03

    Add the filter

Click the plus icon, pick Filter, then fill its three boxes: the field to look at, the rule, and the value to compare with. Use a text rule on text and a number rule on numbers.

  4. 04

    Add the task

Add a Leader CRM step with Create Task. Its Title is required: combine fixed words with the contact's name from the trigger so the task is clear at a glance.

  5. 05

    Test and publish

Test each step, check the new task in Leader CRM, then publish. The filter makes this a multi-step Zap, so a paid plan; contacts created before publishing are not picked up.

Triggers

Leader CRM triggers on Zapier

6 events start a Zap when something happens in Leader CRM, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Activity

Instant trigger

In Zapier“Triggers when a new record is added to the Last Activity column.”

Starts the Zap whenever a fresh entry lands in the Last Activity column of Leader CRM. It is the broadest signal the app sends: something just happened on a record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keeping a running activity log in a shared sheet so a manager sees the pulse of the pipeline without logging in.
Watch out
because it catches a lot, it can fire often; keep the Zap to one action if tasks are tight.
2

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

Fires once for each contact created in Leader CRM, whether typed on a phone or added by another Zap. It marks the moment a lead becomes someone you track.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
welcoming a new lead, by adding them to your newsletter tool or creating their first follow-up task.
Watch out
a Zap that starts here and runs Create Contact adds a contact that starts it again.
3

New Note

Instant trigger

In Zapier“Triggers when a new note is created.”

Runs each time a note is written in Leader CRM. Notes hold the context of calls and meetings, and this trigger carries that context to the people who were not there.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
posting a short summary into your team's chat tool whenever a salesperson logs what a customer said.
Watch out
pairing it with Create Note in the same Zap makes the Zap restart itself without end.
4

New or Updated Contact

Instant trigger

In Zapier“Triggers when a new contact is created or when an existing contact is updated.”

Covers both cases in one trigger: a contact appears, or an existing one changes. Use it when another tool must always hold the latest version of each record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
mirroring your contact list into a spreadsheet or mailing tool, where both new names and edits must show up.
Watch out
it fires on every edit, so it can run several times for one person; Update Contact in the same Zap loops.
5

New Task

Instant trigger

In Zapier“Triggers when a new task is created.”

Catches every task created in Leader CRM, by you, a teammate or a Zap. It turns your to-do list into a source of events for other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
copying each new task into the calendar or project tool where your team actually plans its week.
Watch out
a Zap that starts here and ends with Create Task feeds itself and burns tasks fast.
6

Updated Contact

Instant trigger

In Zapier“Triggers when an existing contact is updated.”

Only reacts when an existing contact is edited, never on creation. That makes it the precise choice when only changes matter, such as a new phone number or a status move.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
updating the matching row in another system when a salesperson corrects a contact's details in Leader CRM.
Watch out
ending this Zap with Update Contact edits the contact again and loops.
Actions

Leader CRM actions on Zapier

Leader CRM gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact.”

Adds a new contact to Leader CRM from any other app, so a lead caught by a form or an ad lands where your team works.

When to use it
when you are sure the person is new; otherwise Find or Create Contact avoids duplicates.
Watch out
it never checks for an existing contact first.
2

Create Note

Action

In Zapier“Creates a new note for an existing contact.”

Writes a note on an existing contact, so information gathered elsewhere, like a form answer or a call result, sits on the record.

When to use it
after Find Contact, to attach what a lead told you in another tool.
Watch out
Contact id and Note are both required; without the ID the step cannot know where to write.
3

Create Task

Action

In Zapier“Creates a new task.”

Puts a new task in Leader CRM, which turns an event elsewhere into something a person has to do.

When to use it
a demo request arrives through a form and someone should call back.
Watch out
Title is required, so build it from data that is always present.
4

Update Contact

Action

In Zapier“Updates existing contact.”

Changes the details of a contact already in Leader CRM, the only edit this integration allows on existing records.

When to use it
a customer updates their details in another tool and Leader CRM should follow.
Watch out
Id is required, so place Find Contact before it when the trigger does not carry it.
Searches

Leader CRM searches on Zapier

2 search steps look for data that already exists in Leader CRM, so a later step can use it.

A search step looks up a contact that already exists, by phone number, email or name, so later steps can use it. Leader CRM offers it in two forms. Three settings decide what happens when the search does not find exactly one match.

1

Find Contact

Search

In Zapier“Finds an existing contact by phone number, email, or name.”

Looks up a Leader CRM contact by phone number, email or name and hands its details, ID included, to the next steps. It finds, it never creates.

When to use it
before Create Note or Update Contact, which both need the contact's ID.
Watch out
when several contacts match, the If multiple search results are found? setting decides: the first by default, stop the Zap, or all of them.
2

Find or Create Contact

SearchFind or create

In Zapier“Finds an existing contact by phone number, email, or name. Creates a contact if none are found.”

Searches the same way, by phone, email or name, and creates the contact when nobody matches. One step replaces the search plus Create Contact.

When to use it
any form or ad lead, so returning people are not added twice.
Watch out
the step asks for the fields needed to create the contact; fill them.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that depend on it. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create. The setting above disappears and the step asks for the fields needed to create the contact.
  3. If multiple search results are found?
Three ways out: keep the first match, which is the default, stop the Zap, or hand every match on to the next steps.
When it breaks

When a Leader CRM Zap breaks

Zapier links no help article to Leader CRM and documents no limit of its own. What breaks here is what breaks on any Zap, with loops this app makes easy to fall into.

  • The past is never replayed

A Zap only reacts to what happens after it is switched on. Contacts, notes and tasks already in Leader CRM stay where they are; moving that backlog is a separate job.
  • The contact update loop

Starting on Updated Contact or New or Updated Contact and ending with Update Contact edits the record again, which fires the trigger again, until you stop it.
  • Same trap with notes and tasks

New Note with Create Note, New Task with Create Task, New Contact with Create Contact: each pair writes where the trigger watches. Split them or add a filter.
  • Bulk imports get held back

Import a large contact list at once and the trigger suddenly reports a huge batch. Zapier's flood protection can hold those runs back instead of firing them all.

FAQ

Leader CRM Zapier integration: common questions

01Is the Leader CRM Zapier integration free?
Yes, it works on the free plan, because Leader CRM is not a premium app. The free plan covers 100 tasks a month and Zaps of two steps: one trigger and one action. Copying new contacts to a spreadsheet fits. A search such as Find or Create Contact, a filter, or a second action makes the Zap multi-step, which needs a paid plan. Plan terms change, so check your own Zapier account before relying on them.
02How many tasks does a Leader CRM Zap use?
One Zapier task per successful action, nothing for the trigger. A Zap that creates a follow-up task for each new contact uses one per contact. Add a note in the same Zap and it is two. Failed actions are not counted. Note that a Zapier task, the billing unit, has nothing to do with a task you create in Leader CRM. The real risk is a loop, such as Updated Contact feeding Update Contact, which can drain the monthly allowance fast.
03Do Leader CRM triggers run in real time?
Yes. All 6 Leader CRM triggers are instant: Leader CRM tells Zapier the moment a contact, note, task or activity appears or changes, and the Zap starts right away. The polling interval tied to each plan, 15 minutes on the free one, does not apply to them. In the editor, an instant trigger shows a lightning bolt. That makes Leader CRM an app where the free plan loses nothing on speed; its limits concern the number of tasks and steps only.
04What does it take to connect Leader CRM to Zapier?
A Leader CRM account and a Zapier account. Open the Apps page in Zapier, click + Add connection, search for Leader CRM, click Add connection and sign in on the tab that opens. Grant access and the connection is saved for every future Zap. If the Zap will touch contacts that belong to teammates, make sure your account has read or write access to them. For Create Note and Update Contact, plan a way to get the contact's ID.
05Why does a Leader CRM Zap keep running on its own?
Because it writes where it watches. A Zap that starts on Updated Contact, or on New or Updated Contact, and ends with Update Contact edits the contact, which counts as a new update, which starts the Zap again. The same happens with New Note and Create Note, New Task and Create Task. Each loop costs a task. Turn the Zap off, then rebuild it so trigger and action deal with different records, or add a filter that stops runs coming from the Zap itself.
06What if the Leader CRM operation you want is missing?
Then Zapier cannot do it on its own today. Leader CRM offers 6 triggers, 4 actions and 2 searches: no delete action, no way to edit a note or a task, and searches that cover contacts only. The usual workaround is to let a Leader CRM trigger feed another tool that handles the missing part. If your workflow hinges on one of the missing moves, compare other automation platforms before you build.
07Zapier, Make or n8n for Leader CRM?
Decide on criteria, not on a ranking. Zapier gives you a ready Leader CRM integration with 6 instant triggers, find-or-create for contacts and a simple editor, which suits a sales team that wants things running quickly without technical help. Make and n8n are the usual alternatives; check first whether each one offers Leader CRM operations, and which. The deciding points are the operations available, how each tool bills a run, and who will maintain the workflows once they are live.
