It links the Teams side that handles webinars, meetings and private channels to the rest of your tools. An event in Teams, like a new registration or a fresh transcript, starts an automation, and Zapier then changes members, messages or reports in Teams for you. Nothing to export, nothing to paste.

Three results come out of this pairing more than any other. A registrant list that fills itself: New Webinar Registration passes every sign-up to the next step, and Find Webinar Registration pulls one back by its ID when a later step needs it. A private channel roster that follows your other tools: Add Member to Private Channel and Remove Member From Private Channel change who sits in a channel while nobody opens Teams. Add a filter, a search or a second action and the Zap turns multi-step, which needs a paid plan. Microsoft Teams Events is not a premium app, so it works from the free plan. The grid below sets how often the two polling triggers check; it does not apply to New Transcription, which starts at once on every plan.

    Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A connection is your account of an app linked to Zapier once, then reused by every step that uses Microsoft Teams Events.

    Create a Zap, pick Microsoft Teams Events and the New Webinar Registration event, then choose the webinar to watch. Leave Increase Polling Size off unless more than 100 people may register between two checks.

    Run the test. Zapier brings back the three most recent registrations of the connected account, so you map the next steps on a real one instead of a blank.

    Add the filter

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create on apps that offer it. None of the six Microsoft Teams Events searches does, so you will not see it here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When it breaks

Here are the limits to know with this app, some of them general to Zapier, some of them written into the operations themselves.

  • Nothing from before the Zap

    A Zap only reacts to what happens after you switch it on. Registrations and transcripts that already existed are not picked up; moving that backlog is a separate job.
  • A big wave of registrations

    On New Webinar Registration, the Increase Polling Size field exists for more than 100 registrants between two checks. Switch it on when a launch may bring that many.
  • Cards posted by someone else

    Update Message With Card only works on messages the connected account sent. A card posted under another account stays out of its reach.
  • A Zap that sets itself off

    As a general precaution, a Zap that writes into the place its own trigger watches can start itself again and again, and burn through your tasks.
  • A sudden bulk batch

    When a trigger returns a huge batch at once, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • The same item twice

    On a polling trigger, Zapier keeps track of what it has already seen, so the same item does not start the Zap twice.

01Is the Microsoft Teams Events Zapier integration free?
Yes, you can start on the free plan. Microsoft Teams Events is not a premium app, so it runs without a paid Zapier plan. The free plan gives you 100 tasks a month and an unlimited number of Zaps, but every Zap stops at two steps: one trigger and one action. A Zap that simply copies each new transcript to another tool fits inside that. As soon as you add a filter, a search step or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Microsoft Teams Events Zap use?
One task for each action that completes. The trigger itself never costs anything, and neither do the checks Zapier runs on Message Query and New Webinar Registration, however often they happen. In a Zap with several actions, each successful one counts on its own, so adding a channel member and then updating a card costs two tasks per run. An action that does not go through is not counted against your plan. Plan your monthly total from the number of runs you expect times the actions in the Zap.
03Is Microsoft Teams Events on Zapier real time?
Only one trigger is. New Transcription is instant: Teams tells Zapier the moment a transcription is created, and the Zap starts right away on any plan. Message Query and New Webinar Registration are polling triggers, so Zapier checks for new items at an interval set by your plan: every 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. If a sign-up has to reach another tool fast, that interval is the delay to expect, and a paid plan shortens it.
04What do you need to connect Microsoft Teams Events to Zapier?
An account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection; you then sign in to the app in a new tab and grant Zapier access. 05Why can Update Message With Card not change some messages?
Because it only works on messages the connected account sent itself. If an approval card was posted by a colleague or under another account, this action cannot touch it, even if you can see the message. The fix is on the connection side: connect the same account that posts the cards, then build the update step on top of it. The action can replace the whole card or just remove its buttons, which is how you lock a card once a decision has been made.
06What if the operation you need is not in the list?
Start with the app's page on Zapier, which shows the current list of triggers, actions and searches for Microsoft Teams Events. If the missing piece is a value rather than a move, one of the six searches, such as Find Messages or Get Message, may hand it to the next step. If what you need is posting a brand-new message or creating a webinar, this app does not offer it today, and another tool or another connection will have to do that part.
