What you can automate

What can the SetSmart Make integration do for you?

The SetSmart Make integration lets Make work inside your SetSmart account for you. You build a scenario (the automation itself, a chain of modules), and each module (one brick of that chain) handles one job in SetSmart: import a contact, find one, tag it, send it a template message or mark a lead as booked.

Bring every new lead into SetSmart. A form or another tool collects a lead, Import a Contact adds that person to SetSmart, and Add Tag to Contact labels them so you know where they came from. No more exports to reimport by hand.

Follow up with the right contact. Find a Contact looks the person up first, then Send Template Message to Existing Contact reaches out using one of your templates. As the module name says, it targets contacts who already exist, which is why the search comes first.

Close the loop when a call is booked. When your calendar or booking tool registers an appointment, Set Lead as Booked updates the lead in SetSmart, so your list reflects what really happened.

Keep one limit in mind: the official documentation for this app is thin, and Make itself says it lacks public information about SetSmart. Field details are therefore something you discover in the editor. For anything the 6 modules do not cover, Make an API Call reaches the SetSmart API with the same connection. Comparing tools first? Read the n8n vs Make comparison or the Make review, and if a scenario stalls, the Make troubleshooting guide helps.

Connect

How do you connect SetSmart to Make?

  1. 01

    Add a SetSmart module

In your scenario, click the + and type SetSmart in the search box. Pick any of its modules, for example Find a Contact. Make then asks for a connection, meaning your SetSmart account linked to Make once and reused by every SetSmart module.

  2. 02

    Create the connection

Click Create a connection. You can give it a name, which helps if you manage several SetSmart accounts. The documentation lists no special prerequisite, so an active SetSmart account is the starting point.

  3. 03

    Authorize and save

Depending on what SetSmart asks for, either approve access on the SetSmart page that opens, or paste the key SetSmart gives you. Then click Save. The connection now appears in the module and stays available for the next ones.

First scenario

Your first scenario: import and tag new leads

GoalWhen a new lead lands in another app, Make imports it into SetSmart and tags it with its source.

  1. 01

    Create the scenario

Open the Scenarios page, create a new scenario and click the +. SetSmart has no trigger of its own, so the first module comes from the app where your leads arrive, such as your form tool.

  2. 02

    Add Import a Contact

Click the + on the right of that first module, search SetSmart and choose Import a Contact. Select your connection, then map the lead data coming from the previous module into the fields Make shows.

  3. 03

    Add the tag

Add Add Tag to Contact after it. Map the contact from Import a Contact and pick the tag that tells you where the lead came from. Each bundle, one lead here, goes through both modules.

  4. 04

    Test with Run once

Click Run once. Make runs the scenario one time and shows the bundles each module received. Open them to check that the right person reached SetSmart with the right tag.

  5. 05

    Schedule and switch on

Set the schedule on the first module, every 15 minutes by default, and switch the scenario on. Each module run on one bundle counts as one operation, the unit Make measures on your plan.

Modules

What each SetSmart module does

SetSmart gives you 6 modules. For each one: what it does for you, when to reach for it, and what to watch out for.

SetSmart1

Add Tag to Contact

ActionIn the docs only

Puts a label on a SetSmart contact, so you can sort people by source, interest or stage without editing each profile yourself.

When to use it
right after an import or a search, to record where a lead came from or what they just did.
Watch out
it acts on one contact at a time, so it needs a contact from an earlier module to point at.
SetSmart2

Find a Contact

SearchIn the docs only

Looks up people in your SetSmart account and hands them to the next module, which saves you from creating duplicates or messaging the wrong person.

When to use it
before any action that needs an existing contact, such as a template message or a booking update.
Watch out
a search can return zero, one or several bundles. Plan for the empty case, or the next module has nothing to work on.
SetSmart3

Import a Contact

ActionIn the docs only

Brings a person into SetSmart from wherever they first showed up, a form, a spreadsheet or a CRM, so your list grows without manual entry.

When to use it
as the SetSmart step of any scenario that starts in another app with a fresh lead.
Watch out
the documentation says nothing about how SetSmart handles an existing contact. Test with Run once on someone already in your account before switching on.
SetSmart4

Make an API Call

ActionIn the docs only

Reaches any endpoint of the SetSmart API from your scenario, reusing the connection you already created, for the jobs the five other modules do not handle.

When to use it
when you need a SetSmart feature that has no dedicated module in Make.
Watch out
you work with the raw API here, so you need the SetSmart API reference, which Make does not document for this app.
SetSmart5

Send Template Message to Existing Contact

ActionIn the docs only

Sends one of your prepared templates to a person who is already in SetSmart, so a follow-up leaves on time without anyone typing it.

When to use it
after Find a Contact or Import a Contact, once you know exactly who should receive the message.
Watch out
as its name states, it targets existing contacts only. A person missing from SetSmart has to be imported first.
SetSmart6

Set Lead as Booked

ActionIn the docs only

Marks a SetSmart lead as booked, so your follow-up list stops treating someone who already took an appointment as a cold prospect.

When to use it
in a scenario that starts when your calendar or booking tool records a new appointment.
Watch out
the change applies to one lead, so find the right person first when the booking tool only gives you an email.

FAQ

SetSmart and Make: common questions

01Is the SetSmart Make integration free?
Yes, SetSmart is a standard app in Make, so it works on the Free plan. That plan keeps 2 scenarios active, runs scheduled scenarios at most every 15 minutes, stops each run after 5 minutes, handles files up to 5 MB and allows 512 MB of data transfer. Paid plans (Core, Pro, Teams and Enterprise) lower the interval to 1 minute and remove the cap on active scenarios. Your SetSmart subscription is a separate matter that this page does not cover.
02What do you need to connect SetSmart to Make?
An active SetSmart account and a Make account. The documentation lists no other prerequisite. You add a SetSmart module, click Create a connection, optionally name it, then either approve access on the SetSmart page or paste the key SetSmart provides, and click Save. That one connection then serves all 6 SetSmart modules, including Make an API Call, so you only go through these steps once per account, even when you build several scenarios.
03Does the SetSmart Make integration react in real time?
No, SetSmart has no trigger module in Make, so it cannot start a scenario by itself. You have two ways to start anyway. Open the scenario with a trigger from another app, such as the form or booking tool where the event happens, then add the SetSmart modules. Or set a schedule on the first module, every 15 minutes by default, down to 1 minute on paid plans. In both cases SetSmart acts as the destination of the flow.
04What if a SetSmart module is missing in Make?
Use Make an API Call. It sends a request to any endpoint of the SetSmart API through the same connection as the other modules, so you can cover what the 5 dedicated actions and the search leave out. Keep in mind that Make says its SetSmart documentation is limited for lack of public information, so you will need the SetSmart API reference itself to know which endpoints exist and what they expect.
05Should you use Make or n8n for SetSmart?
It depends on what each tool offers for SetSmart when you check. On Make, you get 6 modules centered on contacts: import, search, tags, template messages and booked leads, plus Make an API Call for the rest. Many apps also have an n8n node, so look at the n8n side for SetSmart before choosing, and compare which of your planned steps each one covers without extra API work. The n8n vs Make comparison linked above goes through the broader differences.
