What the MagicalAPI Zapier integration does for you

Connecting MagicalAPI to Zapier means a resume or a profile gets analyzed when something happens in another tool, without you opening MagicalAPI. Zapier is the tool that links the two: another app reports the event, and MagicalAPI does the reading, scoring or lookup as the next step.

Three things come out of it. First, a score with an explanation: Score Resume for Job compares a resume with a job description you paste in and hands back a number plus the reasoning. Second, a written critique: Review Resume and Provide Feedback goes section by section, so the person who sent the file can get comments instead of silence. Third, a tidy record: Extract Resume Details pulls contact info, experience, education and skills out of the document, ready to drop into whatever tool you track people in.

Now the part the listing glosses over. MagicalAPI has no trigger and no search on Zapier, so it cannot watch for anything or look something up before acting. Every Zap you build with it starts in another app (a form, a file store, a spreadsheet) that hands over a resume link or a username. If nothing upstream carries that value, MagicalAPI has nothing to work on.

The trigger never costs a task, and neither does Zapier checking for new data. Each action that succeeds counts once; one that fails is not counted. Scoring a resume and then writing the result to a spreadsheet is two actions, so two tasks per run. That second action also makes it a multi-step Zap, which the free plan does not allow: it stops at one trigger and one action. Since MagicalAPI has no trigger, the interval grid below only applies to the other app's trigger when that trigger is a polling one.

    In your Zapier account, go to the Apps page and click + Add connection. You need a MagicalAPI account first, because Zapier only links an account that already exists.

Your first Zap: score each applicant's resume

    Start with the form

    Build the Zap from the form app as its trigger. MagicalAPI cannot start a Zap, so the form submission is what sets everything off.

  2. 02

    Test the trigger

    Run the test: Zapier brings back the three most recent submissions of the connected account. Pick one that really carries a resume link.

  3. 03

    Add Score Resume for Job

    Add MagicalAPI as the action and choose Score Resume for Job. Map the resume link from the form answer into the Resume File URL field.

  4. 04

    Paste the job description

    Fill Job Description with the text of the role. It is required and must run between 100 and 10,000 characters, so a one-line title will not do.

  5. 05

    Send the score on

    Add the spreadsheet step and map the score and its explanation into columns. This third step makes the Zap multi-step, so it needs a paid plan.

  6. 06

    Test, then publish

    Test each step once and read what came back from MagicalAPI. When the score and its explanation look right, publish the Zap to switch it on.

When it breaks

When a MagicalAPI Zap breaks

Zapier attaches no help article to MagicalAPI, so the known failure points are the ones every Zap shares.

Most of them come from the app that starts the Zap rather than from MagicalAPI itself. If a Zap still puzzles you, see our Zapier troubleshooting page.

  • Old resumes are ignored

    A Zap only reacts to what happens after you switch it on. Resumes already sitting in your form or folder are not picked up; moving that backlog is a separate job.
  • The Zap keeps setting itself off

    If the step after MagicalAPI writes into the same sheet the trigger watches, each new row starts the Zap again and burns through your tasks fast.
  • A bulk import gets held back

    When the trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those runs back.
  • The same item never runs twice

    On a polling trigger Zapier remembers what it has already seen, so one submission does not score the same resume a second time.

MagicalAPI Zapier integration: your questions

01Is the MagicalAPI Zapier integration free?
On Zapier's side, yes. MagicalAPI is not a premium app, so the free plan covers it: 100 tasks a month and as many Zaps as you like, each one capped at a trigger plus a single action. That is enough for a form that sends in a resume link and Score Resume for Job that grades it. The day you also want the score written into a spreadsheet, the Zap gains a second action and moves to a paid plan. What MagicalAPI itself charges is outside the scope of this page.
02How many tasks does a MagicalAPI Zap use?
One per MagicalAPI action that succeeds. The trigger from the other app costs nothing, and neither do Zapier's checks for new data. If one run extracts resume details and then writes them to a spreadsheet, that is two tasks. An action that fails is not counted. So a stack of resumes reviewed one by one costs as many tasks as resumes that went through, multiplied by the number of actions in the Zap.
03Does MagicalAPI react in real time?
Only as fast as the app that starts the Zap, since MagicalAPI brings no trigger of its own. Pick a form app whose trigger is instant and each submission reaches Zapier straight away, with the scoring right behind it. If that trigger is a polling one, Zapier checks on a timer set by your plan: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The other app's page on Zapier shows the free-plan interval next to each polling trigger, so you can check before you build.
04What does connecting MagicalAPI to Zapier require?
Two things: a MagicalAPI account, and access to any file or sheet that belongs to someone else. Then go to the Apps page in Zapier, click + Add connection, search for MagicalAPI, log in on the tab that opens and grant access. You do it once; every MagicalAPI step reuses that connection afterwards. If applicants' resumes land in a folder or sheet a colleague owns, make sure your account has read or write access to it before you run the first test.
05Why does Score Resume for Job reject the input?
Usually because one of its two required fields is off. Resume File URL must point to a resume in PDF, DOC or DOCX format; an image or a link to a web page will not do. Job Description must hold between 100 and 10,000 characters, so a bare job title is too short. Test the step with a real submission and read what comes back before you publish the Zap.
06What if the MagicalAPI operation you want is not listed?
Then it is not available on Zapier for this app. MagicalAPI offers exactly five actions there: Get Company Data, Get Profile Data, Extract Resume Details, Review Resume and Provide Feedback, and Score Resume for Job. There is no trigger and no search, so it cannot watch for events or look things up. What you can do is chain these actions with steps from other apps, which makes the Zap multi-step and requires a paid plan.
07Zapier, Make or n8n for MagicalAPI?
