Overview

What the AgencyBloc Zapier integration actually does

It links AgencyBloc, the management system that life and health insurance agencies use for their CRM, commissions and sales, to the other tools your team works in. AgencyBloc reports eight kinds of events to Zapier the moment they happen, and Zapier can write four kinds of records back or look up seven kinds of existing ones.

Three results come up again and again for a benefits broker. A clean book of business: a lead captured in a web form lands as a new record through Create Individual, with first and last name filled in, so nobody retypes it. No forgotten follow-up: Policy Created starts a Zap that adds a reminder with Create Activity, attached to the right agent, carrier, group or individual. A team that hears about changes: Group Updated pushes the change into a chat channel or a spreadsheet the account managers already watch.

Now the limits. Zapier cannot edit, close or delete anything in AgencyBloc: the four actions only create Activities, Groups, Individuals and Policies. The seven searches only read. Most of them need an ID you already hold; three of them find a person from a date of birth, an email address or a phone number together with a name. Anything outside that list, such as touching commissions, stays a manual job.

If you are weighing tools before you build, the Make vs Zapier and n8n vs Zapier comparisons set out the criteria side by side.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the rest of this page. Each one is explained once here, then used as is.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task equals one action that completes successfully; your plan counts those.
Polling vs instant
Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier itself the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it everywhere else.
Search step
A step that looks up something that already exists in an app, so later steps can reuse what it found.
Connection
Your AgencyBloc account linked to Zapier one time, then reused by every step that talks to AgencyBloc.
Cost

What it really costs

Short version: triggers are free, successful actions are billed, and AgencyBloc itself needs no paid plan.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, unlimited Zaps, two steps per Zap
  • Trigger costZero tasks, however often it fires
  • AgencyBloc triggers8 instant, 0 polling

Only an action that goes through counts as a task. The trigger never does, and a failed action is not charged either. Each successful action counts on its own, so a Zap with three actions uses three times the tasks of a one-action Zap. The free plan gives 100 tasks a month but stops at two steps: one trigger, one action. Add a filter, a search or a second action and you have a multi-step Zap, which needs a paid plan. The interval grid below applies to polling triggers only; all eight AgencyBloc triggers are instant, so they fire straight away even on Free.

Connect

Connect your AgencyBloc account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an AgencyBloc login, plus read or write rights on any record you do not own and want a Zap to touch.

  2. 02

    Pick AgencyBloc

Type AgencyBloc in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the AgencyBloc side, ready for your login.

  3. 03

    Sign in and allow access

Log in to AgencyBloc in that tab and grant Zapier access to the account. The connection now appears on the Apps page, and every AgencyBloc step in every Zap can reuse it.

First Zap

Your first Zap: log an Activity for each new group

GoalEach time an employer group is added in AgencyBloc and passes your filter, an Activity lands on the account manager's agent record.

  1. 01

    Pick the trigger

Start a new Zap, choose AgencyBloc as the app and Group Created as the event, then select the connection you made above.

  2. 02

    Test it on real data

Run the test. Zapier brings back the three most recent groups of your account, so you can map fields on a real one rather than on a guess.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field to check, the rule and the value. Mind the type: a text rule never matches a number. This step makes the Zap multi-step, so a paid plan.

  4. 04

    Add Create Activity

Choose Create Activity. Set the record type to agent from the list, type the account manager's agent ID once, and write a fixed subject such as a welcome call reminder.

  5. 05

    Test and publish

Test the action, open AgencyBloc to see the Activity, then click Publish. From now on each new group that passes the filter costs one task.

Triggers

AgencyBloc triggers on Zapier

8 events start a Zap when something happens in AgencyBloc, and 8 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Activity Created

Instant trigger

In Zapier“Triggers when an Activity is created in AgencyBloc.”

A new task, call or reminder logged in AgencyBloc starts your Zap, carrying that Activity along so later steps can copy it elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
mirror every Activity your producers log into a shared calendar or a team chat, so the office manager sees the day's workload without opening the CRM.
Watch out
pairing this trigger with Create Activity in the same Zap creates a record that starts the Zap again, an endless loop that drains your tasks.
2

Activity Updated

Instant trigger

In Zapier“Triggers when an Activity is updated in AgencyBloc.”

Edits are the signal here: any change to an existing Activity sets the Zap off, not its creation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when someone reschedules or reassigns a follow-up, notify the colleague who now owns it, so a renewal call does not slip between two people.
Watch out
every save counts as an update, so a record touched five times starts five runs; a filter keeps only the changes you care about, at the price of a paid plan.
3

Group Created

Instant trigger

In Zapier“Triggers when a Group is created in AgencyBloc.”

When an employer group or any other Group record appears in AgencyBloc, Zapier receives it and runs the steps you lined up behind it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
open an onboarding checklist in your project tool for every new employer client, so enrollment prep starts the same day the group is entered.
Watch out
groups that existed before you published the Zap are never picked up; only groups created afterward start it.
4

Group Updated

Instant trigger

In Zapier“Triggers when a Group is updated in AgencyBloc.”

This one watches existing Group records and hands Zapier the group each time someone saves a change to it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep a spreadsheet of employer accounts current for the finance team, appending a row whenever a group's details are edited in AgencyBloc.
Watch out
a mass edit across many groups at once sends a big burst, and Zapier's flood protection can hold part of it back.
5

Individual Created

Instant trigger

In Zapier“Triggers when an Individual is created in AgencyBloc.”

Each brand-new person record, whether a prospect, a client or a dependent, kicks off the Zap as soon as it is saved.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add every new life insurance prospect to your email tool's welcome sequence, so the first message goes out while the conversation is still fresh.
Watch out
a Zap that also runs Create Individual will trigger itself on the record it just made; keep those two in separate Zaps watching different sources.
6

Individual Updated

Instant trigger

In Zapier“Triggers when an Individual is updated in AgencyBloc.”

Changes to a person already in your AgencyBloc database are what this trigger listens for, from a new phone number to an edited address.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push contact edits made by your service desk into the mailing list or the texting tool, so the two systems stop disagreeing about a client's details.
Watch out
one person edited three times in a row means three runs and up to three tasks per action, so watch the count on busy days.
7

Policy Created

Instant trigger

In Zapier“Triggers when a Policy is created in AgencyBloc.”

Writing a new Policy into AgencyBloc, for a group or an individual policyholder, is enough to start the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a short note in the sales channel each time a producer books new business, so the team sees wins without waiting for the monthly report.
Watch out
a bulk import of policies after a carrier migration can arrive as one large batch, which flood protection may pause before the Zap runs.
8

Policy Updated

Instant trigger

In Zapier“Triggers when a Policy is updated in AgencyBloc.”

Here the Zap reacts to edits on policies that already exist, so status changes and corrections reach your other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
alert the service team when a policy record changes, so a lapse or a coverage change gets a call before the client notices.
Watch out
the Zap sees only edits made after it went live; past changes to the same policy are never replayed.
Actions

AgencyBloc actions on Zapier

AgencyBloc gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Activity

Action

In Zapier“Creates an Activity in AgencyBloc.”

Logs a follow-up on a record. It needs a record type, a record ID and a subject, and you can set the due date to all day.

When to use it
schedule a check-in call for a producer whenever a meeting gets booked in your scheduling tool.
Watch out
mapped record types must read agent, carrier, group or individual exactly.
2

Create Group

Action

In Zapier“Creates a Group in AgencyBloc.”

Opens a new Group record, with Group Name as the one mandatory field, either typed once or mapped from the incoming data.

When to use it
when a signed employer agreement lands in your e-signature tool, create the matching group without retyping the company name.
Watch out
a fixed name gives every new group the same label.
3

Create Individual

Action

In Zapier“Creates an Individual in AgencyBloc.”

Adds a person to AgencyBloc from data that arrived elsewhere. First Name and Last Name are the only required fields.

When to use it
turn each quote request from your website form into a prospect record your producers can work.
Watch out
nothing checks for an existing match first, so run a search before it if duplicates worry you.
4

Create Policy

Action

In Zapier“Creates a Policy in AgencyBloc.”

Writes a Policy record. Policyholder Type is required: Group or Individual, picked from the list or mapped as one of those two values.

When to use it
log the policy a client chose in an online enrollment form, so the CRM matches what was sold.
Watch out
every policy must belong to a group or an individual in AgencyBloc.
Searches

AgencyBloc searches on Zapier

7 search steps look for data that already exists in AgencyBloc, so a later step can use it.

Searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the lookup just before and wires its result in for you. Three settings decide what happens when the answer is not a single clean match.

1

Get Activity by ID

Search

In Zapier“Find and include Activity information by Activity ID.”

Pulls one Activity when you already hold its Activity ID, the single required field.

When to use it
a ticket in your help desk stores the Activity ID, and the Zap needs the full follow-up before it writes a reply.
Watch out
without that ID there is nothing to search on.
2

Get Group by ID

Search

In Zapier“Find and include Group information by Group ID.”

Fetches a Group from its Group ID, so later steps can use the group's details.

When to use it
your billing tool keeps the AgencyBloc group ID on each invoice and the Zap needs the employer's record to go with it.
Watch out
a typo in the ID returns nothing and, by default, stops the run.
3

Get Individual by ID

Search

In Zapier“Find and include Individual information by Individual ID.”

Returns a person when the Individual ID is known, the most direct of the four person searches.

When to use it
an earlier step already carries that ID and you want the rest of the client's record.
Watch out
IDs from another system will not match.
4

Get Individual by Date of Birth and Name

Search

In Zapier“Finds An Individual By Date Of Birth And Name”

Finds a person from a name plus a date of birth, with Date Of Birth required.

When to use it
a paper application scanned into a form gives you a name and birth date but no AgencyBloc ID.
Watch out
two clients can share both, so decide what the multiple-results setting should do.
5

Get Individual by Email and Name

Search

In Zapier“Finds An Individual By Email And Name”

Looks a person up by name and Email Address, the field it will not run without.

When to use it
a reply lands in your inbox tool and the Zap must attach it to the right client before logging anything.
Watch out
a client who writes from a second address will not be found.
6

Get Individual by Phone Number and Name

Search

In Zapier“Finds An Individual by Phone Number and Name”

Matches a person on a name and a Phone Number, which is required.

When to use it
a missed call logged by your phone system needs to reach the right client record so someone calls back.
Watch out
the number has to be the one stored in AgencyBloc.
7

Get Policy by ID

Search

In Zapier“Find and include Policy information by Policy ID.”

Retrieves a Policy from its Policy ID so the steps after it can use it.

When to use it
a carrier notice mentions the policy ID you stored earlier, and the Zap must find that policy before alerting the producer.
Watch out
by default an unknown policy ID stops the run, so the alert never reaches the producer.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap right there and the dependent steps are skipped. Switched on, the Zap carries on with nothing found.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. AgencyBloc offers no find-or-create variant on Zapier, so the box does not apply to these seven searches.
  3. If multiple search results are found?
Three ways out: keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When an AgencyBloc Zap breaks

Zapier lists no help article and no rate limit specific to AgencyBloc. The traps below are the general ones, applied to how this app works.

Most failures come from the Zap's own design, not from AgencyBloc. Before digging through history, check these four cases; the Zapier troubleshooting guide covers the generic error screens.

  • Old records never come through

A Zap reacts only to what happens after you publish it. Groups, policies and people that already existed are not picked up, and moving that backlog is a separate job.
  • The Zap keeps restarting itself

Individual Created feeding Create Individual, or Activity Created feeding Create Activity, writes where the trigger watches. Each run starts a new one and burns tasks fast.
  • A bulk import stalls

After a migration or a mass edit, a trigger can return a huge batch at once. Zapier's flood protection may hold those runs back instead of firing them all.
  • Create Activity rejects the record

A mapped record type that is not exactly agent, carrier, group or individual, or a missing record ID, leaves the Activity with nothing to attach to.

FAQ

AgencyBloc Zapier integration: frequent questions

01Is the AgencyBloc Zapier integration free?
Yes, for simple Zaps. AgencyBloc is not a premium app, so it works on the free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: on Free you get one trigger and one action, nothing more. As soon as you add a filter, a search or a second action, the Zap becomes multi-step and needs a paid plan. Prices change often, so check the plan table on zapier.com before you commit.
02How many tasks does an AgencyBloc Zap use?
One task per action that succeeds, each time the Zap runs. The trigger costs nothing, and the waiting does not either: Zapier never bills for watching AgencyBloc. An action that fails is not charged. So a Zap that creates one Activity per new policy uses one task per policy, while a Zap with two actions uses two. Be careful with update triggers: a record saved several times starts several runs, and each run bills its actions again.
03Does AgencyBloc trigger Zaps in real time?
Yes. All eight AgencyBloc triggers are instant: AgencyBloc tells Zapier the moment an Activity, Group, Individual or Policy is created or updated, and the Zap starts right away. That holds on every plan, including Free, because the polling interval grid only applies to triggers Zapier has to check on a timer. In the editor, a Zap built on an instant trigger shows a lightning bolt. The trigger type comes from AgencyBloc's side and cannot be switched.
04What does it take to connect AgencyBloc to Zapier?
An AgencyBloc account you can sign in to, plus read or write rights on any record you do not own and want a Zap to touch. The connection itself takes three moves: open Apps in Zapier and click + Add connection, pick AgencyBloc and click Add connection, then sign in and grant access in the tab that opens. After that, every AgencyBloc step in every Zap reuses the same connection, so you only do this once per account.
05Why does Create Activity fail on some records?
Usually because of the record it must attach to. Every Activity has to belong to an Agent, Carrier, Group or Individual in AgencyBloc, and the step requires both a record type and a record ID, plus a subject. If you map the record type from another app, the value must be exactly agent, carrier, group or individual. Any other spelling, or an empty ID, leaves the Activity without a home and the step stops.
06What if the AgencyBloc operation you need is not there?
Then Zapier cannot do it for this app today. The four actions only create Activities, Groups, Individuals and Policies; there is no action to edit, close or delete a record, and the searches only read. A workaround can sometimes combine a search with a create step, but it will not modify what already exists. For anything beyond that, compare what other platforms expose for AgencyBloc before building, or keep that part manual.
07Zapier, Make or n8n for AgencyBloc?
It depends on your criteria, not on a single winner. Zapier gives you eight instant AgencyBloc triggers with no setup beyond signing in, and a free plan for two-step Zaps, which suits a small agency without technical staff. For Make and n8n, first check which AgencyBloc operations each platform actually offers. Then weigh price per run, hosting and who will maintain the flows over time, since that person matters more than any feature list.
