Overview

What the Permisso Zapier integration actually does for you

Permisso collects and processes documentation for you. The Zapier integration turns three moments of that work into starting points: a new response in a Documentation Area, a newly extracted document, a newly extracted model. Each one can kick off a Zap that carries the news to the rest of your tools, without anyone copying it by hand.

Three outcomes, one per trigger. A response that lands where your team works: with New Documentation Area Response Created, every new response in a Documentation Area can open a message, a ticket or a row elsewhere. A document that moves on once it is read: New Document Extracted hands the extraction to the next tool in your chain, so the person waiting for it does not have to go and check. A model that announces itself: New Model Extracted does the same job when a model comes out of Permisso.

Now the part the app page does not spell out. Permisso has no actions and no searches on Zapier. A Zap cannot create anything in Permisso, cannot update a record there, and cannot look something up in it. The flow runs one way: Permisso talks, your other apps listen. If the plan was to push files into Permisso from a form or a drive, this integration will not do it.

The good news is on the timing side. All three triggers are instant, so the polling interval of your plan never slows them down. If you are weighing Zapier against other tools for this kind of one-way flow, read the Zapier review and the Make vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Seven words you will meet in the editor, in plain terms.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. On Permisso, it is a new response, a new extracted document or a new extracted model.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, here always in another app.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts exactly those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment it happens. Permisso has only instant ones.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What a Permisso Zap really costs

The Permisso side is free: a trigger never costs a task, however many responses or documents come in.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

You pay for what happens next. Each action that succeeds counts as one task, and an action that fails is not counted. Permisso is not a premium app, so it works on the free plan: 100 tasks a month and Zaps of two steps, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below only matters for polling triggers, and Permisso has none.

Connect

Connect Permisso to Zapier in three steps

  1. 01

    Open your Zapier apps

Go to the Apps page of your Zapier account and click + Add connection. A connection is your Permisso account linked to Zapier once, then reused by every step that needs it.

  2. 02

    Pick Permisso

Type Permisso in the search box of the dialog, select it, then click Add connection. You need an existing Permisso account for this, plus access to anything you do not own yourself.

  3. 03

    Sign in and grant access

A new tab opens on Permisso. Sign in with the account your team actually uses, then grant Zapier access to it. The connection then shows up in your apps list, ready for the Zap.

First Zap

Your first Permisso Zap

GoalEach newly extracted document triggers an email to the person in charge, then a message for the team.

  1. 01

    Pick the trigger

In the editor, choose Permisso as the app that starts the Zap, then New Document Extracted as the event. Select the connection you created earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real document rather than a guess.

  3. 03

    Add the email action

Add Gmail as the first action and map what the trigger returned into the email. Test this step on its own and read what came back before going further.

  4. 04

    Add the team message

Add the Slack step. Note that this second action turns the Zap into a multi-step Zap: on the free plan, keep only one action, or move to a paid plan.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, each new extracted document starts it, and only the two actions that succeed are counted as tasks.

Triggers

The 3 Permisso triggers

3 events start a Zap when something happens in Permisso, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Documentation Area Response Created

Instant trigger

In Zapier“Triggers when a new response is created in a Documentation Area”

This one starts your Zap each time a new response is created in a Documentation Area of Permisso. It is the trigger to pick when the event that matters to you is the answer itself, before any extraction work, so the next tool hears about the response right away.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want a new response to open a follow-up item in your project tool or notify the person who requested the documents.
Watch out
responses received before the Zap was published are never picked up, so plan to handle the existing ones by hand.
2

New Document Extracted

Instant trigger

In Zapier“Triggers when a new document is extracted.”

Here the Zap waits for Permisso to finish extracting a document, then starts. That makes it the natural choice when the people downstream care about the processed result rather than the raw response, and you want them to hear about it without checking Permisso.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an extracted document should go straight to the colleague who reviews it, by email or in a shared channel.
Watch out
the test brings back the three most recent items of the connected account, so have at least one extracted document in Permisso before you map the next step.
3

New Model Extracted

Instant trigger

In Zapier“Triggers when a new model is extracted.”

When Permisso extracts a new model, this trigger sets your Zap going. Use it when models, not individual documents, are the milestone your process tracks, so a single event marks the step as done for everyone who follows the file.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you log each new model in a tracking sheet so the team sees progress without opening Permisso.
Watch out
a large batch arriving at once, after an import for example, can be held back by Zapier's flood protection, so test with a small batch first.
When it breaks

When a Permisso Zap breaks

Zapier attaches no help article to Permisso, and no limit specific to the app is documented. What breaks is what breaks on any Zap.

The four cases below are the general limits of Zapier, applied to a one-way Permisso flow. If a Zap still misbehaves after these checks, the Zapier troubleshooting page is the next stop.

  • The backlog never shows up

A Zap only reacts to what happens after it is switched on. Documents and responses already in Permisso are not picked up; moving them is a separate job.
  • The Zap keeps setting itself off

If an action writes into the very place the trigger watches, the Zap fires again and again, and burns through your task count fast.
  • A big batch stalls

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • The connection lacks access

The connected account needs read or write access on anything it does not own. Without it, the Zap has nothing to work with on those items.

FAQ

Permisso Zapier integration: frequent questions

01Is the Permisso Zapier integration free?
Yes, Permisso is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, but each Zap is limited to two steps: one trigger and one action. Since Permisso only offers triggers, a free Zap means one Permisso trigger followed by one action in another app. A second action, or a filter that only lets certain events through, turns it into a multi-step Zap, and that needs a paid plan.
02How many tasks does a Permisso Zap use?
The Permisso trigger itself never costs a task. Zapier only bills an action that completes successfully, and each one counts on its own. A Zap with one action uses one task per new response, document or model; a Zap with three actions uses three. An action that fails is not counted against your plan. A few apps and a few actions take more than one task when they complete, so check the action side of your Zap, since that is where the whole bill comes from.
03Does Permisso trigger Zaps in real time?
Yes, all three Permisso triggers are instant. Permisso tells Zapier the moment a response is created or a document or model is extracted, and the Zap starts right away. The polling interval of your plan, 15 minutes on the free plan, does not apply to them, because Zapier never has to go and check. In the editor, a Zap built on an instant trigger shows a lightning bolt. This type is set by the app and cannot be changed from the editor.
04What does it take to connect Permisso to Zapier?
An existing Permisso account, plus read or write access on anything you do not own yourself and want the Zap to use. The connection takes three moves: open the Apps page of your Zapier account and click + Add connection, search for Permisso and click Add connection, then sign in to Permisso in the tab that opens and grant Zapier access. The connection is then reused by every step of every Zap that uses Permisso.
05Does a new Zap process documents already in Permisso?
No. A Zap only reacts to events that happen after it is switched on. Responses, documents and models that already existed in Permisso before you published the Zap are never picked up by it. Moving that backlog is a separate job, done by hand or with another method. Keep this in mind on launch day: publish the Zap first, then start the new collection, so nothing falls in the gap between the two.
06What if the Permisso operation you need is not on Zapier?
Then Zapier alone will not cover it. On Zapier, Permisso offers three triggers and nothing else: no action to create or update something in Permisso, and no search to look something up there. A flow that has to write into Permisso cannot start from this integration. The workable path is to keep Permisso as the starting point of the Zap and let the other apps do the writing, or to look at another automation tool for that part of the process.
07Zapier, Make or n8n for Permisso?
It depends on the criteria that matter to you, not on a single winner. On Zapier, Permisso gives you three instant triggers and no actions, so the question is mainly what happens after the trigger. Count the actions each event will run, since every successful one is a task. Check whether your Zaps fit in two steps, the free plan limit, or need filters and several actions. Then compare those needs with what each tool offers for Permisso before you build.
