What the Advantage Anywhere Zapier integration actually does
It links your Advantage Anywhere account to Zapier, a tool that runs small automations between apps. Each automation is called a Zap: one event that starts it, then one or more steps that run every time that event happens. Here the events are new leads and new referral sources, and the steps write contacts, notes and notifications into Advantage Anywhere.
Three outcomes cover most of what people build. A sales rep who hears about a fresh prospect without checking lists: the New Lead or Prospect Created trigger feeds Create Notification, so the message shows up inside Advantage Anywhere instead of sitting unseen in a list. Contacts that arrive from somewhere else: a form, a webinar tool or a spreadsheet starts the Zap, and Create Contact adds the person with a first name, last name, email and category. A history you never typed: Create History Note drops a line on the contact record, so whoever opens it later sees what happened and when.
Now the part the app page leaves out. Both triggers are polling ones, so nothing here is instant: Zapier checks on a timer and the delay depends on your plan. There is no search step, so a Zap cannot look up an existing contact before writing to it. There is no update or delete action either: the integration creates things, it never edits or removes them.
If that list feels short for your use case, compare the options in Make vs Zapier and n8n vs Zapier, which weigh the three tools by criteria rather than by verdict.
Zapier vocabulary in one minute
Eight words you will see in the editor, explained once in plain English.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in Advantage Anywhere that starts the Zap, such as a new lead. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes a contact, a note or a notification for you.
- Task
- The unit Zapier bills. One task is one action that completes successfully; your plan counts those, nothing else.
- Polling trigger
- A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the ones it has not seen.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. Advantage Anywhere has none of these on Zapier.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
- Connection
- Your Advantage Anywhere account linked to Zapier once, then reused by every step that talks to the app.
What it really costs to run
Advantage Anywhere is not a premium app on Zapier, so it works from the free plan onward. The bill is counted in tasks, and only finished actions count.
- Free plan100 tasks per month, unlimited Zaps
- Free plan stepsOne trigger and one action
- Premium appNo, available on every plan
- What a trigger costsNothing
The trigger never costs a task, however often Zapier checks for new leads. Each action that succeeds counts once, so a Zap that creates a contact and then a note spends two tasks per run. An action that fails is not billed. The catch sits on the free plan: it allows two steps only, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. A few apps and actions take more than one task when they complete, so read the task log after the first runs.
Connect your Advantage Anywhere account
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an existing Advantage Anywhere account, plus access to any records you do not own but want the Zap to touch.
- 02
Find Advantage Anywhere
Type the app name in the dialog, select it, then click Add connection. A new browser tab opens on the Advantage Anywhere side so you can sign in there rather than inside Zapier.
- 03
Sign in and grant access
Log in with the account the Zap should act on, then allow Zapier to use it. The connection is saved once and every later step that uses Advantage Anywhere picks it from a list.
Your first Zap: alert the team about a new prospect
GoalEvery new prospect in Advantage Anywhere that matches your condition raises a notification inside the app.
- 01
Pick the trigger
Create a Zap, choose Advantage Anywhere as the starting app and New Lead or Prospect Created as the event. Select the connection you made earlier.
- 02
Test it on real data
Run the trigger test. Zapier pulls the three most recent leads from your account, so pick one that looks like a typical record and use it for the mapping below.
- 03
Add a filter
Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on text and a number rule on numbers, or the filter never passes. This makes the Zap multi-step.
- 04
Add the notification
Add Create Notification and write the Notification Message, the one required field. Insert values from the test lead so each alert names the person instead of repeating the same sentence.
- 05
Test, then publish
Run the action test and check the notification appears in Advantage Anywhere. Then click Publish. From now on the Zap reacts to leads created after that moment, never to older ones.
Advantage Anywhere triggers
2 events start a Zap when something happens in Advantage Anywhere. Zapier checks for them at the interval your plan allows.
New Lead or Prospect Created
Polling triggerIn Zapier“Triggers when there's a new lead or prospect is created in Advantage Anywhere.”
Starts your Zap each time someone new is added to Advantage Anywhere as a lead or a prospect. It is the natural starting point for any follow-up you want to happen without opening the CRM.
New Referral Source
Polling triggerIn Zapier“Triggers when a new referral source is created in Advantage Anywhere.”
Fires when a referral source is added to your Advantage Anywhere account, the label you use to say where contacts come from. Useful to keep other tools in step with the list of channels your team tracks.
Advantage Anywhere actions
Advantage Anywhere gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create History Note
ActionIn Zapier“Creates a note inside the users history section.”
Writes a line into the history section of a contact, so the record keeps a trace of something that happened outside the CRM. The Note Content field is the only one required.
Create Notification
ActionIn Zapier“Creates a new notification and the ability to add information to a contact record.”
Puts a message in front of your team inside Advantage Anywhere, and can also attach details to a contact. You write the Notification Message, the single required field, and can mix fixed text with values from earlier steps.
Create Contact
ActionIn Zapier“Creates a new contact (i.e. Lead, Prospect, Client)”
Adds a person to Advantage Anywhere as a lead, a prospect or a client, built from data that came out of an earlier step. First name, last name, email and category are all required.
When an Advantage Anywhere Zap breaks
Zapier attaches no help article and no documented error to this app, so the risks below are the general ones that apply to it.
Most broken Zaps on this integration come from four situations. None of them shows an error at first, which is why they are worth knowing before you publish. When a run does fail, the Zapier troubleshooting guide walks through the history screen.
Old leads are not picked up
A Zap only reacts to what happens after it is switched on. Leads and referral sources created before that stay where they are, and moving them is a separate job.A Zap that keeps restarting itself
New Lead or Prospect Created feeding Create Contact can loop: the contact it writes may look like a new lead on the next check, and tasks drain fast.A bulk import gets held back
After a mass import, the trigger may return a huge batch at once. Zapier's flood protection can pause it, so plan imports before turning the Zap on.The same lead never runs twice
Zapier remembers what a polling trigger has already seen. Editing a lead does not start the Zap again, since it is not a new item.
