What is the best church management software in 2026?

Most churches don't outgrow their ChMS. They outgrow the bill, one add-on and one giving fee at a time.

Your member list lives in a spreadsheet, volunteers get scheduled by text, and giving comes in through three different apps. A church management system (ChMS) pulls people, households, giving, groups, check-in and communication into one place.

The short answer: ChMeetings for most churches (free up to 50 people, then from $12 a month, in 26 languages). Elvanto if your church runs on small groups and serving teams. Planning Center if you want the deepest toolset and your whole congregation works in English. Breeze if you want one flat price.

This ranking is for a church or ministry of 30 to 1,000 people with no full-time IT staff. Every tool here publishes its price. Vendors that only quote on request (Church Community Builder, MinistryPlatform and a few others) are left out, because you can't compare a price you can't see.

How we scored

How we compared and scored

We reviewed about twenty church management systems. Two filters came first. A public price: no "contact sales" vendors. And a check of each free plan's real limits, read on the vendor's own pricing page rather than a directory listing.

Then five weighted criteria. Real cost counts for 25%, worked out per year with setup fees, add-ons and annual discounts. People, giving and volunteers count for 20%, because that's what a ChMS is for. Interface languages count for 20%: more and more US churches run a Spanish-language service, and an English-only tool leaves those members out. Ease of use counts for 20%, since your treasurer and your welcome team aren't IT people. Data and trust (hosting, export, vendor track record) count for 15%. Rank follows score, no exceptions.

We also read user reviews, starting with the bad ones. On Trustpilot, Tithely (the parent company of Breeze and Elvanto) holds 4.1/5 across 1,177 reviews: people like the ease of use, and some describe being billed after canceling. One church left Planning Center because it found it "not intuitive at all". A treasurer gave up on Elvanto after a month of training on its accounting.

Best overall

ChMeetings

4.6/5

ChMeetings packs a lot into a low price. The free plan isn't a trial: 50 people and 50 donations a month, forever. After that, pricing follows headcount: $12 a month up to 100 people, $25 up to 250, $40 up to 500. Pay annually and you get two months free.

Every plan includes members and households, giving and statements, events with kids' check-in, volunteer scheduling, service planning, email, SMS, voice and push messages, accounting and a member portal. ChMeetings says more than 8,000 churches, ministries and dioceses use it. A read-only connection to ChatGPT, Claude, Gemini or Grok lets you ask questions about your data in plain English.

It's also the multilingual pick: the interface is available in 26 languages, including Spanish and Portuguese. Handy for a church with a Spanish-speaking service.

The catch: it's hosted on Microsoft Azure in the US, fine for a US church but a data transfer question for members abroad, and there are few public reviews outside software directories.

Tip: stay on Free while you enter your first 50 profiles and run one real month of giving. You'll know whether your team adopts it before you pay a cent.

Standout features
  • Free to 50 people
  • 2 months free on annual
  • 26 interface languages
+Pros
  • ✓No setup fee, cancel anytime
  • ✓Every module on every plan
  • ✓Cheapest paid plan in the ranking
−Cons
  • ✗Hosted on Microsoft Azure in the US
  • ✗Few independent reviews
  • ✗Smaller ecosystem than Planning Center
Verdict

The best pick for most churches, and the best value. Start free, move to annual billing once you pass 50 people.

Best for small groups

Elvanto

4.1/5

Elvanto, now a Tithely company, prices on active adults only. Kids and contacts who aren't members don't count. That's $19 a month up to 50 adults, or $15.20 billed yearly, and $39 up to 100. Add a one-time $149 setup fee.

Its strength is organizing people: rosters for worship and hospitality teams, small groups, a member portal and messaging. It also states servers in Australia, Europe and the US, with EU customers covered by GDPR.

Elvanto says its interface is translated into Spanish and French; check it during the trial, menus and emails included.

The catch: it takes time to learn. One treasurer quit after a month of training, finding the accounting side too complicated. There's no permanent free plan either.

Tip: clean your data before importing. Flag kids and visitors as non-members and you may drop a tier, saving up to $374 a year.

Standout features
  • Only active adults count
  • Servers in the US, Europe and Australia
  • 20% off yearly
+Pros
  • ✓Kids and non-members free
  • ✓Strong team rosters
  • ✓Spanish interface, per the vendor
−Cons
  • ✗$149 setup fee
  • ✗Accounting feels heavy to some treasurers
  • ✗No free plan
Verdict

A strong fit for group-based churches. Budget training time for your treasurer.

Most complete toolset

Planning Center

3.9/5

Planning Center is the default answer for a reason. It's a set of separate apps that share one database: People for your directory, Services for worship planning and teams, Giving, Check-Ins for kids, Groups, and more.

The free tier is unusual. People is free with unlimited profiles and reports. Every other module is free up to a threshold: 5 team members in Services, 10 donations a month in Giving, 10 check-ins a day, 15 members in Groups. A small church plant can run on it for a long time without paying.

Past those thresholds, no paid price is printed: you get it from the calculator on the official pricing page by ticking your modules and entering your size. Do that before you compare. Giving costs 2.15% + $0.30 per card donation and $0.30 per ACH gift, plus 1.5% on international cards. Text2Give is $5 a month.

The catch: the bill grows module by module, and not everyone loves the interface. Some users report a frustrating mobile app and thin giving reports.

Tip: open People alone, import your directory, and only switch on a paid module when its free limit actually stops you.

Standout features
  • Free, unlimited People database
  • Lowest card fee in the ranking
  • 30-day trial
+Pros
  • ✓Most complete feature set
  • ✓Useful free tier for small churches
  • ✓ACH gifts at $0.30 flat
−Cons
  • ✗Cost climbs with every module
  • ✗Mobile app draws complaints
  • ✗Giving reports seen as limited
Verdict

The deepest toolset in the ranking for an English-speaking church. Start free with People and add only the modules you really use.

Best flat price

Breeze

3.7/5

Breeze, part of the Tithely group, bets everything on simplicity. One price, $72 a month, unlimited contacts, no contract. At 600 people, that's one of the most predictable bills in the category.

Users consistently praise how fast volunteers pick it up. It covers people, giving, events, check-in, forms and messaging, with 250 texts a month included and $10 per extra 500.

The extras add up. Worship Tools cost $29 more a month. The bundle with a church app and website is $119. Online giving takes 2.9% + $0.30 per card transaction.

The catch: for an 80-person church, $864 a year is a lot next to ChMeetings at $120. Reviewers also mention limits in the mobile app, customization and reporting.

Tip: price your real add-ons before signing. If you want the app and the website, compare the $119 bundle with two separate tools.

Standout features
  • Unlimited contacts, flat price
  • Fast for volunteers to learn
  • No contract
+Pros
  • ✓Same price at any size
  • ✓Clear, simple interface
  • ✓30-day trial
−Cons
  • ✗Add-ons push the bill up
  • ✗Card giving at 2.9% + $0.30
  • ✗Expensive for a small church
Verdict

The most predictable bill for a growing church. Small churches will pay less elsewhere.

Best for small churches

ChurchTrac

3.6/5

ChurchTrac prices for small churches. It starts at $29 a month for 75 names and climbs in steps to $119 for unlimited. Pay yearly and you save 10%. The 30-day trial needs no credit card.

Its reviews stand out for one thing: support. Users describe a team that goes into their system to find the problem instead of sending a help article. The sample on Trustpilot is small, though, so read it as a signal, not proof.

Features cover the basics well: members, giving, attendance, events, accounting and messaging. SMS runs $7 per 250 credits.

The catch: no free plan, and at 250 people it costs $59 a month, more than twice ChMeetings at the same size.

Tip: count names carefully. At 126 names you jump from $39 to $59, so archive inactive records before the trial ends.

Standout features
  • Support that digs into your account
  • 30-day trial, no card
  • 10% off annual
+Pros
  • ✓Low entry price
  • ✓Simple, focused feature set
  • ✓Clear pricing by name count
−Cons
  • ✗No free plan
  • ✗Steep jumps between tiers
  • ✗Small public review base
Verdict

A safe, friendly pick for churches under 125 people. Above that, compare carefully with ChMeetings.

Yearly cost

What church software really costs per year

Software only, before giving fees, on annual billing where it exists. Planning Center isn't listed: past its free limits, you price it module by module on its calculator.

For 100 people

ChMeetings: $120. ChurchTrac: $421.20 (125-name tier). Elvanto: $374.40, plus $149 in year one. Breeze: $864.

For 250 people

ChMeetings: $250. ChurchTrac: $637.20. Breeze: $864. Elvanto depends on active adults: above 100, plan on at least $748.80 a year.

For 500 people

ChMeetings: $400. ChurchTrac: $853.20. Breeze: still $864. As you grow, Breeze's flat price catches up with everyone else.

Software plus giving fees

Take 250 people and $50,000 a year given by card, at an average gift of $50 (1,000 gifts). On Breeze, card fees at 2.9% + $0.30 come to $1,750, so $2,614 a year with the software. On Planning Center Giving, at 2.15% + $0.30, fees come to $1,375 before any paid module. The fee line is bigger than the subscription in both cases.

  • What does the free plan stop at, module by module?
  • Is there a setup or onboarding fee?
  • What's the card fee and the ACH fee on online giving?
  • Which features are paid add-ons?
  • Can you export people, households and giving history in full?
  • How do you cancel, and do you get written confirmation?
Giving fees

The cost hiding in online giving

On a church with steady online giving, transaction fees often cost more than the ChMS itself. Here's what to check.

01

Card fees vary more than you think

Giving

Planning Center Giving charges 2.15% + $0.30 per card gift. Tithely and Breeze charge 2.9% + $0.30. On $200,000 a year of card giving, that gap is about $1,500.

02

Push bank transfers (ACH)

Giving

ACH gifts cost $0.30 flat on Planning Center and 1% + $0.30 on Tithely. Ask regular givers to switch their recurring gift to their bank account: it's the easiest saving you'll find.

International cards cost extra

Giving

Planning Center adds 1.5% on international cards, and AMEX runs 3.5% + $0.30 on Tithely. Missionary partners giving from abroad cost more to process.

Text-to-give is a separate line

FAQ

Your questions about church management software

  • What is church management software?

It's an online system that holds your people, households, giving, groups, events and communication in one database. It's often called a ChMS. It replaces the shared spreadsheet and the scattered email lists.

  • Is there free church management software?

Yes. ChMeetings is free up to 50 people and 50 donations a month. Planning Center People is free with unlimited profiles, and its other modules are free up to set limits. ChurchCRM is free and open source if you host it yourself.

  • How much does church management software cost?

For a 250-person church, from $250 a year (ChMeetings, annual) to $864 (Breeze). Add giving fees: at 2.9% + $0.30 per card gift, they often cost more than the software.

  • Is Planning Center free?

Partly. People is free with no profile limit. Services is free up to 5 team members, Giving up to 10 donations a month, Check-Ins up to 10 a day and Groups up to 15 members. Past that, each module is priced by size.

  • What is the easiest church software for volunteers?

Breeze is the one users most often call easy. ChurchTrac also scores well with small teams. Planning Center does more but takes longer to learn.

  • Which church software has the lowest giving fees?

Among the ranked tools, Planning Center Giving: 2.15% + $0.30 per card and $0.30 per ACH gift. Tithely and Breeze charge 2.9% + $0.30 per card.

  • Can I switch ChMS without losing giving history?

Yes, if you export before you cancel. Export people, households and every gift with date and amount as CSV. Keep copies of past giving statements too.

  • Is there church software in Spanish?

Yes. ChMeetings offers 26 interface languages including Spanish, and Elvanto says its interface is translated into Spanish. Planning Center and Breeze don't list any interface language besides English.
