Overview

What the NeetoInvoice Zapier integration does for you

It links your NeetoInvoice account to Zapier so that two events, a client being added and an invoice being created, can start a Zap: an automation that runs by itself once you switch it on. NeetoInvoice is where things happen; the steps that follow write into your other tools. Nothing travels back into NeetoInvoice.

Three results people build with it. An invoice log that fills itself: New Invoice adds a row to a spreadsheet each time an invoice is created, so the log stays current without copy and paste. A contact list that follows your billing: New Client pushes every client you add into your CRM, so a new name exists in both places from the start. A heads-up for the team: New Invoice posts a message in your team chat, which helps when several people need to know an invoice was created.

Now the limits. On Zapier, NeetoInvoice has no action and no search. A Zap can start from it, never write into it: Zapier will not create an invoice, edit a client or look up a record in NeetoInvoice for you. If your plan depends on that, this integration is the wrong door. It runs one way only: NeetoInvoice speaks, your other apps listen.

Vocabulary

Zapier words in one minute

Eight terms, each in plain words. You will meet all of them in the editor.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Here it is a new client or a new invoice in NeetoInvoice.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills: one action that your Zap completes successfully. Your plan counts those, nothing else.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. Both NeetoInvoice triggers are instant.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. NeetoInvoice has none of these.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and then it needs a paid plan.
Cost

What NeetoInvoice costs you on Zapier

NeetoInvoice is not a premium app, so it works from the free plan. The trigger never costs a task; each action that succeeds does, and one that fails is not counted.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • TriggerCosts no task
  • Failed actionNot counted

The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. A second action or a filter turns the Zap into a multi-step one, which needs a paid plan. The grid below is the polling interval per plan: it does not apply to NeetoInvoice, whose two triggers are instant. Count your actions before you build: a Zap that adds a row and then posts a message spends two tasks for every invoice.

Connect

Connect NeetoInvoice to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to the Apps page and click + Add connection. This is where every connection lives: your NeetoInvoice account, linked once and reused by every step that needs it.

  2. 02

    Pick NeetoInvoice

Type NeetoInvoice in the search box of the dialog, select it, then click Add connection. Have your NeetoInvoice login at hand: a new tab opens on the NeetoInvoice side for the sign-in.

  3. 03

    Sign in and grant access

Sign in to NeetoInvoice in that tab and grant Zapier access to the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: invoice alerts for the team, filtered

GoalPost a message in your team chat for each new NeetoInvoice invoice that meets a condition you choose.

  1. 01

    Pick the trigger

Start a new Zap, choose NeetoInvoice as the app that starts it and New Invoice as the event, then select the connection you made earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent invoices of the connected account, so you map the next steps on a real one and see which details it carries.

  3. 03

    Add the filter

Click the plus icon, add a Filter, then fill its three boxes: the field to look at, the rule, the value to compare with. A filter needs a paid plan.

  4. 04

    Add the chat action

Add your chat tool as the action, choose the channel and write the message, dropping in the invoice details you saw at the test where they belong.

  5. 05

    Test, then publish

Test the action once and read what came back. When it looks right, click Publish: the Zap is now on and waits for the next invoice.

Triggers

NeetoInvoice triggers

2 events start a Zap when something happens in NeetoInvoice, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Client

Instant trigger

In Zapier“Triggers when a new client is created.”

Each client you add in NeetoInvoice starts the Zap once, and the test shows what arrives with it, so your other tools learn about the newcomer without anyone retyping a name.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you keep a CRM or a contact list beside NeetoInvoice and want every new client to appear there as well.
Watch out
clients created before the Zap was published never reach it, and the details that come with each client are worth reading at the test before you map them.
2

New Invoice

Instant trigger

In Zapier“Triggers when a new invoice is created.”

Creating an invoice in NeetoInvoice becomes the starting point of a Zap: the new invoice moves on to the steps you add, which can log it, announce it or file it in another tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you track invoices in a shared spreadsheet, or your team wants a message for each one without opening NeetoInvoice.
Watch out
the official description speaks of an invoice being created; confirm at the test which details arrive with it before building on them.
When it breaks

When a NeetoInvoice Zap lets you down

Zapier lists no help article and no rate limit specific to NeetoInvoice. What remains are the general limits of any Zap, and they apply here too.

Four situations to know before you rely on these triggers. For a Zap that stops behaving, see our Zapier troubleshooting guide.

  • Past invoices are not picked up

A Zap only reacts to what happens after it is switched on. Invoices and clients already in NeetoInvoice never reach it; moving that history is a separate job.
  • A bulk import can be held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back. Keep that in mind before a large import.
  • Access you do not own

The connection needs an account on NeetoInvoice, plus read or write access on anything you do not own yourself and want the Zap to touch.
  • A filter or second action needs a paid plan

The free plan builds Zaps of one trigger and one action. Add a filter, a second action or a search and the Zap becomes multi-step, which needs a paid plan.

FAQ

NeetoInvoice and Zapier: your questions

01Is the NeetoInvoice Zapier integration free?
Yes. NeetoInvoice is not a premium app on Zapier, so both of its triggers work on the free plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. A task is one action that completes successfully. The moment you want a second action or a filter behind a NeetoInvoice trigger, the Zap becomes multi-step and needs a paid plan. On this app, the two-step limit and the monthly task count are the two things to watch.
02How many tasks does a NeetoInvoice Zap use?
Only the actions count. The trigger firing costs nothing, and neither does Zapier waiting for it. Each action that completes successfully is one task, so a Zap that turns every new invoice into a spreadsheet row and a chat message uses two tasks per invoice. An action that fails is not counted against your plan. A few apps and a few actions take more than one task when they complete, so look at the action you pick in the other app before you estimate a monthly volume.
03Do NeetoInvoice triggers run in real time?
Yes, both are instant triggers. NeetoInvoice itself tells Zapier when a client or an invoice is created, so the Zap starts right away. The polling interval tied to your plan (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply to them at all. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it. This is one point where the free plan loses nothing to the paid ones.
04What do you need to connect NeetoInvoice to Zapier?
An account on NeetoInvoice, plus read or write access on anything you do not own yourself and want the Zap to touch. You connect it once from the Apps page of your Zapier account with + Add connection, then sign in to NeetoInvoice in the tab that opens and grant Zapier access. Every later Zap that uses NeetoInvoice reuses that connection, so there is nothing to set up again for each new Zap you build.
05Can Zapier create an invoice in NeetoInvoice?
No. On Zapier, NeetoInvoice offers two triggers, New Client and New Invoice, and no action or search. A Zap can start from NeetoInvoice but cannot write into it: no invoice created, no client edited, no record looked up. If invoices must be raised from another tool, that part stays in NeetoInvoice itself. The integration is built for one direction only, sending what happens in NeetoInvoice out to the rest of your tools.
06What if the NeetoInvoice operation you want is missing?
Then this integration cannot do it today. The NeetoInvoice page on Zapier shows the current list of triggers and actions, and it is the place to check before planning a Zap. What exists now is two instant triggers. Build around them: let NeetoInvoice start the Zap, and do the work in an app that has the action you need. If the missing piece is an action inside NeetoInvoice itself, no Zap built on this integration can cover it.
07Zapier, Make or n8n for NeetoInvoice?
It depends on three criteria, not on a ranking. First, coverage: on Zapier, NeetoInvoice brings two instant triggers and nothing that writes into it, so check what each other tool offers for NeetoInvoice before choosing. Second, billing: Zapier counts one task per successful action, and the trigger itself is free. Third, the length of your flow: a two-step Zap fits the free plan, while anything longer needs a paid one. Put those three points against your own monthly volume of clients and invoices.
