It connects your PandaDoc account, where you build, send and get documents signed, to Zapier. A Zap can then react the moment a document is sent, completed or paid, and it can create documents from your templates, attach files, update contacts and look documents up.

Three results teams build with it. A follow-up that never forgets: Document Completed fires when a contract is finished, and the next step kicks off at once, a welcome email from another tool, a task for onboarding. Triggers never cost a task, however many documents are completed in a day. Each PandaDoc action that succeeds counts one task, a failed one counts nothing. The free plan gives 100 tasks a month, but only two-step Zaps: one trigger, one action. Add a filter on the document status, a search like Get Document by ID or a second action, and the Zap becomes multi-step, which needs a paid plan. The interval grid below only matters for polling triggers from other apps.

    Open your connections

    In your Zapier account, open the Apps page and click + Add connection. You need a PandaDoc account first, with access to the documents and templates the Zap will touch.

    Pick PandaDoc

    Create a Zap, choose PandaDoc as the trigger app and Document Status Changed as the event, then select your PandaDoc connection.

    Test on a real document

    Test the trigger. Zapier brings back the three most recent items, so you map on a real document and see which fields it carries.

    Keep only viewed documents

    Click the plus icon, choose Filter, then pick the field of the trigger test that holds the status, a text rule and the value viewed. A number rule on text never passes.

    Fetch the details

    Add the search Get Document by ID and fill its required Document ID with the ID found in the trigger test. The steps after it can now use the full document data.

once a contract is completed, its attached files should be archived in your file storage.

the Document ID is required, so an earlier step has to carry it; check the trigger test before you map it.

Get Document by ID

Search

In Zapier“Get detailed data about a document.”

Fetches the detailed data of one document from its ID and hands it to the steps that follow.

When to use it
after a status change, the Zap needs the document's full details to decide what to do next.
Watch out
the Document ID is required, and the search counts as a step, so the Zap becomes multi-step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. PandaDoc offers no such variant for its searches on Zapier, so none of them creates anything.
  3. If multiple search results are found?
    Three ways out when several documents match: keep the first one, the default, stop the Zap, or pass all of them on at once.
When it breaks

When the PandaDoc Zap breaks

Zapier keeps a Common Problems with PandaDoc article in its help center. Beyond it, no limit specific to the app is on record, so these are the cases to watch.

Four cases come up again and again. Two are tied to how PandaDoc's operations work, two apply to every Zap and come from Zapier's own rules.

  • A Zap built on a deprecated action

    Create Contact is flagged as deprecated by Zapier. A Zap still using it should move to Create or Update Contact, which also updates contacts that already exist.
  • The document that sends itself again

    A Zap that writes where its trigger watches restarts itself. Creating and sending a document from a Document Sent Zap is exactly that, and it burns tasks fast.
  • Old documents never arrive

    A Zap only reacts to what happens after it is switched on. Documents completed or paid last month are not picked up, and moving that backlog is another job.
  • A sudden burst of events

    After a bulk import or a migration, a trigger can suddenly return a huge batch, and Zapier's flood protection can hold it back instead of running it all.

01Is the PandaDoc Zapier integration free?
On the Zapier side, yes: PandaDoc is not a premium app, so it works from the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap, one trigger and one action. Document Completed followed by Create or Update Contact fits. As soon as you add a filter on the status, a search such as Get Document by ID or a second action, the Zap is multi-step and needs a paid plan.
02How many tasks does a PandaDoc Zap use?
One per action that succeeds. The four PandaDoc triggers never cost anything, however many documents move in a day. A Zap with two PandaDoc actions uses twice as many tasks as a one-action Zap, since each successful action counts on its own. A failed action is not counted, and neither is the trigger. A filter placed right after the trigger is the cheapest way to save: runs it stops never reach the counted steps.
03Does PandaDoc trigger Zapier in real time?
Yes. All four triggers, Document Completed, Document Status Changed, Document Paid and Document Sent, are instant: PandaDoc tells Zapier the moment the event happens and the Zap starts right away, whatever your plan. The polling grid, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise, does not apply to them. In the editor, these Zaps show a lightning bolt, which is the quick way to confirm it.
04What do you need to connect PandaDoc to Zapier?
A PandaDoc account, plus access to the documents and templates the Zap will use. In Zapier, open the Apps page, click + Add connection, pick PandaDoc, click Add connection, then sign in to PandaDoc in the tab that opens and grant access. Check the templates before building: Create Document requires one, picked from the connected account. If the account cannot see it, the field has nothing to offer. Sorting that out first saves a failed test.
05Should you use Create Contact or Create or Update Contact?
Create or Update Contact, in every new Zap. Create Contact is flagged as deprecated by Zapier: it still appears in the list, but it only creates and never touches a contact that already exists. Create or Update Contact updates an existing contact or creates a new one, and the email is its only required field. If an older Zap still relies on Create Contact, rebuild that step, test it on a real record, then publish the new version.
06What if the PandaDoc operation you need is missing?
Zapier covers four document events, document and attachment creation, contacts and three searches. Deleting or voiding a document, or editing a template, is not there. The API Request (Beta) action can reach other PandaDoc features through your connection, but it is meant for someone comfortable with technical settings.
