What the Browse AI Zapier integration actually does

Browse AI runs robots that pull data off websites without code. Zapier is the glue: it watches for a robot finishing its job, then hands the result to another app, or it starts a robot on demand when something happens elsewhere. You build that link once, as a Zap, and it keeps running on its own.

Three results people usually want, each tied to a real operation.

A fresh row for every scrape. When a robot finishes, New Task starts the Zap and the extracted values land in a spreadsheet or a database. No more downloading files by hand after each run.

A robot that runs when your data changes. A new lead in your CRM, a new product in your catalog: another app starts the Zap, and Run Task puts one of your robots to work on it.

A big batch in one go. Bulk Run Tasks asks one robot to work through a long list of inputs, up to 50,000 tasks in a single bulk run, instead of one Zap run per page.

What Zapier does not do here: there is no search step for Browse AI, so a Zap cannot look up an existing robot or a past result on its own. There is no action to create or edit a robot either. You set up robots inside Browse AI, then Zapier only starts them and collects what they found. The API Request (Beta) action is the escape hatch for the rest, and it is not for beginners.

Browse AI is not a premium app, so it works on the free plan. The bill depends on actions, not on how often robots finish.

The trigger never costs a task. Each action that succeeds counts once, and a failed action counts nothing. So a Zap with three actions eats three times what a single-action Zap eats. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. A few apps and actions take more than one task, so check the counter after your first runs.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. Have your Browse AI login ready, plus access to any robot you did not create yourself.

    Pick Browse AI

    Type Browse AI in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens on the Browse AI side for the next step.

    Log in to Browse AI in that tab and grant Zapier access to the account. Back in Zapier, the connection shows up in your list and every future Browse AI step can reuse it.

    Create the Zap

    Start a new Zap and choose Browse AI as the app that starts it. Pick New Task as the event, then select your Browse AI connection.

    Set the trigger

    Fill in the two required boxes: the Team that owns your robots and the Event Type to listen for. Both must match how your robots are organised in Browse AI.

    Test with real data

    Run the trigger test. Zapier brings back the three most recent items from your account, so you map fields on a real scrape, not on a guess.

    Add the filter and the action

    Add a filter so only the results you want go on, then add Google Sheets and map the scraped values to columns. The filter makes this a multi-step Zap, so a paid plan is needed.

    Test, then publish

    Test each step once and read what came back. When the row looks right, publish the Zap to switch it on. It only reacts to tasks finishing from that moment on.

When to use it
a long list of product URLs needs checking in one pass.
Watch out
one bulk run can finish a huge number of tasks, and a Zap listening to New Task may then receive a flood.

An advanced step that sends a raw request to Browse AI using your existing connection, for anything the ready-made actions do not cover. It asks for a method, a URL and an error setting.

When to use it
a developer on your team needs a Browse AI feature with no dedicated action.
Watch out
requests only go to domains tied to Browse AI, not to any address.
When it breaks

When a Browse AI Zap breaks

Zapier's help center has a getting-started guide for Browse AI, but it does not list what goes wrong. These are the cases that come straight from how the integration works.

None of these is exotic. Most come from the way robots, teams and Zaps fit together. If a Zap still misbehaves after checking them, our Zapier troubleshooting page goes through the method.

  • Past scrapes are never picked up

    A Zap only reacts to tasks that finish after you publish it. Results from last month stay in Browse AI, and moving them is a separate job.
  • The Zap keeps restarting itself

    New Task followed by Run Task on the same robot is a loop: each run finishes, starts the Zap, and launches another run, burning tasks fast.
  • A bulk run floods the trigger

    After Bulk Run Tasks, a sudden wave of finished tasks can be held back by Zapier's flood protection instead of running the Zap for each one.
  • API Request refuses the address

    API Request (Beta) only calls domains associated with Browse AI. With Stop on error set to Yes, the step halts the Zap when the app returns an error.

Browse AI and Zapier: common questions

01Is the Browse AI Zapier integration free?
Yes, as far as Zapier is concerned. Browse AI is not a premium app, so you can connect it on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A Zap that sends a finished scrape to one sheet fits. A Zap that also filters the results, or sends them to two places, becomes multi-step and needs a paid plan.
02How many Zapier tasks does a Browse AI Zap use?
One per successful action, per run. The New Task trigger itself costs nothing, however many robots finish. If your Zap adds a row to a sheet after each scrape, every finished robot run costs one task. Add a second action and each run costs two. Actions that fail are not counted. Keep an eye on bulk runs: a single Bulk Run Tasks call can lead to many finished tasks, and every one of them that starts a Zap will spend tasks downstream.
03Does the Browse AI trigger work in real time?
Yes. New Task is an instant trigger: Browse AI tells Zapier the moment a task finishes, and the Zap starts right away. The polling interval of your plan, 15 minutes on the free plan, does not apply to it. In the editor, a Zap built on an instant trigger shows a lightning bolt. That makes this integration a good fit for free-plan users who need results quickly, as long as the Zap stays at two steps.
04What does it take to connect Browse AI to Zapier?
A Browse AI account, and access to the robots you want to use if someone else built them. The connection itself runs from the Apps page of your Zapier account: add a connection, pick Browse AI, sign in in the tab that opens, then grant access. After that, every Browse AI step reuses it. The detail that trips people up is the Team field, required on every operation. The connected account has to see the team that owns the robots.
05Why does a Browse AI Zap run over and over?
Most likely it starts itself. If the trigger is New Task and the action is Run Task on the same robot, each finished run starts the Zap, which launches a new run, which finishes and starts the Zap again. That loop burns your task count quickly. Break it with a different robot for the action, or put a filter between the two steps so only some results go through. A filter makes the Zap multi-step, which means a paid plan.
06What if the Browse AI operation you need does not exist on Zapier?
Then the choice is between API Request (Beta) and another tool. That action sends a raw request to Browse AI with your existing connection, so a developer can reach features with no dedicated action. It only works with domains tied to Browse AI, and it expects a method, a URL and an error setting. There is also no search step and no action to create a robot, so robot setup always happens inside Browse AI.
