Overview

What the Norby Zapier integration actually does

The Norby Zapier integration links your Norby account to Zapier, a tool that chains apps together without code. Norby reports what happens on its side (a signup, a registration, a published newsletter) and Zapier passes it on to the rest of your tools, with no copy and paste in between.

Three results come back again and again. First, a live attendee list: Event Registration hands every new registrant to a spreadsheet or a CRM the moment they sign up. Second, a consent log you can trust: Email Marketing Registration and SMS Marketing Registration record who agreed to hear from you, and through which channel. Third, a publishing heads-up: Newsletter Published and Event Published tell your team or your social tools that something new is out.

The detail that matters most: all 11 Norby triggers are instant. Norby itself warns Zapier, so the free plan's 15-minute check never slows them down. A free account gets the same speed as an Enterprise one.

Now what Zapier does not do here. There is no search step, so a Zap cannot look up an existing Norby contact before acting. There is one single action, Create or Update Contact (Custom Plan Only), and Norby reserves it for its custom plan. On any other Norby plan, Norby is a source only: it starts Zaps, it does not receive data. Nothing lets a Zap publish an event, send a newsletter or delete a contact either.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here is what each one means, in plain terms.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new Norby signup. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens. Norby only has instant ones.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
Connection
Your Norby account linked to Zapier once, then reused by every Zap step that talks to Norby.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What a Norby Zap really costs

Zapier bills tasks, not triggers. A Norby signup that starts your Zap costs nothing by itself.

  • Trigger0 tasks
  • Successful action1 task each
  • Free plan100 tasks a month, 2-step Zaps
  • Premium appNo, works on the free plan

Each action that succeeds counts as one task. An action that fails is not counted. A Zap with three actions uses three tasks per signup, so a busy event page adds up quickly. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter (say, only registrations for one event) and the Zap becomes multi-step, which needs a paid plan. Norby is not a premium app, so it works on the free plan. The polling grid below does not touch Norby, since every one of its triggers is instant.

Connect

Connect Norby to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. Type Norby in the search box of the dialog and pick it from the list. You need an existing Norby account before you start.

  2. 02

    Sign in to Norby

Click Add connection. A new tab opens on Norby: sign in with the account that owns the forms, events and newsletters you want to watch. If someone else owns them, ask for access first.

  3. 03

    Grant access

Allow Zapier to use the account. The connection now appears on the Apps page, and every Zap step that uses Norby can reuse it without signing in again.

First Zap

Your first Norby Zap: every new registrant into a spreadsheet

GoalEach time someone registers for one of your Norby events, add a row with their details to a shared sheet.

  1. 01

    Create the Zap

In Zapier, start a new Zap from scratch. The editor shows an empty trigger card on top, waiting for an app and an event to watch.

  2. 02

    Pick the Norby trigger

Choose Norby, then Event Registration, and select the connection you set up earlier. The lightning bolt in the editor confirms the trigger is instant.

  3. 03

    Test with a real registrant

Run the test. Zapier brings back the three most recent registrations of the account, so you can pick a real one and see which details come through.

  4. 04

    Add the action

Add the spreadsheet step under the trigger and map each column to a value the Norby test brought back. Test it once and check the row that appears.

  5. 05

    Publish

Click Publish to switch the Zap on. From now on, each new registration lands in the sheet as it happens, for one task per row.

Triggers

The 11 Norby triggers

11 events start a Zap when something happens in Norby, and 11 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Contact Created

Instant trigger

In Zapier“Triggers when a new contact is created.”

Starts the Zap each time a fresh contact appears in your Norby audience, whatever brought them in. It is the widest net of the list, useful when you want one place that sees every newcomer.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep a master contact list in a CRM and want every new Norby person copied there, with no gap.
Watch out
if a Zap also creates contacts in Norby, this trigger sees them too and can start a loop.
2

Contact Updated

Instant trigger

In Zapier“Triggers when a new contact is updated.”

Fires when an existing Norby contact changes, so the latest version of that person can travel to your other tools instead of a stale copy from the day they joined.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your sales team works from a CRM and needs the phone number or email a contact just corrected in Norby.
Watch out
pair it with the Norby contact action and each update triggers the next one, burning tasks fast.
3

Signup Published

Instant trigger

In Zapier“Triggers when a signup form is published.”

Reacts when you publish a new signup form in Norby. Nobody has signed up yet: this one is about the form itself going live, which makes it a launch signal rather than a lead signal.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the marketing team wants a message in its chat channel with the link each time a new waitlist or giveaway form goes out.
Watch out
people who register on that form come through User Signup, not here.
4

User Signup

Instant trigger

In Zapier“Triggers when a user completes a signup.”

Hands over each person who completes one of your Norby signup forms. Zapier highlights this trigger on the Norby page, and it is usually the first one people build on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a creator runs a waitlist for a product drop and wants each new name in a spreadsheet, ready for the launch email.
Watch out
if you run several forms, add a filter on the form name so one Zap does not mix them, which makes the Zap multi-step.
5

Email Marketing Registration

Instant trigger

In Zapier“Triggers when a user agrees to receive marketing communications via email.”

Fires when someone agrees to receive your marketing by email. What it carries is consent, not just an address, and that is the record a mailing tool needs before it sends anything.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you send campaigns from a separate email platform and only want opted-in people on that list.
Watch out
it reports the opt-in only, so an unsubscribe in Norby will not reach your other tool through this trigger.
6

Event Published

Instant trigger

In Zapier“Triggers when an event is published.”

Goes off when a Norby event goes public. The Zap receives the event as soon as it is out, which is the right moment to announce it elsewhere while it is still fresh.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a community manager wants every new meetup posted to the team calendar or a chat channel without retyping the date.
Watch out
events published before the Zap was switched on are never sent, so announce those by hand.
7

Event Registration

Instant trigger

In Zapier“Triggers when a user registers to an event.”

Passes on every person who registers for one of your Norby events. Zapier puts it forward on the Norby page, and it is the base of the first Zap described above.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a workshop host needs a live attendee sheet the venue can read, filled as registrations arrive.
Watch out
a large wave of registrations at once, after an import for instance, can be held back by Zapier's flood protection.
9

Newsletter Published

Instant trigger

In Zapier“Triggers when a newsletter is published.”

Triggers once a Norby newsletter is out. Instead of telling people about the issue yourself, the Zap relays it the moment it ships, to your team, your archive or your social tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep an archive page or a Notion database of past issues and want each new one added without thinking about it.
Watch out
it marks the release only; Zapier offers no Norby trigger for opens or clicks.
10

Newsletter Signup

Instant trigger

In Zapier“Triggers when a user subscribes to your newsletters.”

Brings each new subscriber to your Norby newsletters into the Zap. Zapier lists it among the highlighted Norby triggers, next to User Signup and Event Registration.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a coach wants every new reader tagged in their CRM so a welcome sequence can start there.
Watch out
people who subscribed before the Zap went live will not show up, so import the existing list separately.
11

SMS Marketing Registration

Instant trigger

In Zapier“Triggers when a user agrees to receive marketing communications via SMS.”

The text-message twin of the email opt-in: it fires when someone agrees to get your marketing by SMS. That consent is what any texting tool will ask you to prove.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you run SMS reminders for events and need the opted-in numbers in that tool before the next send.
Watch out
keep it in its own Zap; mixing email and SMS consent in one list makes it hard to honor each choice.
Actions

The Norby action

Norby gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Contact (Custom Plan Only)

Action

In Zapier“Creates or updates a contact matching the email address or phone number. You must be on a custom plan in order to use this action. Please reach out to support@withnorby.com.”

Adds a contact to Norby, or refreshes the one that already has the same email address or phone number, so you avoid duplicates.

When to use it
leads from a form tool or a store should land in your Norby audience.
Watch out
Norby opens this action only to accounts on its custom plan; on another plan, contact Norby support (support@withnorby.com) first.
When it breaks

When a Norby Zap breaks

Zapier attaches no help article to Norby and lists no Norby-specific limit. What breaks comes from Zapier's own rules.

Four situations explain most of the surprises, and each one is easier to avoid before you publish than to fix after. If a Zap still misbehaves, head to our Zapier troubleshooting page.

  • Old registrations never arrive

A Zap reacts only to what happens after it goes live. Signups, events and subscribers already in Norby are not picked up; moving them is a separate import.
  • Contact Zap that never stops

Contact Updated feeding Create or Update Contact writes to the place its own trigger watches. Each run restarts the Zap and burns tasks fast.
  • A sudden wave is held back

After a bulk import, Norby can report a huge batch at once. Zapier's flood protection may pause it instead of running every item.
  • The action is not available

Create or Update Contact works only on Norby's custom plan. On another plan the step cannot run, so check your Norby plan before building on it.

FAQ

Norby Zapier integration: frequent questions

01Is the Norby Zapier integration free?
Yes, as long as your Zap stays simple. Norby is not a premium app, so it works on Zapier's free plan, which gives 100 tasks a month and an unlimited number of Zaps. The catch is the shape of the Zap: on the free plan each one stops at two steps, one trigger and one action. A filter, a second action or a search turns it into a multi-step Zap that needs a paid plan. On the Norby side, the only action needs Norby's custom plan, but the 11 triggers do not.
02How many Zapier tasks does a Norby Zap use?
One per successful action, each time the Zap runs. The Norby trigger itself costs nothing: a signup, a registration or a newsletter going out does not touch your count. If your Zap copies each registrant to one spreadsheet, that is one task per registrant. Add a second action, say a chat message, and it becomes two tasks per registrant. A step that fails is not counted, so an error does not eat into your plan, but it does leave the work undone.
03Does Norby send data to Zapier in real time?
Yes. All 11 Norby triggers are instant: Norby tells Zapier the moment the event happens, and the Zap starts right away. That means the plan interval, 15 minutes on the free plan, does not apply to any of them. A free account sees a new event registration as fast as an Enterprise account. In the editor, a lightning bolt on the trigger confirms it. The type comes from Norby itself and cannot be changed from the Zapier editor.
04What does it take to connect Norby to Zapier?
A Norby account, and access to the forms, events and newsletters you want the Zap to watch. If they belong to a colleague, ask them for access before connecting. The connection is made once from the Apps page of Zapier: add a connection, pick Norby, sign in on the tab that opens and let Zapier use the account. Every Zap step that uses Norby then reuses that connection, and no paid Zapier plan is needed to create it.
05Why does a Norby Zap keep running on its own?
Most often because it writes into the place its own trigger watches. A Zap that starts on Contact Updated and then uses Create or Update Contact on Norby changes a contact, which counts as a new update, which starts the Zap again. Each loop costs a task, and the count drops fast. Split the work so the action writes to another app, or make sure the trigger and the action never touch the same contacts.
06What if the Norby operation you need is not in Zapier?
Then Zapier cannot do it with Norby today. The list is closed: 11 triggers, 1 action, no search. A Zap cannot publish a Norby event, send a newsletter or look up an existing contact. The usual workaround is to let Norby start the Zap and do the work in another app that has the action required. If that is not enough, the agency team can look at a custom route for your case.
07Zapier, Make or n8n for Norby?
It depends on your criteria, not on a ranking. Zapier offers 11 instant Norby triggers ready to use, a quick connection and a free plan that covers two-step Zaps, which suits a team that wants to start fast. For Make and n8n, compare on the same criteria rather than on reputation: check first whether each platform offers the Norby events you need, how it counts each run, and what that comes to at your volume of signups.
