Plecto Zapier integrationAutomate Plecto with Zapier.
The Plecto Zapier integration has 0 triggers and 1 action: it pushes a record from another tool into Plecto so your sales and support dashboards count it. Here is what that action needs, what it costs you, and the mistakes that skew the numbers.

What the Plecto Zapier integration is for
Plecto puts sales and customer service targets on screen, so teams see each month where they stand. Zapier fills it from the tools Plecto does not reach on its own: each event in another app becomes a registration in Plecto, credited to the right person, and your dashboards count it.
Three results teams build with it. Won deals on the sales board: a deal moved to won in your CRM runs Create New Registration, and the rep's total moves on the screen. Booked meetings per rep: a meeting scheduled in your booking tool lands in Plecto under the person who owns it and adds to that rep's meeting count. Support activity on the service board: a ticket closed in your helpdesk is registered for the agent who closed it.
What Zapier does not do with Plecto is just as plain. There is no trigger, so nothing in Plecto can start a Zap: reaching a target or a new dashboard sets nothing off. There is no search either, and no way to edit or remove a registration once sent. It is a one-way street into Plecto. And every record needs an External ID unique to the item, such as the opportunity ID, so check which ID your source tool can hand over before you build.

Zapier vocabulary in one minute
Eight words from the editor, one plain line each. All of them come back below.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. With Plecto it always comes from another app: your CRM, your helpdesk, your calendar.
- Action
- What the Zap does once started: the step that writes something for you. Here, a registration added to Plecto.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's count is a count of those.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the new ones.
- Instant trigger
- A trigger the app reports itself, the moment the event happens, so nothing waits for the next check.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes one, and it then needs a paid plan.
What a Plecto Zap really costs
Plecto is not a premium app, so it works on the free plan. Zapier bills tasks, and only successful actions count.
- Trigger (other app)Free, never counted
- Registration sent1 task each
- Registration that failsNot counted
- Free plan100 tasks a month, two-step Zaps only
The trigger in the other app never costs a task. Each registration that reaches Plecto costs one; one that fails costs nothing. That adds up quickly on a busy CRM: every deal, call or ticket you send is a task, and the free plan stops at 100 a month. The free plan also builds two-step Zaps only, so a filter that keeps just the won deals turns it into a multi-step Zap on a paid plan. The grid below applies to the other app's trigger when it is polled.
Connect Plecto to Zapier in three steps
- 01
Open your connections
In Zapier, open the Apps page of your account and click + Add connection. The connection is made once, then reused by every step that writes into Plecto.
- 02
Pick Plecto
Search for Plecto in the dialog, select it, then click Add connection. You need an existing Plecto account before you can go any further with the setup.
- 03
Sign in and grant access
Log in to Plecto in the tab that opens and allow Zapier in. Use an account that can write to the data sources your dashboards read, not only view the screens.
Your first Plecto Zap
GoalCount every won deal from your CRM on the sales team's Plecto dashboard, credited to the rep who owns it.
- 01
Start on your CRM
Build: pick your CRM as the app that starts the Zap and its deal stage event. Plecto has no trigger, so the starting point always sits in another tool.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of the CRM account, so the mapping uses a real deal, a real owner and a real ID.
- 03
Keep only won deals
From the plus icon, add Filter, pick the stage field, a text rule and your won value. The filter makes this a multi-step Zap, so it needs a paid plan.
- 04
Add Create New Registration
Pick your Data Source, type the Integration Name, then map the owner's ID to User ID, their name to User Name and the deal ID to External ID.
- 05
Test, then publish
Test the action once, check the registration in Plecto, then click Publish. Each won deal counted from then on costs one task.
The Plecto action
Plecto gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create New Registration
ActionIn Zapier“Creates a new registration.”
Adds one record to a Plecto data source and ties it to a person from the other system, so it counts on that person's figures. It requires an Integration Name, a User ID, a User Name, a Data Source and an External ID.
When a Plecto Zap breaks
Zapier ties no help article to Plecto. What goes wrong comes from Zapier's general limits and from the action's own fields.
Four cases to know before you publish. If one of them shows up, the Zapier troubleshooting page is the next stop.
The month starts at zero
A Zap only sends what happens after it is switched on. Deals closed earlier never reach Plecto, and importing that history is a separate job.One rep split in two
Plecto groups users by the Integration Name. Spell it Salesforce in one Zap and salesforce in another, and the same people can appear under two sources.A bulk update held back
A mass import or migration in the CRM can return a huge batch on one check. Zapier's flood protection can then hold those items back.No double count from the trigger
On a polling trigger, Zapier remembers what it has seen, so the same deal does not start the Zap twice. The External ID should be unique per item too.
