What the AccountingSuite Zapier integration actually does
It lets an event in another tool create a record in AccountingSuite without you retyping it. A sale closes in your CRM, and AccountingSuite gets the invoice. A purchase is approved, and the bill appears. Every one of the 14 operations writes something; none of them reads or watches AccountingSuite.
Invoices that follow the sale. A won deal in your sales tool feeds Create Sales Invoice with the customer, the product, the quantity and the price. Your bookkeeper stops copying numbers from one screen to the other.
A clean supplier side. When a purchase request gets approved somewhere else, Create Purchase Order records it, and Create Bills books the vendor's bill once it arrives. Two actions, two separate Zaps if you stay on the free plan.
Billable hours that land in the books. A consultancy that logs work in a timesheet tool can push each entry through Create Time Tracking, attached to the project built earlier with Create Project / Jobs.
What Zapier does not do here: it cannot start anything from AccountingSuite. There is no trigger, so a new invoice, a payment or a stock change inside AccountingSuite will never set off a Zap. There is no search either, so a Zap cannot look up an existing customer or product first: you map values that already exist, or you create them in the same Zap. If you are weighing other platforms for that reason, the Make vs Zapier comparison is the place to start.
Zapier vocabulary in one minute
Seven words come back on every line of this page. Here they are in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event that starts the Zap. AccountingSuite has none, so the trigger always comes from another app you use.
- Action
- The step that does the work once the Zap has started. All 14 AccountingSuite operations are actions that create a record.
- Task
- What Zapier bills you for: one action completed successfully. Your plan allowance is simply a count of those.
- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Connection
- Your AccountingSuite account linked to Zapier once, then reused by every step of every Zap that touches AccountingSuite.
What it really costs in tasks
AccountingSuite is not a premium app, so it runs on the free plan. The bill depends on how many actions succeed, not on how often Zapier looks.
- Free plan100 tasks a month, two-step Zaps only
- Premium appNo, AccountingSuite works on Free
- Trigger cost0 tasks
- Each successful action1 task
The trigger never costs a task, and checking for new data costs nothing. Each AccountingSuite action that goes through counts as one task; one that fails is not counted. A Zap that creates a company and then an invoice uses two tasks per run. The free plan gives 100 tasks a month, but only two-step Zaps: one trigger, one action. Adding a second action, or a filter, makes it a multi-step Zap, which needs a paid plan.
Connect your AccountingSuite account
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an AccountingSuite login, plus write access to the records you want the Zap to create.
- 02
Find AccountingSuite
Type AccountingSuite in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the AccountingSuite sign-in screen.
- 03
Sign in and allow access
Log in with the account the records should belong to, then grant Zapier access. The connection is saved once and every future Zap reuses it, so the account you sign in with is the one every record lands in.
Your first Zap: invoice every big deal
GoalWhen a deal is marked won in your CRM and passes an amount filter, AccountingSuite creates the matching sales invoice.
- 01
Build the trigger
Create a Zap and pick your CRM with its won-deal event. Test it: Zapier brings back the three most recent items so you map from a real deal.
- 02
Add the filter
Click the plus icon, choose Filter, then set the field, the rule and the value. Pick a number rule for an amount, or the filter will never pass.
- 03
Add the AccountingSuite action
Choose AccountingSuite, then Create Sales Invoice. Map Customer, Product, Quantity and Price from the deal. All four are required.
- 04
Test, then publish
Run the action once and open AccountingSuite to read the invoice it created. If it looks right, click Publish. The filter makes this a multi-step Zap, so it needs a paid plan.
The 14 AccountingSuite actions
AccountingSuite gives you 14 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

When it breaks
Zapier attaches no help article to AccountingSuite, so the known failures are the general ones.
Most problems come from the trigger side, since AccountingSuite only receives data. Four cases cover what you are likely to meet. For anything stranger, the Zapier troubleshooting page is the next stop.
Old records are not picked up
A Zap only reacts to what happens after it is switched on. Deals won last quarter will not become invoices; moving that backlog is a separate job.The Zap keeps firing itself
If the step writes into the very place its trigger watches, each run starts another one and the task count drains fast.A bulk import is held back
When the trigger app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can pause it before anything is written.Duplicates are rare, not impossible
Zapier remembers what a polling trigger has already seen, so the same item does not start the Zap twice. Two different source items still make two invoices.
