What the Pic-Time Zapier integration actually does
Pic-Time is where professional photographers store, deliver and sell their client photos. Zapier is the tool that links it to the rest of your business: when something happens in your Pic-Time account, Zapier carries the news to another app, or opens a new gallery for you, without anyone copying data by hand.
Three results come up again and again. First, an order alert: New Order Placed tells your team the moment a client places an order, so fulfilment starts without anyone watching the dashboard. Second, a warm-lead list: New Gallery Visitor hands each person who opens a gallery to your CRM or a spreadsheet, so you know who looked before you follow up. Third, a delivery log: Main Client Gallery Invite Sent records when the main invitation went out, which closes the loop on a shoot.
On the other side, Create New Gallery lets another tool open a fresh Pic-Time gallery for you, for instance when a booking is confirmed elsewhere.
Now the honest part. Zapier offers no search step for Pic-Time, so a Zap cannot look up a gallery that already exists. It cannot edit, rename, archive or delete a gallery either: one action, and it only creates. If your workflow depends on updating projects, plan for that gap before building. To weigh other tools on the same job, read Make vs Zapier and n8n vs Zapier.
Zapier vocabulary, the short version
Eight words carry the whole page. Each one is used below exactly as defined here.
- Zap
- An automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or creates something for you in an app.
- Task
- The unit Zapier bills. One task equals one action that completes successfully; your plan allowance counts those.
- Instant vs polling
- An instant trigger is reported by the app itself at once. A polling trigger is checked by Zapier on a timer set by your plan.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and quietly stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can reuse it. Pic-Time offers none on Zapier.
- Connection
- Your Pic-Time account linked to Zapier once, then reused by every step of every Zap that touches Pic-Time.
What Pic-Time on Zapier really costs
Pic-Time is not reserved for paid plans: it works on the Zapier free plan. What you pay for is tasks, and only actions spend them.
- Free plan100 tasks a month, two-step Zaps only
- Pic-Time triggers3 of 3 instant, no waiting on any plan
- What spends a taskEach successful action, never the trigger
The trigger never costs a task, so a busy gallery with many visitors costs nothing until an action runs. Each action that succeeds counts once; a three-action Zap uses three times the tasks of a one-action Zap. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter, a second action or a search and the Zap becomes a multi-step Zap that needs a paid plan. The polling grid below does not touch Pic-Time, whose triggers are all instant.
Connect your Pic-Time account in three steps
- 01
Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. You need a Pic-Time account, plus access to any gallery or project you do not own but want the Zap to touch.
- 02
Pick Pic-Time
Type Pic-Time in the search box of the dialog, select it, then click Add connection. A new tab opens on the Pic-Time side so you can sign in with your own account.
- 03
Sign in and grant access
Log in with the Pic-Time account that holds your galleries and allow Zapier to reach it. The connection then shows up in your list, ready for every Zap that uses Pic-Time.
Your first Pic-Time Zap: order alerts your team can act on
GoalPost a message in your team channel each time a client places an order in Pic-Time, but only for the orders that match your rule.
- 01
Build: choose the trigger
Create a new Zap, pick Pic-Time as the app and New Order Placed as the event, then select the Pic-Time connection you made earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent orders of the connected account, so you map the next steps on a real one rather than a blank.
- 03
Add the filter
From the plus icon, add Filter, then set the field, the rule and the value. Mind the type: a text rule never passes on a number. This step makes the Zap multi-step, so a paid plan is required.
- 04
Add the message action
Add the messaging app, pick the channel and drop the order details from the trigger into the message so your team sees who ordered.
- 05
Test, then publish
Test each step once and read what came back. When the output looks right, click Publish to switch the Zap on and let it run.
Pic-Time triggers on Zapier
3 events start a Zap when something happens in Pic-Time, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
New Gallery Visitor
Instant triggerIn Zapier“Triggers when a new visitor is entering your Pic-Time galleries.”
Each time someone enters one of your Pic-Time galleries, this trigger starts the Zap with that visitor. It turns passive traffic into a list you can actually work through.
New Order Placed
Instant triggerIn Zapier“Triggers when a new order is placed in your Pic-Time account.”
This one starts the Zap whenever a client places an order in your Pic-Time account. It is the trigger that ties your galleries to money coming in.
Main Client Gallery Invite Sent
Instant triggerIn Zapier“Triggers and an email is sent to a user in the project”
When Pic-Time sends the main client of a project the invitation email to their gallery, this trigger hands that event to Zapier. It marks the moment a job moves from shooting to delivery.
Pic-Time action on Zapier
Pic-Time gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create New Gallery
ActionIn Zapier“Create a new gallery”
Opens a fresh gallery in your Pic-Time account from data another app sends, so the delivery space exists before the shoot even starts.
When your Pic-Time Zap breaks
Zapier links no help article to Pic-Time, so the traps below are the general ones that hit this app hardest.
Several of these failures leave no error message at all. Know these four cases before you publish, and use Zapier troubleshooting when a run still fails.
Old orders never show up
A Zap only reacts to what happens after you switch it on. Orders, visits and invites from before that moment are ignored, and moving them is a separate job.A Zap that sets itself off
If a Zap writes into the very place its own trigger watches, it starts itself again and again, and it eats through your task count fast.A sudden flood is held back
After a bulk import or a migration, a trigger that returns a huge batch at once can be held back by Zapier's flood protection, and the Zap does not run on it straight away. The filter quietly blocks everything
Filter rules are typed. A text rule applied to a number, or the reverse, never passes, so the Zap stops on every run without a visible error.
