Overview

What the Pingueen Zapier integration actually does

The integration plugs Pingueen, a tool for running customer conversations and marketing on a WhatsApp business number, into Zapier, which chains apps together without code. Other apps can hand Pingueen a phone number, and Pingueen files the client, messages them or routes them to a person.

Three results, one per action. First, a clean client list: Create or Update Client With Label adds the person behind a WhatsApp number to Pingueen, or refreshes them if they are already there, with a label that says where they came from. Second, a first message that goes out on its own: Send Template Message sends one of your Pingueen templates to a number, so a lead who fills a form hears from you on WhatsApp. Third, a human in charge: Assign Agent to a Client hands that client to a named agent, so the follow-up has an owner from the start.

The limits are just as clear. Pingueen offers no trigger on Zapier, so nothing that happens in Pingueen, a reply, a new chat, a label change, can start a Zap (the automation you build in Zapier). Every Pingueen Zap begins in another app. There is no search either, so a Zap cannot check what Pingueen already knows about a number before acting. And there is no free-text message: what goes out is a template.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every Zapier screen. Here they are in plain terms, with WhatsApp outreach as the example.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. Pingueen has none on Zapier, so the trigger always comes from another app, such as a form.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like a WhatsApp template.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and the count on your plan is a count of those.
Polling vs instant
A polling trigger is checked on a timer, set by your plan. An instant trigger is reported by its app when the event happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Connection
Your Pingueen account, linked to Zapier one time, then reused by every Pingueen step of every Zap you build.
Cost

What a Pingueen Zap costs in tasks

Pingueen is not a premium app on Zapier, so it works on the free plan. Zapier counts tasks, and with Pingueen every step is an action that counts.

  • Trigger from the other app0 tasks
  • Each Pingueen action that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps only
  • Paid plan required for PingueenNo

The trigger from the other app costs nothing. Each Pingueen action that succeeds costs one task, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. A form that sends a template fits. Label the client, send the template and assign an agent in one go and the Zap is multi-step, needs a paid plan and uses three tasks per lead. How fast it starts depends on the other app's trigger: if Zapier has to poll it, the interval of your plan applies.

Connect

Connect your Pingueen account

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. In the dialog, type Pingueen in the search box and pick it from the list of results.

  2. 02

    Sign in to Pingueen

Click Add connection. Pingueen opens in a new tab: sign in with the account tied to the WhatsApp number your team uses. No Pingueen account, no connection.

  3. 03

    Grant access

Approve the access Zapier asks for. If the Zap has to touch clients, templates or agents you do not own yourself, make sure your user has read or write rights on them first. Every Pingueen step then reuses this connection.

First Zap

Your first Pingueen Zap, step by step

GoalWhen someone fills in your contact form, file them in Pingueen with a label, send them a WhatsApp template and assign an agent.

  1. 01

    Start in the other app

Build a new Zap and pick your form tool as the app that starts it, with its new-response event. Test it so Zapier brings back the three most recent responses to map from.

  2. 02

    File the client

Add the Pingueen action Create or Update Client With Label. Map the WhatsApp Number and Client name from the form answer, then choose the label that marks the source.

  3. 03

    Send the template

Add Send Template Message, pick the template and map the same WhatsApp Number, prefix included. From here the Zap is multi-step, so a paid plan applies.

  4. 04

    Assign an agent

Add Assign Agent to a Client, map the number into Client Phone and choose the agent who will follow up with this new lead.

  5. 05

    Test, then publish

Test each Pingueen step on your own number first and read what came back. When the message lands, click Publish to switch the Zap on for real leads.

Actions

Pingueen actions

Pingueen gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Assign Agent to a Client

Action

In Zapier“Assign an Agent to a Client by WhatsApp number”

Hands the client behind a WhatsApp number to one of your Pingueen agents, so the conversation has a named owner.

When to use it
a high-value lead or a complaint comes in and should go straight to the right salesperson or support agent.
Watch out
Client Phone needs the number with its prefix, and the agent is chosen from those already set up in Pingueen.
2

Create or Update Client With Label

Action

In Zapier“Create or Update Client With Label”

Adds a client to Pingueen from a WhatsApp number and a name, or updates the existing one, and tags them with a label so you can sort contacts by origin.

When to use it
leads arrive from a form, a shop or an event list and should be in Pingueen, tagged, before anyone writes to them.
Watch out
both the WhatsApp Number and the Client name are required; a form that makes the name optional will stop this step.
3

Send Template Message

Action

In Zapier“Send a Send Template Message to a WhatsApp number”

Sends one of the templates stored in your Pingueen account to the WhatsApp number you map, without anyone opening the inbox.

When to use it
a booking is confirmed or a quote is requested, and the customer should get a standard first message on WhatsApp.
Watch out
the number must carry its international prefix, and the template has to exist in Pingueen beforehand; there is no free-text option here.
When it breaks

When a Pingueen Zap breaks

Zapier attaches no help article to Pingueen, and no limit specific to the app is documented. What breaks is what can break on any Zap that messages people.

Four cases to know before you publish. With an app that writes to customers, a mistake is seen by them, not just by you, which is why they deserve a read now. For a step-by-step way to debug a Zap, see Zapier troubleshooting.

  • Leads from before the Zap

A Zap only reacts to what happens after it is switched on. Form entries collected earlier never reach Pingueen; importing that backlog is a separate job.
  • A flood after an import

If the other app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of messaging everyone.
  • The Zap that feeds itself

If a Pingueen action writes into the very place the other app's trigger watches, the Zap keeps setting itself off and burns through your tasks fast.
  • A filter that never passes

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Pick the wrong one and no lead ever reaches Pingueen.

FAQ

Pingueen Zapier integration: common questions

01Is the Pingueen Zapier integration free?
On the Zapier side, yes, within limits. Pingueen is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch is Zap size: the free plan only builds two-step Zaps, one trigger and one action. A form that sends one template fits. Labelling the client, sending the template and assigning an agent in the same Zap makes it multi-step, which needs a paid plan. No prices appear here, because Zapier's grids change too often to publish.
02How many tasks does a Pingueen Zap use?
One per Pingueen action that succeeds. The trigger, which comes from another app, costs nothing. A Zap that only sends a template uses one task per lead; one that labels the client, sends the template and assigns an agent uses three. An action that fails is not counted against the plan. Multiply the number of Pingueen actions by the number of leads to see how quickly the 100 tasks of the free plan, or the count of your paid plan, will go.
03Can Pingueen start a Zap on its own?
No. Pingueen has no trigger on Zapier, so a reply, a new conversation or a label change inside Pingueen never starts anything. The Zap always begins in another app, a form, a shop or a CRM, and Pingueen comes second. How fast it reacts then depends on that app's trigger: an instant one reports the event straight away, a polling one is checked at the interval of your plan, from 15 minutes on Free down to 1 on Team and Enterprise.
04What does it take to connect Pingueen to Zapier?
A Pingueen account and a Zapier account. From the Apps page in Zapier, add a connection, pick Pingueen, sign in to Pingueen in the tab that opens and grant Zapier access. If the Zap will touch clients, templates or agents that someone else owns, your user also needs read or write rights on them. The connection is made once; every Pingueen step of every Zap reuses it afterwards, so a new Zap does not ask you to sign in again.
05Why must the WhatsApp number include its prefix?
Because two of the three actions ask for it explicitly. Send Template Message and Assign Agent to a Client both want the WhatsApp number with its international prefix, and Create or Update Client With Label needs the number as well. Forms often collect phone numbers the way people type them, with a leading zero and no country code. Check one real answer during the test, and if the prefix is missing, fix how the form asks for the number before publishing the Zap.
06What if the Pingueen operation you want is missing?
Then Zapier alone will not cover it. Pingueen offers three actions on Zapier and nothing else: no trigger, no search, no free-text message. A Zap cannot react to a WhatsApp reply or look up what Pingueen already knows about a number. The options are to rebuild the flow around labelling, templates and agent assignment, to check whether another automation tool reaches what is missing, or to ask Pingueen to add it to its Zapier app. Check this page before planning around a step that is not there.
07Zapier, Make or n8n for Pingueen?
It depends on your criteria, not on a winner. Zapier fits when the job is one-way: another app hands over a lead and Pingueen labels, messages and assigns it, in a two-step Zap on the free plan or a longer one on a paid plan. It fits less when the flow has to react to what happens in Pingueen, because there is no trigger. Before picking another tool, check that it offers a Pingueen connector with the operations your flow depends on. This page covers Zapier only.
