Overview

What the ABC Trainerize Zapier integration actually does

It links your Trainerize account to the other apps of your business through Zapier, a service that runs automations without code. Something happens in Trainerize (a client is created, a workout is logged, a product ends) and Zapier carries out the next step somewhere else. It also works the other way: another app can create, tag or message a Trainerize client.

A client who is never left waiting. New Client starts the Zap, Assign To hands the person to a trainer, and Send Message in Trainerize posts the first hello inside the app. A retention list that builds itself. When Auto-Renew Cancelled fires, Add Tag to Client marks the person, so the coach knows who to call before the subscription runs out. Progress that gets noticed. Weight Goal Hit can feed a congratulation, or queue the next block of training with Add Next Training Phase.

What Zapier does not do here: it never reads your history. A Zap reacts only to what happens after you switch it on, so existing clients and past workouts stay untouched. There is no step to delete a client or edit a logged workout either; the actions cover status, tags, groups, programs, files and messages, and the only lookup is Find Client, by email.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The Trainerize event that starts the Zap, such as a completed habit. Once the Zap is on, Zapier waits for it to happen.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like tagging a client.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those each month.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked on a timer. All 12 here are instant.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists, like a client by email, so the following steps can use what it found.
Connection
Your Trainerize account, linked to Zapier once and then reused by every step that touches Trainerize.
Cost

What it really costs in tasks

Zapier bills actions, not triggers, and with this app that rule works in your favour.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on Free2 steps: 1 trigger, 1 action
  • Premium appNo, works on Free
  • Instant triggers12 out of 12

The trigger never costs a task, and neither does the waiting. Each action that completes counts once; one that fails is not billed. A Zap with three actions uses three tasks per run. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps: one trigger, one action. Add a filter, a search or a second action and the Zap turns multi-step, which needs a paid plan. The interval grid below only concerns polling triggers, and Trainerize has none.

Connect

Connect your Trainerize account

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. A connection is your Trainerize account linked once, then reused by every Zap that needs it.

  2. 02

    Pick ABC Trainerize

Type the app name in the search box of the dialog, select ABC Trainerize, then click Add connection. A new browser tab opens on the Trainerize sign-in screen.

  3. 03

    Sign in and grant access

Sign in with the Trainerize account the Zaps will act on, then grant Zapier access. You need an account on the app, plus read or write rights on anything you do not own yourself but want the Zap to touch.

First Zap

Your first ABC Trainerize Zapier integration: welcome each new client

GoalEvery new client is assigned to a trainer, then receives a first message inside Trainerize.

  1. 01

    Build: pick the trigger

Create a Zap, choose ABC Trainerize as the app and New Client as the event, then select the connection made earlier. The lightning bolt in the editor confirms an instant trigger.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent clients of the account, so the mapping happens on a real record instead of a blank one.

  3. 03

    Add Assign To

Add an action, choose Assign To, map the client email from step 1 into Email, and pick a coach in the Trainer list. Both fields are required.

  4. 04

    Add the welcome message

Add Send Message in Trainerize, map the same email into Send To and write the Body. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then publish

Test each action and read what came back. If the sample was the owner's own email, the message test may fail; skip it. Then click Publish to switch the Zap on.

Triggers

The 12 ABC Trainerize triggers

12 events start a Zap when something happens in ABC Trainerize, and 12 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Auto-Renew Cancelled

Instant trigger

In Zapier“Triggers when a subscription's auto-renew is cancelled (but the subscription has not necessarily ended).”

This one starts the Zap when a client switches off auto-renew on a subscription. The subscription may still be running, so the person is still a client for now, just one who has decided not to continue.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push the name into your retention routine while there is still time to talk, for example by tagging the client with Add Tag to Client.
Watch out
do not treat it as the end of the contract; Product End covers that moment.
2

Cardio Completed

Instant trigger

In Zapier“Triggers when a cardio is completed.”

Each cardio session a client marks as done can start a Zap. Think of it as the narrow version of Workout Completed, handy when cardio is followed apart from strength work.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a running or rowing challenge where every finished session should be logged in a sheet or acknowledged with a short message.
Watch out
an active group logs a lot of sessions, and each action the Zap runs is a task.
3

Daily Nutrition Goal Hit

Instant trigger

In Zapier“Triggers when a daily nutrition goal is hit.”

Fires on the day a client reaches the nutrition goal set for them. It turns a quiet win on the meal-tracking side of Trainerize into an event the rest of your tools can see and act on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
reward a streak of good days, or let a dietitian who works outside Trainerize know the plan is landing.
Watch out
a client who hits the goal every day starts the Zap every day.
4

Habit Completed

Instant trigger

In Zapier“Triggers when a habit is completed.”

Habits are the small daily commitments a coach sets, and this trigger reacts each time a client ticks one off. On an engaged roster, expect it to fire often.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
feed a habit log in a spreadsheet, or send a short nudge after the first completion of a brand new habit.
Watch out
the volume eats into the free plan's 100 tasks quickly; a filter helps, but a filter needs a paid plan.
5

New Client

Instant trigger

In Zapier“Triggers when a new client is created.”

Starts the Zap as soon as a client is created in your Trainerize account. It is the natural entry point for anything that should happen on day one of a coaching relationship.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
assign a trainer, add the person to a group and send a welcome, as in the first Zap above.
Watch out
clients created before the Zap was switched on are never picked up, so the existing roster needs a separate pass.
6

New Purchase

Instant trigger

In Zapier“Triggers when there's a new purchase.”

Reacts to a new purchase in Trainerize. It is the one to watch if you sell programs or plans and want the money side to reach your other tools without anyone copying it by hand.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a note in the sales channel, add a line to a revenue sheet, or tag the buyer for follow-up.
Watch out
a purchase is not the start of the product; Product Start fires on the start date instead.
7

Product End

Instant trigger

In Zapier“Triggers when product ends (cancelled or expired).”

Fires when a purchased product comes to an end, whether it was cancelled or simply expired. Both cases arrive through this single trigger.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
tidy up after a client leaves, for example with Remove From Groups or Unsubscribe From Programs, then Deactivate Client.
Watch out
cancelled and expired products land here together, so a Zap built on it handles both the same way.
8

Product Start

Instant trigger

In Zapier“Triggers on the start date of a purchased product.”

Unlike New Purchase, this trigger waits for the start date of the purchased product. A program bought today for next month starts the Zap next month, not today.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
open access at the right moment, for instance by subscribing the client to a main program on the day it begins.
Watch out
building the same setup on both New Purchase and Product Start can run it twice.
9

Tag Added to a Client

Instant trigger

In Zapier“Triggers when a tag added to client.”

Tags are labels you put on clients, and this trigger fires each time one is applied. It turns tags into a control panel: tag someone in Trainerize, and the Zap handles the rest elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a coach tags a client as a challenge member, and the Zap adds the person to the challenge group.
Watch out
a Zap that itself adds a tag with Add Tag to Client can set this trigger off again, in a loop.
10

Tag Removed From Client

Instant trigger

In Zapier“Triggers when a tag is removed from a client.”

The mirror image of the previous one: taking a tag off a client starts the Zap. It is the clean way to undo whatever the tag had set up in other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when the challenge tag comes off, take the client out of the challenge group with Remove From Groups.
Watch out
Remove Tag From Client used in another Zap can fire this one, so check that two Zaps are not feeding each other.
11

Weight Goal Hit

Instant trigger

In Zapier“Triggers when a weight goal is hit.”

A client reaching the weight goal set in Trainerize starts this one. That is a moment every coach wants to hear about, and it often happens while nobody is looking at the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a congratulation, alert the coach in a team chat, or queue the next block with Add Next Training Phase.
Watch out
the goal itself is set in Trainerize; Zapier only reacts once it is reached.
12

Workout Completed

Instant trigger

In Zapier“Triggers when a workout is completed.”

Any workout a client finishes can start the Zap. It is the broadest activity signal the app offers, wider than Cardio Completed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep an attendance count in a spreadsheet, or send a short word of encouragement after a client's very first session.
Watch out
on an active roster this fires constantly, and each action it runs counts as a task.
Actions

The 16 ABC Trainerize actions

ABC Trainerize gives you 16 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Reactivate Client

Action

In Zapier“Changes the status of a client to Activated.”

Switches a client's status back to Activated, found by email address. Two optional settings let you decide on app access and messaging permission at the same time.

When to use it
a former client pays again in your billing tool and should get back in.
Watch out
the email must match the client exactly.
2

Add Next Training Phase

Action

In Zapier“Queues up next training phase by copying from another client.”

Queues the next phase of training by copying the plans of another client. You give two emails: From, the client to copy, and To, the one who receives the plans.

When to use it
a client hits a goal and moves on to the phase a reference client already follows.
Watch out
the copy sits after any existing plans and starts on the same weekday as the previous plan.
3

Add to Group

Action

In Zapier“Add existing client to a group.”

Puts an existing client into a group you choose from a list. Groups are how a coach runs a cohort or a challenge together.

When to use it
everyone who buys the spring challenge joins the challenge group the moment they pay.
Watch out
the client must already exist; this step does not create one.
4

Add Tag to Client

Action

In Zapier“Apply a custom client tag to an existing client.”

Applies one of your custom tags to an existing client. Tags then sort clients inside Trainerize and can start other Zaps through Tag Added to a Client.

When to use it
mark clients who cancelled auto-renew so the coach can follow up.
Watch out
Email and Tag are required, and the tag must already exist.
5

Assign To

Action

In Zapier“Assigns a client to a trainer.”

Hands a client over to a trainer. You give the client's email and pick the coach from a list pulled from your account.

When to use it
share new clients out across a team, for example by region or by offer, without anyone doing it by hand.
Watch out
Email and Trainer are both required.
6

Attach Meal Plan PDF

Action

In Zapier“Attaches a Meal Plan PDF to a client.”

Attaches a meal plan, as a PDF file, to a client. The File field takes a file passed on by an earlier step.

When to use it
a dietitian drops the plan in a shared folder and it reaches the client without a manual upload.
Watch out
a meal plan cannot go to the owner's account, so a test with that email can fail.
7

Copy Master Program to Client

Action

In Zapier“Copies master program to client.”

Gives a client their own copy of one of your master programs, the templates a coach builds once and reuses.

When to use it
every new member of a beginner offer starts from the same template.
Watch out
a program cannot be copied to the owner account, so a test that returns the owner's email may fail; skip it.
8

Create / Update Client V2

Action

In Zapier“Creates a new client or updates an existing one.”

Creates a new client in Trainerize, or updates the one that already exists, in a single step. It keeps a form or a CRM from piling up duplicates when the same person comes in twice.

When to use it
a sign-up from your website should land as a Trainerize client.
Watch out
Email and Client Type are both required.
9

Deactivate Client

Action

In Zapier“Changes the status of a client to Deactivated.”

Changes a client's status to Deactivated. Only the email is needed, which makes it the simplest step of the list.

When to use it
the last step of an offboarding Zap, after groups and programs are cleaned up.
Watch out
Reactivate Client brings the person back if the decision was premature.
10

Remove Tag From Client

Action

In Zapier“Customize which tag to remove.”

Takes a chosen tag off a client. It is the clean undo for Add Tag to Client.

When to use it
a client renews after cancelling, so the lapse tag should go.
Watch out
removing a tag can fire Tag Removed From Client in another Zap, so map out which Zaps listen to which tags before switching both on.
11

Remove From Groups

Action

In Zapier“Removes a client from groups.”

Takes a client out of one or several groups you select. Handy at the end of a cohort.

When to use it
a product ends and the client should leave the members' group.
Watch out
the owner account cannot be removed from a group, so a test that returns the owner's email may fail; skip it and the live Zap should run.
12

Send Message in Trainerize

Action

In Zapier“Sends a message to a client in Trainerize.”

Posts a message to a client inside the Trainerize app. You fill Send To and the Body, both required.

When to use it
a welcome, a congratulation after a goal, or a reminder triggered by another tool.
Watch out
the receiving account cannot share the sender's email, so a test on the owner's address fails; skip the test.
13

Subscribe to Addon Program

Action

In Zapier“Subscribes a client to one or multiple addon programs.”

Adds one or several addon programs to a client in a single run. Like the main program step, it asks for a Start Type, and Fixed requires a date.

When to use it
an upsell, such as a mobility pack, sold on top of a main program.
Watch out
the owner account cannot be subscribed, so a test on the owner's email fails.
14

Subscribe to Main Program

Action

In Zapier“Subscribes a client to a main program.”

Enrols a client in one main program picked from your list. Start Type decides when it begins; with Fixed, a start date becomes mandatory.

When to use it
a purchase in another shop should open the matching program.
Watch out
if the test sample is the owner's email, the test can fail; skip it and the Zap should work.
15

Unsubscribe From Programs

Action

In Zapier“Unsubscribes a client from programs.”

Ends a client's subscription to one or several programs picked from your list.

When to use it
a refund in your payment tool should close program access the same day.
Watch out
the owner account cannot be unsubscribed, so a test sample with the owner's email may fail; skip the test in that case.
16

Upload Attachment

Action

In Zapier“Attach a file to a client's profile.”

Adds any file to a client's profile, located by email. Where the meal plan step is about nutrition, this one is the general drop box.

When to use it
a signed waiver or an intake questionnaire should sit on the client's record.
Watch out
Email and File are both required, so the file must come from an earlier step.
Searches

The ABC Trainerize search

1 search step looks for data that already exists in ABC Trainerize, so a later step can use it.

A search step looks up something that already exists so that later steps can use it. Searches sit at the bottom of the Action event list, under the SEARCH heading, and some fields offer a + Add search step button that inserts one for you. Each search has three settings worth knowing.

1

Find Client

Search

In Zapier“Locate a client by email.”

Looks up a Trainerize client from an email address, the only field it asks for. What it finds feeds the next steps, which is useful when the trigger comes from another app.

When to use it
a payment arrives in your billing tool and you need to check the person is already a client before tagging them.
Watch out
adding this step makes the Zap multi-step, so it needs a paid plan.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Trainerize offers no find-or-create variant, so it does not show up on Find Client.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When it breaks

Zapier attaches no help article to this app, so the known failure points are the general ones, plus one pattern that keeps coming back in the Trainerize fields.

None of these will show up as a clear error on day one. They appear later, usually as a Zap that did nothing or a task count that jumped. If a Zap still misbehaves, the Zapier troubleshooting guide goes through the checks in order.

  • The existing roster is never picked up

A Zap reacts only to events after it is switched on. Clients, purchases and workouts that existed before stay where they are; moving them is a separate job.
  • Tags that set off their own Zap

A Zap that adds or removes a tag while another listens for that tag can loop, running again and again and burning through your tasks.
  • Bulk imports held back

Import a large batch of clients at once and the trigger can return a sudden flood. Zapier's flood protection may then hold the run back.
  • Tests on the owner's email

Program, group, message and meal plan steps refuse the account owner as target. A test sample with the owner's email fails while the live Zap works; skip the test.

FAQ

ABC Trainerize and Zapier: frequent questions

01Is the ABC Trainerize Zapier integration free?
Yes, it works on the free Zapier plan, because ABC Trainerize is not a premium app. The free plan gives 100 tasks a month and unlimited Zaps. The catch is size: a free Zap has two steps only, one trigger and one action. So New Client followed by Send Message in Trainerize fits, but adding Assign To in the middle turns it into a multi-step Zap, which needs a paid plan. The same goes for a filter or for the Find Client search.
02How many tasks does an ABC Trainerize Zap use?
One task per action that completes, and nothing else. The trigger is free, and so is all the waiting in between. A Zap that tags a client after a cancelled auto-renew costs one task each time it runs. A three-step offboarding Zap (remove from groups, unsubscribe from programs, deactivate) costs three per departing client. An action that fails is not counted. On the free plan's 100 tasks a month, watch high-volume triggers such as Habit Completed.
03Do ABC Trainerize triggers run in real time?
Yes. All 12 triggers are instant: Trainerize tells Zapier the moment the event happens, and the Zap starts straight away whatever your plan. The 15-minute check of the free plan applies only to polling triggers, and this app has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. That makes the free plan perfectly usable for things like a message right after a weight goal is hit.
04What does it take to connect ABC Trainerize to Zapier?
A Trainerize account, and read or write rights on anything you do not own yourself but want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for ABC Trainerize, click Add connection, then sign in to Trainerize in the tab that opens and grant access. The connection is then reused by every Zap that uses the app, so a coach team only does this once per account.
05Why does a Trainerize action fail during the test?
Usually because the test sample is the account owner. Several actions refuse the owner as target: Send Message in Trainerize, Attach Meal Plan PDF, both program subscriptions, Copy Master Program to Client, Remove From Groups and Unsubscribe From Programs. When the trigger test brings back the owner's email, the action test fails. The field help in the editor says to skip the test in that case, and the Zap should then run normally on real clients.
06What if the operation you need is missing?
Then it does not exist on Zapier for this app, at least not as a ready-made step. The catalogue has 12 triggers, 16 actions and 1 search, and that list is everything the editor offers, with nothing hidden behind a setting. There is, for example, no step to delete a client or to edit a logged workout. The closest options are Deactivate Client for an exit, or Create / Update Client V2 to change client details.
07Zapier, Make or n8n for ABC Trainerize?
It depends on criteria, not on a winner. First check that the platform offers ready-made Trainerize steps: this page only covers what Zapier lists, namely 12 instant triggers, 16 actions and 1 search. Then look at billing: Zapier counts one task per successful action, so long Zaps cost more per run. Finally, think about who maintains it. A coach with no technical help gains from Zapier's guided editor, while a team that already runs another platform may prefer to stay there.
