What is the best software for an accounting firm in 2026?
Your firm doesn't run on one app. It runs on a ledger hub, a tax package and a workflow tool, and the gaps between them are where hours disappear.
In the US, "accounting firm software" means three different things. There is the hub where you work inside your clients' books (write-up and bookkeeping). There is professional tax software. And there is practice management: the tool that tracks jobs, deadlines, client requests and billing across the whole firm. Most "best of" lists mix the three and rank them against each other.
The short answer. Intuit Accountant Suite is the starting point for any firm with QuickBooks clients: its Core tier has no monthly fee and replaces QuickBooks Online Accountant at the end of 2026. Financial Cents is the most affordable practice management tool, with a $19 solo plan and Team at $49 per user per month billed annually. Karbon is the strongest pick for practice management if you want clear per-user pricing, from $59 per user per month billed annually. Canopy fits a firm that wants workflow, client portal and a close add-on in one place, from $74 per user per month. Jetpack Workflow is the lean option when all you need is recurring work and deadlines.
What other lists skip: the price you pay is per user for workflow tools and per client for some add-ons, and a 4-user minimum changes the math for a small firm. We ran the numbers for each one.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

Accounting firm software compared
This ranking is for a CPA, bookkeeping or tax firm of 1 to 50 people choosing the platforms it runs on every day. A tool only makes the ranking if it is built for a firm serving many clients and publishes its price on an official page. Tax packages such as UltraTax CS and Lacerte are covered below, outside the ranking, because we could not read an official price for them.

How we compared and scored
This page is for the partner or operations lead who picks the software the whole firm works in. It does not rank consumer bookkeeping apps your clients buy for themselves, and it does not rank payroll.
The first filter is fit: the tool has to be built for a firm that manages many client files, with multi-client access, staff roles and firm-level views. The second filter is price. A platform that hides every number behind a demo cannot be compared fairly, so it moves outside the ranking.
The weights follow what drives a firm's margin. Built for firms counts for 30%, because a single-business tool forces workarounds on every engagement. Price transparency counts for 25%: per-user minimums and annual-only rates change the real cost. Workflow and deadlines count for 20%, client collaboration (portal, requests, e-signature) for 15%, and ledger depth for 10%, since workflow tools rely on a separate ledger.
Then we read the market data. In the Journal of Accountancy 2026 tax software survey, UltraTax CS leads with 22.3% of respondents and Lacerte follows with 16.7%. That tells you the tax package is usually a separate decision from the tools below.
- Built for firmsMulti-client access, staff roles, firm-level dashboards and views across all clients.30%
- Price transparencyPublished price, per-user or per-client unit, minimum seats, annual versus monthly billing.25%
- Workflow and deadlinesJobs, recurring work, due dates, task assignment and capacity.20%
- Client collaborationClient portal, document requests, messaging and approvals.15%
- Ledger depthDirect work in client books: categorization, reconciliation, close.10%

Intuit Accountant Suite
If your clients use QuickBooks Online, you already work in Intuit's accountant hub. The news for 2026 is the name and the packaging: QuickBooks Online Accountant is being retired at the end of 2026 and replaced by Intuit Accountant Suite. Its Core tier has no monthly recurring fee and stays free for your firm.
Above Core sits Accelerate, a paid tier. Intuit says it becomes free for firms in the ProPartner program at the Premier level and above starting in early 2027. If your firm is close to that level, check your status before you pay for the upgrade.
The strength here is ledger depth. You work directly inside each client's books, with the same data the client sees. For a firm where most clients are on QuickBooks, nothing else on this page replaces that.
Its limit: it is a hub for QuickBooks clients, not a firm-wide workflow tool. Clients on Xero or other ledgers stay outside, and job tracking across the firm usually needs a practice management tool such as Karbon or Canopy.
Tip: before the switch at the end of 2026, list which features you use in QuickBooks Online Accountant today and confirm which tier carries each one. That avoids a surprise upgrade once the old product is gone.
- Core tier with no monthly fee
- Replaces QuickBooks Online Accountant
- Accelerate free for ProPartner Premier and up from early 2027
- ✓Free for the firm at the Core tier
- ✓Direct work in client books
- ✓Standard tool for QuickBooks clients
- ✗Only covers QuickBooks clients
- ✗Not a firm-wide workflow tool
- ✗Accelerate pricing not shown on the page we read
The default hub for any firm with QuickBooks clients, and the Core tier costs nothing. Pair it with a workflow tool if you run more than a handful of engagements.
Financial Cents
Financial Cents is practice management built for accounting, bookkeeping and tax firms. It covers workflow and tasks, client requests and a portal, document storage, a CRM, time tracking, invoicing, proposals and reporting. Higher tiers add automation, integrations and advanced security.
Its pricing is the friendliest of the ranking for small firms. Solo costs $19 per month for one user. Team costs $49 per user per month billed annually, or $69 monthly. Scale costs $69 annually, or $89 monthly. Enterprise is quoted on request.
The minimum works the other way round from Karbon: monthly billing on Team and Scale requires 5 users, but annual billing has no minimum. A two-person firm on Team pays $1,176 a year billed annually, against $2,832 for the four seats Karbon Team would require.
Its limit: like Karbon and Canopy, it keeps no ledger and prepares no tax returns. The page also lists a per-client Month-End Close add-on, but shows two different prices for it, so confirm the amount before you count on it.
Tip: if you work alone, start on Solo. Move to Team billed annually the day you hire, so you never hit the 5-user monthly minimum.
- Solo plan at $19 per month
- Team from $49 per user, billed annually
- Invoicing and time tracking included
- ✓Cheapest entry for a solo firm
- ✓No minimum on annual billing
- ✓Workflow, portal and billing in one tool
- ✗5-user minimum on monthly billing
- ✗No ledger or tax module
- ✗Month-End Close add-on price unclear on the page
The best value for a solo practitioner or a small firm. Bill annually from the start to avoid the monthly minimum.
Karbon
Karbon is practice management: it runs the work, not the books. It organizes jobs, recurring work, deadlines and the client conversations around them, for a firm whose clients may sit on QuickBooks, Xero or anything else.
The pricing is public and clear. Team costs $59 per user per month billed annually, or $79 billed monthly, with a 4-user minimum. Business costs $89 per user per month annually, or $99 monthly. Enterprise is quoted on request.
Do the math with the minimum. A firm of four on Team pays $2,832 a year billed annually, or $3,792 billed monthly. Paying yearly saves $960. The minimum also means a solo practitioner pays for four seats.
Its limit: Karbon keeps no ledger. You still need the client's accounting software for the books and a separate package for tax returns. Its value is in the time saved coordinating everyone, which only shows once the whole team uses it every day.
Tip: start on Team billed monthly for the first quarter. Once the team has adopted it, move to annual billing for the lower rate.
- Team from $59 per user, billed annually
- Monthly billing available
- Works with any client ledger
- ✓Clear published pricing
- ✓Monthly option to start
- ✓Ledger-agnostic
- ✗4-user minimum on Team
- ✗No ledger or tax module
- ✗Enterprise only on quote
The cleanest pick for running a growing firm's work. Skip it if you are a solo practitioner: the 4-user minimum makes it expensive.
Canopy
Canopy sells practice management with a strong client side: workflow, a client portal for documents and requests, and an add-on for the monthly close. Prices are published per user per month, billed annually: Standard at $74 and Plus at $109. A Premium tier at $149 is listed as coming soon.
The interesting piece for bookkeeping work is Close Automation, priced per connected client: $10 per client per month. That changes the unit of cost. A firm of three on Standard with 40 connected clients pays $2,664 a year for the seats and $4,800 for Close Automation.
Its limit: the per-user rate is higher than Karbon's Team tier, and Close Automation scales with your client count, not your headcount. Like Karbon, Canopy is not the client's ledger and does not replace tax software.
Tip: run Close Automation on a few clients with messy monthly closes first. If it does not save time there, it will not save time on the easy ones.
- Standard from $74 per user, billed annually
- Close Automation at $10 per client
- Client portal included
- ✓Strong client portal
- ✓Close add-on for bookkeeping work
- ✓Published tiers
- ✗Higher per-user price than Karbon Team
- ✗Add-on cost grows with client count
- ✗Premium tier not yet available
A good fit if your clients need a portal and your team spends hours on monthly closes. Price the per-client add-on before you commit.
Jetpack Workflow
Jetpack Workflow says it plainly: it is a workflow tool, not an all-in-one practice management suite. It standardizes recurring client work (monthly closes, payroll runs, tax returns) with reusable templates, automated tasks and deadlines, and team capacity views.
The page lists Starter at $49 and Premium at $59 per seat per month. Lower annual rates appear in the page data, but the visible page does not label the billing period, so confirm what you will pay at checkout. Enterprise, with SSO and a dedicated account manager, is quoted on request.
Its limit: no billing or invoicing, and no client portal on the level of Canopy or Financial Cents. You will pair it with another tool for invoices.
Tip: build your three most common recurring jobs as templates during the trial. If the deadlines fire correctly for one month, the tool will hold up.
- Templates for recurring work
- Team capacity views
- From $49 per seat
- ✓Focused and simple
- ✓Strong on recurring deadlines
- ✓Enterprise with SSO
- ✗No billing or invoicing
- ✗Billing period not labeled on the page
- ✗No ledger or tax module
A lean choice if recurring deadlines are your only pain. If you also want invoicing and a portal, Financial Cents covers more for less.
Ledger, tax, workflow: three decisions, not one
No single product on the US market covers client books, professional tax returns and firm workflow equally well. Here is how to think about each layer and what it really costs.
The ledger hub
Where you work in your clients' books. For QuickBooks clients, Intuit Accountant Suite Core costs your firm nothing. Your choice here mostly follows the software your clients already use.
The tax package
UltraTax CS and Lacerte lead the Journal of Accountancy 2026 survey, with 22.3% and 16.7% of respondents. Pricing is not published on the pages we could read, so ask for a written quote per return or per seat.
Practice management
Financial Cents from $49 per user, Karbon from $59, Canopy from $74, all billed annually. This is the layer that ties the firm together, and the one where per-user minimums matter most.
- Is the price per user, per client, or per return, and what is the minimum?
- How much more does monthly billing cost compared to annual?
- Does the workflow tool connect to the ledger and tax software you already use?
- Which features move to a paid tier when QuickBooks Online Accountant is retired?
- Can you export all your data, jobs and documents if you leave?
- Does the client portal replace the email threads your team handles today?
Other tools worth knowing
These names come up in every search for accounting firm software. They are not ranked because we could not read an official price for them, or because they cover a different job.
Other tools
UltraTax CS: the most used tax package
TaxUltraTax CS leads the Journal of Accountancy 2026 tax software survey with 22.3% of respondents. It handles professional tax preparation, not bookkeeping or firm workflow. We did not find a published price, so ask for a quote before renewal season.

- Quote on request
Lacerte: the runner-up tax package
TaxLacerte comes second in the same survey with 16.7%. It is a tax preparation package, separate from the ledger hub and workflow tools ranked above. Pricing was not on any official page we could read.

TaxDome: practice management with a client portal
WorkflowTaxDome competes with Karbon and Canopy on workflow and client portal. Its pricing page refused our requests, and we do not rank a tool without reading its price. Compare its quote against Karbon at $59 and Canopy at $74 per user.
- Role
- Workflow and client portal
- Ledger
- None
Xero: the other client ledger
LedgerMany firms serve both QuickBooks and Xero clients. Xero has a partner program for accountants, but we could not read its terms. If a large share of your clients use Xero, ask for the partner conditions in writing.

What makes firm software cost more than planned
None of these shows up on a pricing page. All of them show up on the invoice.
Pitfalls
Ignoring the seat minimum
PriceKarbon Team requires 4 users. A two-person firm pays for four seats, so $2,832 a year billed annually instead of $1,416. Check the minimum before you compare per-user prices.
- Karbon Team
- 4 users minimum
Staying on monthly billing
PriceKarbon Team costs $79 per user monthly against $59 annually: 34% more. Business goes from $89 to $99. Once your team is settled on a tool, annual billing is the easiest saving you will make.
- Karbon Team
- $79 monthly vs $59 annually
Missing the QuickBooks Online Accountant switch
ChangeQuickBooks Online Accountant ends at the end of 2026. Core stays free, but some features may sit in the paid Accelerate tier. Map what you use now so you don't discover a paywall during a busy close.
- Replaced by
- Intuit Accountant Suite
Forgetting per-client add-ons
PriceCanopy's Close Automation costs $10 per connected client per month. With 100 connected clients, that is $12,000 a year on top of the seats. Price add-ons on your real client count.
- Canopy add-on
- $10 per client per month
Pick your firm software on facts, not demos
A few simple habits that keep a software decision grounded in your firm's real work.
Tips
Run one real client through it
ChoicePick one client with a messy monthly close and run a full month through the trial: requests, documents, review, sign-off. A demo shows the happy path. Your messiest client shows the rest.
- Duration
- One full monthly cycle
Go annual only after adoption
PriceStart monthly where it exists (Karbon offers it), then switch to annual once the whole team uses the tool daily. You pay a little more for a quarter and avoid a year locked into a tool nobody opens.
- Saving on Karbon Team
- $20 per user per month
Draw your three layers
SetupWrite down your ledger hub, your tax package and your workflow tool, and the cost unit of each (per user, per client, per return). Most overspending comes from two tools doing the same job, such as two client portals.

Your questions about accounting firm software
What software do most CPA firms use?
For tax, UltraTax CS and Lacerte lead the Journal of Accountancy 2026 survey, with 22.3% and 16.7% of respondents. For client books, firms mostly follow their clients, which often means QuickBooks. Workflow tools vary much more from firm to firm.
What is replacing QuickBooks Online Accountant?
Intuit Accountant Suite replaces it at the end of 2026. The Core tier has no monthly recurring fee and stays free for your firm. The paid Accelerate tier becomes free for ProPartner Premier firms and above from early 2027.
Is QuickBooks Online Accountant or Xero better for a firm?
Follow your client base. If most clients run QuickBooks, the free Intuit hub is the obvious base. If many run Xero, you will need both, and a ledger-agnostic workflow tool like Karbon becomes more valuable.
What is the best practice management software for a small firm?
For three people or fewer, Financial Cents is the safest bet: $19 for a solo user, and no minimum on annual Team billing. Karbon Team has a 4-user minimum, so you pay for four seats.
How much does practice management software cost per user?
Among the published prices we read: Financial Cents from $19 for a solo user and $49 per user on Team, Karbon from $59 per user per month billed annually ($79 monthly), Canopy from $74. Enterprise tiers are quoted on request.
Do I need separate tax software?
Yes, in practice. None of the five ranked platforms prepares professional tax returns. Budget for a tax package such as UltraTax CS or Lacerte, and get a written quote, since prices are not published.
