What the Parcel Tracker Zapier integration actually does
Parcel Tracker is a delivery desk tool: it pulls the details off each parcel that comes in or goes out and matches each one to the person it belongs to. Connected to Zapier, it does one thing. It takes a person from another app and creates that person as a recipient, or updates them if they already exist.
That single action, Create or Update Recipient, covers three very concrete results. First, a recipient list that follows your staff directory: someone joins, a row lands in your HR sheet, and they exist in Parcel Tracker before their first parcel shows up. Second, clean moves: a person changes floor or room, the update reaches Parcel Tracker under the same unique identifier, and the delivery desk sends the parcel to the right place. Third, one list for several buildings: each record carries a Site Id, so a single Zap can feed recipients into the site they belong to.
Now the honest part. Zapier does not read anything out of Parcel Tracker. There is no trigger, so a parcel arriving at the desk cannot start a Zap, and there is no search, so a Zap cannot look up a recipient before acting. The flow only goes one way, into Parcel Tracker. If the goal is to alert people when their parcel arrives, this integration will not do it on its own.

Zapier vocabulary, in plain words
Seven words come back on every Zapier page. Here they are once, so the rest reads without a dictionary.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Parcel Tracker offers none.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you. Here, creating or updating a recipient.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
- Connection
- Your Parcel Tracker account linked to Zapier once, then reused by every step that touches Parcel Tracker.
What it really costs in tasks
Parcel Tracker is not a premium app, so it works on the free plan. What you pay for is tasks.
- Free plan100 tasks per month, unlimited Zaps
- Free plan Zap size2 steps: one trigger, one action
- Premium appNo, works on the free plan
- One recipient written1 task
The trigger from the other app never costs a task, and neither does Zapier checking for new data. Each recipient created or updated successfully is one task. A failed attempt is not counted. The free plan stops at two steps, one trigger and one action. Add a filter, say to skip rows without an email, and the Zap becomes multi-step and needs a paid plan. The interval grid only matters if the app that starts the Zap uses a polling trigger.
Connect Parcel Tracker to Zapier in 3 steps
- 01
Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. Before that, check you have a Parcel Tracker account, with access to every site the Zap will write into.
- 02
Pick Parcel Tracker
Type Parcel Tracker in the search box of the dialog, select it, then click Add connection. A new tab opens on the Parcel Tracker side for the next step.
- 03
Sign in and allow access
Sign in to Parcel Tracker in that tab and grant Zapier access to the account. The connection then shows up in your list, ready for any Zap that uses Parcel Tracker.
Your first Zap: a new staff row becomes a recipient
GoalEach new row in the staff sheet creates or updates the matching Parcel Tracker recipient, only when an email is present.
- 01
Pick what starts the Zap
Parcel Tracker has no trigger, so the Zap starts in the app that holds your staff list. Here, a new row in a Google Sheets file. Test it to bring back the three most recent rows.
- 02
Add a filter
Add a Filter step from the plus icon, then set the field, the rule and the value: the email column, a text rule, and a value that checks it is filled. This turns the Zap into a multi-step Zap, so a paid plan.
- 03
Add the Parcel Tracker action
Choose Parcel Tracker and Create or Update Recipient, pick your connection, then map the columns: unique identifier, first name, last name, email, location and Site Id.
- 04
Test the action
Run the step once with the sample row and check in Parcel Tracker that the recipient exists with the right location and site. Fix the mapping now, before real rows start flowing.
- 05
Publish
Click Publish to switch the Zap on. From there, each new row that passes the filter reaches Parcel Tracker. Rows already in the sheet stay where they are.
The Parcel Tracker action
Parcel Tracker gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create or Update Recipient
ActionIn Zapier“Creates a recipient if it doesn't exist or updates an existing one.”
Writes a person into Parcel Tracker: a new recipient when the unique identifier is unknown, an update of the existing one when it matches. Six fields are required, from name and email to location and Site Id.
When the Zap breaks
Zapier attaches no help article to Parcel Tracker and no app-specific limit is documented. What breaks is what breaks on every Zap.
Four cases are worth knowing before you publish. They come from how Zapier works, not from Parcel Tracker, and each one has a simple fix. For deeper cases, see the Zapier troubleshooting page.
The existing list is not imported
A Zap only reacts to what happens after it is switched on. The people already in your sheet never reach Parcel Tracker through it. Moving the backlog is a separate job.A shifting identifier creates duplicates
The unique identifier is what tells an update from a creation. Map something that changes, and the same person comes back as a second recipient.A bulk import gets held back
When the source app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the Zap back instead of running it on every item.A filter that never passes
Filter rules are typed. A text rule only works on text, a number rule only on numbers. Pick the wrong one and no recipient ever reaches Parcel Tracker.
