Overview

What the AdviserLogic Zapier integration actually does

It links your Morningstar AdviserLogic account to Zapier, a tool that runs automations called Zaps. A Zap starts on one event in an app, then does one or more things for you elsewhere. Here, AdviserLogic can start a Zap when a client changes or a diary event appears, and it can receive clients, entities and calendar events sent by other tools.

Three outcomes cover most real setups. A client list that stays in sync: New or Updated Client picks up every new or edited client, so a mailing tool or a shared sheet always holds the current version. A diary that fills itself: the two calendar actions copy meetings booked in Outlook or Google Calendar into the AdviserLogic diary, so a paraplanner stops retyping appointments. One record per person across tools: Create or Update Client and Create or Update Entity write into AdviserLogic and fall back on an update when the record already exists, keyed on an External ID from the other app.

Now the limits. There is no search step, so a Zap cannot look up an existing AdviserLogic client before acting. Nothing fires instantly: both triggers are checked on a timer. New Diary Event only watches events in the next 2 months, so a review booked further out stays invisible until it gets closer. And no action deletes anything.

Weighing other tools for the same job? The Make vs Zapier comparison sets the criteria side by side, and the Zapier review covers the platform as a whole.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for that event to show up.
Action
What the Zap does after it starts: the step that writes a client, adds a diary event or sends something for you.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is pushed by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and quietly stops it otherwise.
Connection
Your AdviserLogic account linked to Zapier once, then reused by every step of every Zap that touches AdviserLogic.
Cost

What it really costs

The triggers are free. Only finished actions count.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Trigger costNone, only successful actions count
  • Instant triggersNone, both are polled

Watching AdviserLogic for new clients or diary events costs nothing, however often Zapier checks. Each action that succeeds uses one task; one that fails is not counted. The free plan gives you 100 tasks a month and checks every 15 minutes, but it stops at two steps. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

The interval drops with each paid plan, as the grid shows. AdviserLogic is not a premium app, so no plan is locked out of it, and a two-step Zap built from either trigger plus one AdviserLogic action stays on the free plan.

Connect

Connect AdviserLogic to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an existing AdviserLogic login, plus access to any client file you do not own and want the Zap to read or change.

  2. 02

    Find Morningstar AdviserLogic

Type the app name in the dialog, select Morningstar AdviserLogic from the results, then click Add connection. A new browser tab opens on the AdviserLogic side.

  3. 03

    Sign in and grant access

Log in to AdviserLogic in that tab and allow Zapier to use the account. The connection then appears on the Apps page, ready for any Zap you build next.

First Zap

Your first Zap: route updated clients of one adviser

GoalWhen a client is created or edited in AdviserLogic, keep only the ones that pass a filter, then update the matching entity record.

  1. 01

    Build the trigger

Create a Zap, pick Morningstar AdviserLogic as the app and New or Updated Client as the event. Select the connection you set up earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent clients of the account, so pick a real one to map the next steps on.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field, the rule and the value. A text rule only works on text, so match the rule to the field type.

  4. 04

    Add the action

Add Create or Update Entity and fill External ID, Entity ID, Source and Entity Type from the client data. Source is the name of the app the Zap works with.

  5. 05

    Test, then publish

Test the action once and read what AdviserLogic sent back. Then click Publish. The filter makes this a multi-step Zap, so it runs on a paid plan.

Triggers

The 2 AdviserLogic triggers

2 events start a Zap when something happens in Morningstar AdviserLogic. Zapier checks for them at the interval your plan allows.

1

New or Updated Client

Polling trigger

In Zapier“Triggers when a client is created or updated.”

This one starts your Zap whenever a client record is added to AdviserLogic or an existing one is edited. Both cases arrive the same way, so the steps that follow should not assume the client is brand new.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
pushing a corrected address or a fresh client into a newsletter list or a shared reporting sheet.
Watch out
do not pair it with Create or Update Client on the same account, or every write counts as an update and starts the Zap again.
2

New Diary Event

Polling trigger

In Zapier“Triggers when a new event is added to your diary. Only triggers for events in the next 2 months.”

Your Zap starts here each time a fresh entry lands in the AdviserLogic diary, such as a review meeting or a call slot that someone books for a client.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
posting each upcoming client meeting to a team chat so the assistant can prepare the file.
Watch out
only events dated within the next 2 months are seen. An annual review booked further ahead is ignored until it moves into that window, and it never fires for edits to an existing event.
Actions

The 4 AdviserLogic actions

Morningstar AdviserLogic gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add/Update AdviserLogic Diary Event From Microsoft Outlook Ca...

Action

In Zapier“Triggers, when a new event is added in outlook calendar or existing event, is updated on outlook calendar.”

Copies a meeting from an Outlook calendar into the AdviserLogic diary, and refreshes it when that Outlook event is changed.

When to use it
advisers who book everything in Outlook and want the client diary to match.
Watch out
the label is cut short in the editor, so look for the word Outlook.
2

Add/Update AdviserLogic Diary Event From Microsoft Google Cal...

Action

In Zapier“Triggers, when a new event is added in the Google calendar or an existing event, is updated on Google calendar.”

The Google Calendar twin of the previous action: a new or edited Google event is added to, or updated in, the AdviserLogic diary.

When to use it
a practice that runs on Google Workspace calendars.
Watch out
despite the word Microsoft in its truncated label, this is the Google one.
3

Create or Update Client

Action

In Zapier“Creates a new client, or updates to existing by Client ID or External ID.”

Writes a client into AdviserLogic, or updates the existing one when it matches on Client ID or External ID.

When to use it
a lead form fills in, and the prospect should exist in AdviserLogic without retyping.
Watch out
First Name, Last Name, Date of Birth, Gender and External ID are all required, so a form that skips birth date or gender cannot feed it.
4

Create or Update Entity

Action

In Zapier“Updates the existing entity, otherwise creates a new entity.”

Updates an entity that already exists in AdviserLogic, and creates it when no match is found.

When to use it
keeping a business or trust record aligned with the system your accountant partner uses.
Watch out
four fields are mandatory: External ID, Entity ID, Source (the name of the app the Zap works with) and Entity Type.
When it breaks

When it breaks

Zapier ties no help article to AdviserLogic, so these are the general limits that hit this app hardest.

Most surprises come from timing and from loops, not from errors. When a Zap still refuses to run, the Zapier troubleshooting guide walks through the checks.

  • Old clients are never picked up

A Zap only reacts to what happens after you switch it on. Clients already in AdviserLogic stay where they are; moving that backlog is a separate job.
  • The client Zap that feeds itself

New or Updated Client plus Create or Update Client on the same account loops: each write looks like an update, starts the Zap again and burns tasks fast.
  • A bulk import gets held back

Importing a large client list at once can return a huge batch on the next check, and Zapier's flood protection may hold it back.
  • Events beyond 2 months stay silent

New Diary Event only watches the next 2 months. A meeting booked further out will not start the Zap until its date comes into that range.

FAQ

AdviserLogic Zapier questions

01Is the AdviserLogic Zapier integration free?
Yes, as long as your Zap stays at two steps. AdviserLogic is not a premium app, so it works on the free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the step count: the free plan only builds Zaps with one trigger and one action. A Zap with a filter, a second action or a search becomes multi-step and needs a paid plan. The trigger side never costs anything, only actions that complete are counted against your monthly total.
02How many tasks does an AdviserLogic Zap use?
One task per action that succeeds, and nothing else. Checking AdviserLogic for new clients or diary events is free, however often Zapier looks. So a Zap that sends each updated client to one other app uses one task per client. Add a second action and each run costs two. An action that fails is not billed. Watch the loop case: if a Zap writes back into the client list its own trigger watches, it restarts itself and the task count climbs very quickly.
03Does AdviserLogic trigger Zaps in real time?
No. Both AdviserLogic triggers are polling triggers: Zapier checks the account on a timer and keeps only what it has not seen before. On the free plan that check happens every 15 minutes, on Professional every 2 minutes, and on Team or Enterprise every minute. The type is set by the app's own interface with Zapier and cannot be switched to instant from the editor. On paid plans, you can also run a check by hand from the editor when you are testing.
04What does it take to connect AdviserLogic to Zapier?
An AdviserLogic account you can sign in to, plus read or write access to any client records you do not own yourself and want the Zap to touch. In Zapier you open the Apps page, click + Add connection, pick Morningstar AdviserLogic, click Add connection, then sign in to AdviserLogic in the tab that opens and grant access. The connection is saved once and every later Zap reuses it, so there is no need to log in again for each new automation.
05Why does Create or Update Client reject form data?
Because it needs five fields that many forms do not collect. First Name, Last Name, Date of Birth, Gender and External ID are all mandatory. External ID is the primary key of the contact in the app the Zap is built with, and it is what lets a later run update the same person instead of creating a duplicate. If your form has no birth date or gender, add those questions, or route the lead somewhere else first and complete the record before it reaches AdviserLogic.
06What if the AdviserLogic operation you need is not there?
Then Zapier cannot do it on AdviserLogic today. The integration covers exactly two triggers (new or updated clients, new diary events) and four actions (clients, entities, and diary events from Outlook or Google Calendar). There is no search step and no delete action. A gap like finding an existing client before acting cannot be filled from the editor. Look at whether another automation platform covers it, or whether the work can start from the other app instead of from AdviserLogic.
07Zapier, Make or n8n for AdviserLogic?
It depends on the criteria that matter to you, not on a single winner. Zapier is the one this page documents: two polled triggers, four actions, and a free plan that runs two-step Zaps. Check first whether the other platforms offer an AdviserLogic connector at all, then compare on the operations you need, how often new data is checked, how runs are billed, and who on the team will maintain the automation. A tool that lacks the one operation you rely on is out, whatever its price.
