Overview

What the Agent 3000 Zapier integration actually does

Agent 3000 bundles a website, an IDX property search and a CRM for realtors. Zapier is the go-between: it watches Agent 3000 for new contacts and passes them on, or it takes people collected elsewhere and files them in Agent 3000 as contacts. Two operations, one in each direction. That is the whole menu.

A heads-up for the agent on duty. The New Contact trigger picks up every fresh contact, including people who came in from your Agent 3000 landing pages or website. Pair it with a message in your team chat and whoever is on call sees the lead without opening the CRM.

A single list for open-house sign-ins. Visitors who register on a separate event or form tool can land in Agent 3000 through Create Contact. You map a first name and an email, and the visitor sits next to your web leads instead of in a forgotten export.

A copy for the person who does the reporting. Send each new contact to a spreadsheet or another tool your broker already reads. Nobody has to retype it, and the CRM stays the place where the contact was born.

What Zapier will not do here. It cannot update an existing contact, look one up, or react to anything other than a new contact: the integration offers no search and no other action. It also only sees contacts created after the Zap goes live. If you are weighing other platforms for this kind of job, the Make vs Zapier and n8n vs Zapier comparisons lay out the criteria.

Vocabulary

Zapier words, in plain English

Seven terms come back on every Zapier screen. Here they are once, so the rest of the page reads easily.

Zap
The automation you set up on Zapier: one starting event, then one or more steps that run each time that event happens.
Trigger
The event in an app that starts a Zap. With Agent 3000, that event is a new contact appearing in your CRM.
Action
The step the Zap performs once it has started: it writes, sends or moves something for you in another app.
Task
What Zapier bills you for: one action that completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer, Zapier asking for new items. An instant one is pushed by the app the moment it happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you choose, and stops it otherwise.
Connection
Your Agent 3000 account linked to Zapier once, then reused by every Zap and every step that talks to Agent 3000.
Cost

What a Zap with Agent 3000 really costs

Agent 3000 is not a premium app, so it works on the free plan. What counts is the number of tasks your actions consume.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Trigger typePolling (New Contact)
  • BilledEach successful action

The New Contact trigger never costs a task, and neither do the checks Zapier runs to look for new contacts. Each action that succeeds counts once; one that fails is not counted. A Zap with three actions eats three times what a one-action Zap does. The free plan gives 100 tasks a month and an unlimited number of Zaps, but only two-step Zaps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your Agent 3000 account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. Before that, you need an Agent 3000 account of your own: the connection links an account that already exists, it does not open one.

  2. 02

    Find Agent 3000

Type Agent 3000 in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Agent 3000 side, ready for your login.

  3. 03

    Sign in and allow access

Log in to Agent 3000 in that tab and grant Zapier access. If the contacts you plan to touch belong to someone else on your team, make sure your login can read or write them.

First Zap

Your first Zap: website leads to a call list

GoalEach new Agent 3000 contact goes to the shared call list, but only when an email came with it.

  1. 01

    Create the Zap

Start a new Zap, pick Agent 3000 as the app and New Contact as the event that starts it. Choose the connection you made above.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent contacts of your account, so you can pick a real one to work with in the next steps.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then fill its three boxes: the email field, a text rule that checks it is filled, and the value if the rule asks for one. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the spreadsheet step

Pick your spreadsheet app and its add-a-row action, then map the contact's first name and email into the matching columns of the call list.

  5. 05

    Test, then publish

Run each step once and read what came back before going further. When the row looks right, click Publish to switch the Zap on.

Triggers

The Agent 3000 trigger

1 event starts a Zap when something happens in Agent 3000. Zapier checks for them at the interval your plan allows.

1

New Contact

Polling trigger

In Zapier“Triggers when a new contact is created. Also triggers when new leads come in from your landing pages or website.”

Starts your Zap whenever a contact is added to Agent 3000. That covers contacts you enter by hand and the leads that arrive through your Agent 3000 landing pages or website, so one trigger catches both.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when a buyer inquiry from your listing site should reach a colleague, a spreadsheet or a mailing tool without anyone copying it over.
Watch out
this is a polling trigger, so on the free plan a lead can wait up to the next check before your Zap reacts; a Zap that also creates contacts in Agent 3000 will set this trigger off again.
Actions

The Agent 3000 action

Agent 3000 gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact.”

Adds a person to your Agent 3000 CRM from data collected in another app. It insists on two fields every time: First Name and Email.

When to use it
visitors sign up through a separate open-house or event form, and you want them in the same CRM as your web leads.
Watch out
a run with no email fails, and does not cost a task.
When it breaks

When an Agent 3000 Zap breaks

Zapier attaches no help article to Agent 3000, so the problems below are the general ones, applied to this app.

Most failures on this pair come from how Zapier works in general, not from Agent 3000 itself. Four cases are worth knowing before you publish. For a methodical approach to a stuck Zap, see the Zapier troubleshooting guide.

  • Old contacts are never sent

A Zap only reacts to contacts created after it is switched on. The contacts already sitting in Agent 3000 stay where they are; moving them is a separate job.
  • A Zap that keeps restarting itself

New Contact plus Create Contact in the same Zap means each contact you create triggers the Zap again. It loops and burns through your task count fast.
  • A bulk import that seems ignored

Import a large batch of contacts at once and the trigger suddenly returns a huge pile. Zapier's flood protection can hold that batch back.
  • Create Contact fails on some runs

The action needs a first name and an email every time. When the source app leaves one of them blank, that run stops with an error.

FAQ

Agent 3000 and Zapier: common questions

01Is the Agent 3000 Zapier integration free?
Yes, as long as the Zap stays at two steps. Agent 3000 is not a premium app, so it runs on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: one trigger and one action only. Adding a filter, a second action or a search turns it into a multi-step Zap, and multi-step Zaps need a paid plan. The trigger itself and the checks for new contacts cost nothing.
02How many tasks does an Agent 3000 Zap use?
One per successful action, per run. If New Contact fires and your Zap sends a single message to your team chat, that is one task. If the same Zap also adds a row to a sheet and sends an email, every new contact costs three. The trigger never costs a task, and an action that fails is not counted. Five new contacts in a day with a two-action Zap therefore means ten tasks, provided all of them go through.
03Does Agent 3000 send new contacts to Zapier in real time?
No. New Contact is a polling trigger: Zapier asks Agent 3000 for new contacts on a timer, and the timer depends on your plan. It is every 15 minutes on Free, 2 minutes on Professional and 1 minute on Team or Enterprise. On paid plans you can also run a check by hand from the editor. The type is set by the app and cannot be switched to instant from the Zapier side.
04What does it take to connect Agent 3000 to Zapier?
An active Agent 3000 account and a Zapier account. From the Apps page in Zapier, click + Add connection, pick Agent 3000, then sign in and grant access in the tab that opens. If the Zap will handle contacts owned by a teammate, your login has to be allowed to read or write them. The connection is made once and reused by every Zap that talks to Agent 3000. Nothing else is required on the Zapier side.
05Why does the Agent 3000 Create Contact step fail?
Almost always because the first name or the email was empty. Create Contact treats both as required, so a form that lets visitors skip the email, or a source that only stores a phone number, produces failed runs. Make those fields mandatory where the data comes from, or, on a paid plan, put a filter in front so only complete records go through. Failed runs are not billed, but those contacts never reach Agent 3000.
06What if the Agent 3000 operation you want is missing?
Then Zapier cannot do it for this app today. The integration offers New Contact and Create Contact, nothing else: no search, no update, no other events. A workaround is to keep that part of the process inside Agent 3000 and let Zapier handle only new contacts in or out. If that is too narrow, compare what other automation platforms offer for the same app before building anything. Check that before you promise anything to your team.
07Zapier, Make or n8n for Agent 3000?
It depends on your criteria. Zapier gives you a ready-made Agent 3000 connection with two operations and a short setup, which suits a realtor who wants new leads routed without technical work. For Make and n8n, check first whether each one offers an Agent 3000 connection at all, and with which operations. Cost model, hosting and who will maintain the workflow usually decide it. Pick the one your team can run.
