Overview

What the Phrase Zapier integration is good for

It watches the translation jobs of a Phrase project and tells your other tools when one is created, started or completed. Zapier then passes the news on: to a chat, a spreadsheet, a project board. It is a one-way link: Phrase starts Zaps, but Zapier has no action to change anything inside Phrase.

Three results teams build with it. A delivery alert: Job Completed posts in the team channel when a translation is marked done, so the person waiting for it does not keep refreshing Phrase. A workload tracker: Job Created adds each new job to a sheet or a board, giving the project manager one list of what is coming. A progress signal: Job Started tells the requester that a linguist has picked the job up.

Two things the app page does not underline. First, all three triggers are polling triggers: Zapier asks Phrase for news on a timer, every 15 minutes on the free plan, so a finished job can wait that long before anyone hears about it. Second, each trigger is set on one project, which you choose when you build the Zap.

What Zapier does not do for Phrase: it cannot create a job, upload a file, change a status or look anything up. Every Zap starts in Phrase and ends in another app. If you are weighing platforms for this kind of one-way alert, the n8n vs Zapier comparison is a sensible next read.

Vocabulary

Zapier vocabulary in one minute

Eight words show up on every Zapier screen. Each one explained once, in plain words.

Zap
The automation you build: one trigger, then one or more actions that run every time the starting event happens.
Trigger
The event in an app that starts the Zap, like a Phrase job being completed. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, in another app here.
Task
The unit Zapier bills: one action your Zap completes successfully. Plans give you a monthly count of those.
Polling vs instant
Zapier checks a polling trigger at a fixed interval. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the following steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Phrase Zap really costs

Phrase is not reserved for paid plans, so it works on Zapier's free plan. The bill comes from the other app, not from Phrase.

  • Free plan100 tasks a month, two-step Zaps
  • BilledThe action in the other app
  • Phrase triggers3 polling, interval set by plan

A Phrase trigger never costs a task, and neither do the checks Zapier runs on your project. What you pay for is the action in the other app: one task each time it succeeds, nothing when it fails. The free plan gives 100 tasks a month and two-step Zaps only, so Job Completed plus one message fits. A filter to keep certain jobs, or a second action, makes the Zap multi-step and needs a paid plan. The interval below sets how late the news arrives.

Connect

Connect your Phrase account

  1. 01

    Open your connections

In Zapier, open Apps and click + Add connection. A connection is your Phrase account linked to Zapier once, then reused by each of the three triggers.

  2. 02

    Pick Phrase

Type Phrase in the dialog, select it, then click Add connection. You need an existing Phrase account first, with access to the projects you want to follow.

  3. 03

    Sign in and allow access

Log in to Phrase in the tab that opens, then grant Zapier access. The connection now appears in your list, and any of the three Phrase triggers can use it.

First Zap

Your first Phrase Zap

GoalEvery completed job of one Phrase project that meets your condition is announced in a team channel.

  1. 01

    Choose the trigger

Create a Zap, pick Phrase and the Job Completed event, select your connection, then the project to watch. It is a polling trigger, so your plan sets the delay.

  2. 02

    Test with a real job

Run the test: Zapier brings back the three most recent items of the connected account. Pick one real job so the next steps are mapped on actual data.

  3. 03

    Add a filter

Click the plus icon and add Filter. Set the field to look at, the rule and the value; use a text rule on text, a number rule on numbers.

  4. 04

    Add the message

Add the chat app as the action, choose the channel and write the message, mixing your words with details from the tested job. Test the step and read what came back.

  5. 05

    Publish

Click Publish. The filter makes it a multi-step Zap, so it needs a paid plan, and only jobs completed after publishing will be announced.

Triggers

Phrase triggers on Zapier

3 events start a Zap when something happens in Phrase. Zapier checks for them at the interval your plan allows.

1

Job Completed

Polling trigger

In Zapier“Triggers when a Phrase Job has been marked as completed.”

When a translation job in the chosen project is marked as done, Zapier picks it up and starts the Zap. It is the trigger for anything that should happen at delivery: telling the requester, updating a tracker, or kicking off the next step in another tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a marketing lead who wants to know the French version of a landing page is ready, without checking Phrase.
Watch out
it reacts to the job being marked as completed; a job that is finished but never marked will not start anything.
2

Job Created

Polling trigger

In Zapier“Triggers when a Phrase Job has been created, but not yet started.”

This one starts the Zap once a new job exists in the project, before anyone has begun working on it. That makes it the right base for planning: listing incoming work, warning a reviewer, or logging requests for later reporting.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a localization manager who keeps a shared sheet of every new job to plan the week's capacity.
Watch out
creating many jobs at once, during a large file import, can return a batch big enough for Zapier's flood protection to hold back.
3

Job Started

Polling trigger

In Zapier“Triggers when a Phrase Job is marked as in-progress.”

The Zap starts when a job in the project moves to in-progress, which means someone has actually picked it up. Use it when the people around a translation care about the hand-off rather than the request or the delivery.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a product team that wants a note on its board once work on its strings has begun.
Watch out
with a 15-minute check on the free plan, a short job can be started and completed between two checks, so both Zaps run close together.
When it breaks

When a Phrase Zap breaks

Zapier attaches no help article to Phrase, so the known failures are Zapier's general limits plus the project setting each trigger needs.

Because Phrase only starts Zaps, most problems sit either in the trigger setup or in the app that receives the news. The Zapier troubleshooting guide helps sort out which one.

  • Older jobs never show up

A Zap only reacts to what happens after it is switched on. Jobs completed before publishing are never picked up; reporting on that history is a separate job.
  • The project is not reachable

Each trigger watches one project, picked by identifier or by name. If your Phrase account lost access to it, the trigger stops finding anything.
  • A big import is held back

When a large import creates many jobs at once, the trigger can return a huge batch, and Zapier's flood protection may hold it instead of running every Zap.
  • A job is not announced twice

On a polling trigger Zapier keeps track of what it already saw, so the same job will not start the same Zap a second time.

FAQ

Phrase Zapier integration: questions

01Is the Phrase Zapier integration free?
Yes, Phrase works on Zapier's free plan, since Zapier does not reserve it for paid plans. The free plan still shapes what you can build. It gives 100 tasks a month and only two-step Zaps: one trigger and one action. Job Completed followed by a single message fits. Add a filter to keep only some jobs, or a second action, and the Zap becomes multi-step, which requires a paid plan such as Professional or Team.
02How many tasks does a Phrase Zap use?
Only the actions in the other apps cost tasks: one per action that succeeds. The Phrase trigger is free, and so are the checks Zapier makes on your project, however often they run. A failed action is not counted. So a Zap that posts each completed job in a channel uses one task per job. With 100 tasks a month on the free plan, that covers 100 announced jobs before the allowance runs out.
03Does Phrase on Zapier work in real time?
No. All three triggers are polling triggers: Zapier asks Phrase for new jobs at a fixed interval, then keeps only the ones it has not seen. That interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can adjust the frequency and run a check by hand from the editor. The type comes from the app itself and cannot be switched to instant.
04What does it take to connect Phrase to Zapier?
An existing Phrase account with access to the project you want to follow. In Zapier, open the Apps page, add a connection, pick Phrase in the dialog, sign in to Phrase in the tab that opens and grant Zapier access. Then, in each trigger, choose the project, either by the identifier shown on its Project Overview page or by searching its name. If you cannot see the project in Phrase, Zapier cannot either.
05Why does the Phrase trigger test come back empty?
Usually because the project setting does not match a project your account can reach, or the project has no job in the state the trigger looks for. Each trigger is tied to one project, chosen by identifier or by name, and only sees jobs there. Check the project, then make sure a job has actually been created, started or completed in it. The test brings back the three most recent items, so you need at least one.
06What if the Phrase operation you need is missing?
Then Zapier does not offer it today. The integration has three triggers that follow a job's status, and nothing else: no action to create a job or upload a file, and no search. A Zap can therefore react to Phrase but never write into it. If your process needs that, the writing part has to happen in Phrase itself or through another tool, while Zapier carries the status changes out to your team.
07Zapier, Make or n8n for Phrase?
Choose by criteria, not by brand. On Zapier, Phrase gives three polling triggers, no action, and runs on the free plan, where two-step Zaps and 100 tasks a month are the limits and checks happen every 15 minutes. Compare whether the other platforms can also write into Phrase, how often their triggers check, and how each counts a run. Also consider which tool your team already uses for the chat or board that receives the alerts.
