What the Gammatica Zapier integration actually does

Gammatica is an AI agent platform with its own CRM, built around pipelines and project stages. Zapier links it to other apps through Zaps: small automations that start on one event and then run one or more steps for you. With Gammatica, that means reacting to bookings and new contacts, or pushing contacts and tasks in from elsewhere.

Three outcomes cover most of what people build. First, a team ping for every meeting: New Booking fires when someone books through your Gammatica booking page, and the next step posts it wherever your team talks. Second, leads that land on the board by themselves: a form or an ad tool hands a new person to Add Contacts to a Pipeline Stage, and the contact appears in the stage you picked. Third, a to-do that follows a stage change: New Contact in Stage watches one stage, and Add Task drops a task on a project stage so nobody forgets the next move.

Now the part the app page skips. Gammatica has no search on Zapier, so a Zap cannot look up a contact that already exists before acting. There is no update either: you can add a contact or a task, never edit or move one. And with four operations in total, anything beyond bookings, contacts and tasks stays inside Gammatica itself.

    In your Zapier account, go to Apps and click + Add connection. You need a Gammatica account, plus access to any pipeline or project you do not own but want the Zap to touch.

Zapier links no help article to Gammatica, so these are the general limits that hit this app hardest.

None of them shows an error at setup. They show up later, in the task count or in missing records. When a Zap goes quiet, start with Zapier troubleshooting.

  • Old bookings never come through

    A Zap only reacts to what happens after it is switched on. Contacts and bookings that existed before stay where they are, and moving that backlog is a separate job.
  • A Zap that triggers itself

    Watch a stage with New Contact in Stage and add contacts into that same stage, and the Zap loops on its own output until the task count runs dry.
  • A bulk import gets held back

    Pour hundreds of contacts into a watched stage at once and Zapier's flood protection can hold that batch back instead of running the Zap on every item.

Gammatica Zapier integration: frequent questions

01Is the Gammatica Zapier integration free?
Yes, as long as your Zap stays at two steps. Gammatica is not a premium app, so the free Zapier plan accepts it, with 100 tasks a month and as many Zaps as you like. What limits you is length: each Zap stops at one trigger and one action. A Zap that creates a contact and then a task, or that holds a filter, becomes multi-step and needs a paid plan. Zapier also flags Gammatica as beta, so expect the app to evolve.
02How many tasks does a Gammatica Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that fires on New Booking and runs Add Task uses one task per booking. Add a second action and each booking costs two. Waiting for new bookings or contacts is free however often it happens, and an action that fails is not counted against your plan. A few apps and actions elsewhere bill more than one task each, so check the other steps of the Zap too.
03Do Gammatica triggers run in real time?
Yes. New Booking and New Contact in Stage are both instant triggers: Gammatica tells Zapier the moment the event happens, and the Zap starts at once. The interval grid of the plans, 15 minutes on Free down to 1 minute on Team, only applies to polling triggers, so it does not slow Gammatica down even on the free plan. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What is required to connect a Gammatica account?
A Gammatica account, and access to anything you want the Zap to touch that you do not own yourself. The connection itself is short: Apps page, + Add connection, pick Gammatica, sign in and grant access. Before building, make sure the account already holds the pipelines, projects and stages your steps will point to, because Add Task needs a Project and a Stage and Add Contacts to a Pipeline Stage needs a stage to land in.
05Can a Gammatica Zap update an existing contact?
No. Gammatica exposes two actions on Zapier and both create something: a contact in a pipeline stage, or a task on a project stage. There is no update action and no search step, so a Zap cannot find a contact first and change it. If the same person submits a form twice, the Zap creates two contacts. Keep edits and moves between stages inside Gammatica, where its own agents and pipelines handle them.
06What if the Gammatica operation you want is missing?
Then the Zapier integration cannot do it today. The visible list is short: New Booking and New Contact in Stage as triggers, Add Contacts to a Pipeline Stage and Add Task as actions. Anything else, from invoices to support requests, has no operation on Zapier yet. The integration is in beta, so the list may grow. Until then, check whether Gammatica covers the need inside its own platform before forcing it through a Zap.
