Overview

What the AgilityPortal Zapier integration actually does

It links the project side of AgilityPortal, the intranet software, to Zapier. A change on a project or a task in AgilityPortal can start an automation, and an automation can create, update or delete projects and tasks in AgilityPortal. Nothing else in the intranet is covered: only projects and tasks.

Three things people usually build with it. A kick-off checklist that writes itself: each time someone opens a project, New Project fires and Create Task drops the first task into it, so nobody starts from an empty board. A project that follows its tasks: when a key task changes, Task Updated fires and Update Project moves the due date or the description of the parent project. A cleanup trail: Project Delete and Task Delete report removals the second they happen, which is handy when an operations manager wants a record of what disappeared.

Now the limits. The app has no search step, so a Zap cannot look up an existing project by its name. Every update and every deletion asks for the item's ID, and that ID has to come from an earlier step or be typed in by hand. The actions also ask for a lot: creating a project requires eight fields, from Privacy to Assignees. Nothing on the app page covers comments, files, news posts or the rest of the intranet.

If you are weighing tools before you build, the Make vs Zapier comparison sets the criteria side by side, and the Zapier review covers the platform as a whole. There is no AgilityPortal page for n8n or Make on the site yet.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Each one is defined here once, then used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or changes something in an app on your behalf.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived matches your condition, and stops it quietly otherwise.
Connection
Your AgilityPortal account linked to Zapier once, then reused by every step of every Zap that touches the app.
Multi-step Zap
Any Zap with more than one trigger and one action. A second action or a filter makes one, and it needs a paid plan.
Cost

What it really costs

AgilityPortal is not a premium app on Zapier, so it works on the free plan.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • What countsEach successful action; triggers are free
  • AgilityPortal triggers6 instant, 0 polling

The trigger never costs anything, and Zapier waiting for an event is free too. Each action that succeeds counts as one task; an action that fails is not counted. A Zap that creates a task and then updates a project burns two tasks per run. The free plan gives you 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which means a paid plan. Since all six AgilityPortal triggers are instant, the polling interval of each plan never applies here.

Connect

Connect AgilityPortal to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. That page lists every account you have already linked, so it is also where you come back later to check which AgilityPortal login is in use.

  2. 02

    Pick AgilityPortal

Type AgilityPortal in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the AgilityPortal side, so check that your browser is not blocking pop-ups before you start.

  3. 03

    Sign in and grant access

Log in to AgilityPortal in that tab and allow Zapier to use the account. You need an account on the app, plus read or write rights on any project you do not own and want a Zap to touch.

First Zap

Your first Zap: a starter task in every public project

GoalEach time a project is created in AgilityPortal, check that it matches your condition, then create its first task automatically.

  1. 01

Create the Zap and set the trigger

Start a new Zap, choose AgilityPortal as the app and New Project as the event, then pick your connection. The trigger is instant: no interval to choose.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent projects of the account, so you map the next steps on a real one rather than on a blank.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field to check, the rule and the value. Use a text rule on text values, or the filter will never pass.

  4. 04

    Add Create Task

Pick Create Task and fill all seven required fields. Map the project ID from the trigger step into Project ID, and type fixed values for Milestone, Priority and Status.

  5. 05

    Test, then publish

Run the action once and open AgilityPortal to see the task land in the right project. Then click Publish. With the filter, this is a multi-step Zap, so it needs a paid plan.

Triggers

The 6 AgilityPortal triggers

6 events start a Zap when something happens in AgilityPortal, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Project Delete

Instant trigger

In Zapier“Triggers when a project is deleted.”

Fires when someone removes a project from AgilityPortal. Your Zap gets the signal right after the deletion, which gives you a chance to react before anyone asks where the project went.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a PMO lead who wants every removed project written into an audit sheet, so the weekly review starts from a complete list.
Watch out
the project is already gone when the Zap runs, so a later step cannot update it or add a task to it.
2

Task Delete

Instant trigger

In Zapier“Triggers when a task is deleted.”

Starts your Zap the moment a task is deleted, wherever it sat in your projects. It is the quiet event most teams never see, because a removed task leaves no trace on the board itself.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an agency account manager tracking scope, who wants a note every time a deliverable is struck off a client project.
Watch out
if the same Zap answers with Delete Task, each deletion sets it off again and drains your task count; test it on a dummy project first.
3

New Project

Instant trigger

In Zapier“Triggers when a new support project is created.”

Kicks off when a project is created in AgilityPortal. This is the natural starting point for anything that should happen once per project: a first task, a welcome message, a row in a tracking sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an HR team that opens a project for each new hire and wants the standard onboarding task created inside it without anyone thinking about it.
Watch out
only projects created after the Zap is published count; the ones already in AgilityPortal are never picked up.
4

New Task

Instant trigger

In Zapier“Triggers when a new support task is created.”

Reacts to every task added to a project. On a busy intranet this one fires often, so it pays to think about what the Zap should ignore before you switch it on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a support lead who wants each new task pushed to the team chat, so nobody has to refresh the board to see fresh work.
Watch out
a Zap that answers New Task with Create Task restarts itself every time and eats your task count fast; add a filter or pick another action.
5

Project Updated

Instant trigger

In Zapier“Triggers when a project is updated.”

Runs whenever a project is edited, whatever field changed. That makes it broad: a renamed project and a pushed deadline both set it off, so a filter is often the second step you add.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a delivery manager who wants the client calendar updated each time a project's due date moves.
Watch out
if the same Zap uses Update Project on that project, it edits it, fires again, and loops until you turn it off.
6

Task Updated

Instant trigger

In Zapier“Triggers when a task is updated.”

Catches every edit made to an existing task: a new status, a different priority, a moved date. Pick it for follow-ups: a status change is often what a colleague is waiting for.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a marketing lead who wants a reviewer pinged as soon as a content task is set to ready.
Watch out
each small edit counts as an update, so without a filter on the status your Zap will also run on harmless changes.
Actions

The 6 AgilityPortal actions

AgilityPortal gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Project

Action

In Zapier“Creates a Project in the system”

Opens a new project in AgilityPortal from data coming out of another app. It is the heaviest action of the set: all eight fields are required.

When to use it
a signed deal in your CRM that should become a delivery project, with the owner and assignees already set.
Watch out
Privacy accepts only “public” or “private”, and Owner and Assignees expect email addresses, comma-separated for several assignees.
2

Create Task

Action

In Zapier“Creates a Task in the system”

Adds a task to a project that already exists. You point it at the right project through its Project ID, then give it a name, dates, a milestone, a priority and a status.

When to use it
a form submission that should turn into a to-do inside the matching client project.
Watch out
all seven fields are required, so check that the app feeding the Zap carries each value, or type fixed ones for Milestone, Priority and Status.
3

Delete Project

Action

In Zapier“Delete a Project in the system”

Removes a project from AgilityPortal. It needs nothing but the project ID, which makes it the easiest action to set up and the one to handle with the most care.

When to use it
clearing out a test project once a staging process is over.
Watch out
the deletion is real, so test it on a throwaway project before you publish.
4

Delete Task

Action

In Zapier“Delete a Task in the system”

Deletes a single task, identified by its ID and nothing else. Useful for keeping boards tidy when the work behind a task was cancelled in another tool.

When to use it
a meeting cancelled in the calendar that should remove its preparation task from the project.
Watch out
the ID must be the task's own, not its project's; mixing them up is the classic mistake here.
5

Update Project

Action

In Zapier“Update a Project in the system”

Rewrites an existing project. Beyond the ID, it asks again for the name, description, privacy, dates, category and owner, all required, so plan to send the current values even for fields you are not changing.

When to use it
pushing a new due date into the project when the contract end date changes elsewhere.
Watch out
without a search step, the project ID must come from an earlier step or be typed in.
6

Update Task

Action

In Zapier“Update a Task in the system”

Changes a task you can already identify by its ID: move it to another status, shift its dates, raise its priority. Every field it lists is required, Project ID included.

When to use it
closing a task automatically once the matching ticket is marked solved in your help desk.
Watch out
if the trigger of the same Zap is Task Updated, this action sets it off again; guard it with a filter.
When it breaks

When it breaks

Zapier attaches no help article to AgilityPortal, so the failures below are the general ones that hit this app hardest.

With six instant triggers and six actions on the same two objects, the risks are mostly about Zaps feeding themselves and about history that was never there. If one of these shows up, the Zapier troubleshooting page walks through the fixes.

  • Old projects never come through

A Zap only reacts to what happens after you publish it. Projects and tasks that already exist in AgilityPortal are not picked up; moving that backlog is a separate job.
  • The Zap that keeps restarting

Task Updated plus Update Task on the same task, or New Task plus Create Task, sets the Zap off again on every run. It burns through your task count fast.
  • A bulk import held back

Importing or migrating dozens of projects at once can send a huge batch to Zapier, and its flood protection may hold that batch instead of running it.
  • Privacy rejects your value

Create Project and Update Project take only “public” or “private” in Privacy. Type one of the two as a fixed value rather than mapping a free-text field from another app.

FAQ

AgilityPortal Zapier integration: FAQ

01Is the AgilityPortal Zapier integration free?
Yes, as long as your Zap stays at two steps. AgilityPortal is not a premium app, so it runs on the free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: on the free plan it is one trigger and one action, nothing more. The moment you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. For a single trigger to single action flow, like creating a task when a project opens, the free plan is enough.
02How many tasks does an AgilityPortal Zap use?
One per successful action, per run. The trigger costs nothing, and Zapier waiting for a new project or task costs nothing either. So a Zap that answers New Project with Create Task uses one task each time a project opens. Add Update Project after it and that becomes two. An action that fails is not counted against your plan. The thing to watch is volume: New Task and Task Updated can fire very often on an active intranet, and every run that reaches a successful action is billed.
03Is AgilityPortal on Zapier real time?
Yes, for all six triggers. Each one is instant: AgilityPortal reports the event to Zapier the moment it happens, so the Zap starts right away. The polling interval of each plan, 15 minutes on the free plan, does not apply here at all. That makes AgilityPortal one of the apps where the free plan loses nothing on speed. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it.
04What do you need to connect AgilityPortal to Zapier?
An AgilityPortal account, and access rights on whatever the Zap will touch. You open the Apps page in Zapier, click + Add connection, pick AgilityPortal, then sign in to the app in the tab that opens and grant Zapier access. If the Zap should create tasks in projects you do not own, the connected account needs write access to those projects. One connection is enough for every Zap that uses AgilityPortal.
05Why do Update Task and Delete Task ask for an ID?
Because the app has no search step to find a task by its name. Every update and deletion action in AgilityPortal requires the ID of the project or task, and there is no way to look that ID up inside the Zap. In practice, it has to come from an earlier step that carries it or be typed by hand. That is why Zaps starting from an AgilityPortal trigger are the easiest to build: the item that fired is the one you then act on. Test the trigger first to see what it brings back.
06What if the AgilityPortal operation you want is not there?
Then Zapier cannot do it for this app, and a workaround has limits. The integration covers projects and tasks only: six triggers on creation, updates and deletion, six actions to create, update and delete them. Comments, files, news posts and the rest of the intranet are not on the app page. The options are to change the scenario so it fits those twelve operations, or to look at another automation tool. Checking the app page before you design the flow saves a lot of rework.
07Zapier, Make or n8n for AgilityPortal?
It depends on your criteria, not on a winner. Zapier has the AgilityPortal integration ready to use, with six instant triggers and six actions, and the free plan covers two-step Zaps. If your flows need many steps and branches, compare how each tool bills multi-step runs. Start from the operations you need, then check each tool against them. On Zapier, adding a filter to an AgilityPortal Zap makes it multi-step, so count that in when you compare.
