Overview

What the OneBookPlus Zapier integration does for a service business

OneBookPlus is where a service or trade business keeps its quotes, invoices, jobs, bookings and customer records. The integration links that account to Zapier, so an event in OneBookPlus (a quote accepted, an invoice paid, a job closed) can kick off work in another tool, and other tools can write contacts, jobs and invoices back into it.

Three results people actually build. Bills that write themselves: Job Completed hands over the finished job and Create Invoice turns it into an invoice with its line items, so nobody retypes the visit at the end of the day. A sales team that hears about every yes: Quote Accepted also catches acceptances clicked on the public quote link, and the next step posts the news wherever your team reads it. Clean customer records: Find Contact checks an email against your file, and Create Contact adds the person only if they are new.

What it will not do. Every action here creates something. There is no step to update or delete a contact, job, quote or invoice, so corrections stay a manual job in OneBookPlus. Each search takes one value (an email, an invoice number or a job number) and nothing else. Zapier also tags the app as beta, which is worth keeping in mind before you hang your whole billing on it.

Vocabulary

Zapier words in one minute

Eight words carry the whole page. Here they are in plain English, as they apply to OneBookPlus.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The OneBookPlus event that starts the Zap, such as a paid invoice. Once the Zap is switched on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes something for you, like a new contact, job or invoice.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan caps how many you get a month.
Polling vs instant
Polling means Zapier asks the app for news on a timer. Instant means the app reports the event itself. All 7 OneBookPlus triggers are instant.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in OneBookPlus, like a contact by email, so the steps after it can use it.
Connection
Your OneBookPlus account linked to Zapier once, then reused by every step in every Zap that touches OneBookPlus.
Cost

What it really costs

Zapier counts tasks, and only completed actions are tasks. The trigger is free, and so is the waiting.

  • Trigger0 tasks
  • Each action that succeeds1 task
  • Action that fails0 tasks
  • Free plan100 tasks a month, 2 steps per Zap

The free plan gives 100 tasks a month and as many Zaps as you like, and OneBookPlus is not a premium app, so it works there. The limit nobody mentions: a free Zap has two steps, one trigger and one action. Add a filter, a search or a second action and it becomes a multi-step Zap, which needs a paid plan. An action that fails is not counted. The polling grid below does not apply to this app, because every OneBookPlus trigger is instant.

Connect

Connect your OneBookPlus account

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. In the dialog that appears, type OneBookPlus in the search box and pick the app from the results.

  2. 02

    Sign in to OneBookPlus

Click Add connection, then sign in to OneBookPlus in the tab that opens. You need an existing account on the app: Zapier links an account, it does not create one.

  3. 03

    Grant access

Grant Zapier access to the account. The connection is now saved and every OneBookPlus step reuses it. If a Zap has to touch records you do not own yourself, your account needs read or write access to them.

First Zap

Your first Zap: invoice every completed job

GoalEach job marked Completed in OneBookPlus becomes an invoice, but only for the jobs you decide to bill.

  1. 01

    Pick the trigger

Start a new Zap, choose OneBookPlus as the app that starts it and Job Completed as the event, then select the connection you just made.

  2. 02

    Test it on real jobs

Run the trigger test. Zapier brings back the three most recent items from your account, so you map the next steps on a real job instead of a made-up one.

  3. 03

    Add the filter

Click the plus icon, add a Filter and fill its three boxes: the job value to look at, the rule, and what to compare it with. A text rule only works on text, a number rule only on numbers.

  4. 04

    Add Create Invoice

Add OneBookPlus with Create Invoice. Fill Contact, Description, Quantity and Unit price from the job data, then set Prices include GST? to match how you price.

  5. 05

    Test, then publish

Test each step once and read what came back, then Publish. The filter makes this a multi-step Zap, so it runs on a paid plan only.

Triggers

OneBookPlus triggers

7 events start a Zap when something happens in OneBookPlus, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Booking

Instant trigger

In Zapier“Triggers when a new booking is created.”

Every booking added to OneBookPlus starts the Zap and hands the new appointment to the steps that follow. Useful when the OneBookPlus calendar is not the only place that needs to know about a visit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a cleaning company copies each new booking into a shared team sheet, so the crew sees the week without logging in to OneBookPlus.
Watch out
a job can also be created from a booking, so a Zap on New Booking and another on New Job may both run for the same visit.
2

Invoice Paid

Instant trigger

In Zapier“Triggers when an invoice is fully paid — via any method (manual, card, bank transfer, bank-feed auto-match).”

Money in, Zap on: this trigger waits until an invoice is fully paid, whether the payment was recorded by hand, made by card or bank transfer, or matched automatically from the bank feed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a plumbing business sends a thank-you message and moves the customer to a paid list in its mailing tool.
Watch out
the rule is fully paid, so a customer who pays part of an invoice does not start the Zap yet.
3

Job Completed

Instant trigger

In Zapier“Triggers when a job's status changes to Completed.”

When a job's status switches to Completed, OneBookPlus hands that job to the Zap. It marks the end of the work on site, which makes it the natural starting point for billing and follow-up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an electrician turns each finished job into an invoice, or sends the customer a request for a review the same day.
Watch out
it reacts to the status change only, so jobs completed before you published the Zap are never picked up.
4

New Job

Instant trigger

In Zapier“Triggers when a new job is created (from any path — manual, accepted quote, or booking).”

Any new job starts this Zap, whatever created it: someone typing it in by hand, an accepted quote, or a booking. That makes it the widest net of the seven.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a landscaping firm logs every job in its planning spreadsheet, wherever the job came from.
Watch out
a Zap that starts on New Job and then runs Create Job writes into the very place it watches, sets itself off again and again, and burns through your tasks.
5

Job Scheduled

Instant trigger

In Zapier“Triggers when an existing job is scheduled (assigned to the calendar) — the OneBookPlus equivalent of "Job Queued".”

This one listens to the calendar: an existing job gets assigned a slot and the Zap runs. OneBookPlus describes it as its own take on a queued job.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a pest control company texts the customer a confirmation of the visit, or warns the technician who got the slot.
Watch out
it covers jobs that already exist and get a date. To react to the job itself being created, use New Job instead.
6

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

A customer record created in OneBookPlus starts the Zap and carries that contact into the steps that follow, ready to be copied elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a handyman business adds each new customer to its newsletter list, so seasonal offers reach everyone it has worked for.
Watch out
contacts created by another Zap through Create Contact also count as new, so check you are not feeding one Zap into another in a circle.
7

Quote Accepted

Instant trigger

In Zapier“Triggers when a customer (or staff) accepts a quote — including acceptance from the public quote link.”

The customer says yes, or a staff member accepts on their behalf, and the Zap starts. Acceptances clicked on the public quote link count too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a roofing company alerts its sales channel with the customer name, so whoever wrote the quote can call to book the start date.
Watch out
an accepted quote can also produce a new job in OneBookPlus, so adding Create Job here may give you the same job twice.
Actions

OneBookPlus actions

OneBookPlus gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Booking

Action

In Zapier“Creates a new booking for a contact.”

Puts an appointment in OneBookPlus for an existing contact. It asks for three things: the contact, the service name and a start time in ISO 8601 format.

When to use it
an online scheduler outside OneBookPlus takes appointments and you want them in the same calendar as your jobs.
Watch out
look at the date the test returns and make sure it matches ISO 8601 before you publish.
2

Create Contact

Action

In Zapier“Creates a new contact (customer).”

Adds a customer to OneBookPlus. Only the email is required, which makes it the simplest action to start with.

When to use it
a website form collects a lead and you want the person on file before anyone calls back.
Watch out
if the same person can arrive twice, put Find Contact in front so you only create the ones who are really new.
3

Create Invoice

Action

In Zapier“Creates a new invoice with one or more line items.”

Writes an invoice for a contact with one or more line items, each with a description, a quantity and a unit price.

When to use it
billing a finished job straight from Job Completed, without retyping it.
Watch out
the Prices include GST? switch says whether your unit price already contains GST. Set it wrong and every total on the invoice is off.
4

Create Job

Action

In Zapier“Creates a new job.”

Opens a job in OneBookPlus, and the title is the only required field, so almost any incoming request can become one.

When to use it
work requests arrive by email or through a form and you want them in the job list, not in an inbox.
Watch out
every job this action creates also starts any Zap built on New Job.
5

Create Quote

Action

In Zapier“Creates a new quote. Provide line items, or a flat total.”

Builds a quote for a contact, either line by line (description, quantity, unit price) or as a single flat total.

When to use it
a pricing form on your site already works out the amount and you want a proper quote ready to send.
Watch out
quotes carry the same Prices include GST? switch as invoices, so a wrong setting skews every total the customer sees.
Searches

OneBookPlus searches

3 search steps look for data that already exists in OneBookPlus, so a later step can use it.

A search step finds a record that already exists so the next steps can use it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some fields also offer + Add search step, which inserts one and wires the result in for you. Three settings decide what happens when the result is not a clean single match.

1

Find Contact

SearchFind or create

In Zapier“Finds a contact by email address.”

Looks up a contact by email address and passes the record on. The email is the only value it takes.

When to use it
before Create Booking, Create Invoice or Create Quote, to get the contact they require.
Watch out
the editor also lists Find or Create Contact. It is this same search with creation ticked: when no contact has that email, one is created.
2

Find Invoice

Search

In Zapier“Finds an invoice by its invoice number.”

Fetches an invoice from its invoice number, and only from that number.

When to use it
a payment or a customer message elsewhere quotes an invoice number and you need the matching OneBookPlus invoice in the next step.
Watch out
without a number in the incoming data, this search has nothing to look for.
3

Find Job

Search

In Zapier“Finds a job by its job number.”

Brings back a job when you give it the job number.

When to use it
a technician reports on a job from another tool using its number, and the Zap needs the job before doing anything else.
Watch out
left on its default, a job number that matches nothing stops the Zap at this step.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that needed it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create. The setting above disappears and the step asks for the fields needed to create the missing record.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When it breaks

Zapier has no help article tied to OneBookPlus, and no limit specific to the app is documented. What breaks is what breaks on every Zap.

Four cases are worth knowing before you publish. For anything else, the Zapier troubleshooting page is the next stop.

  • The past is never picked up

A Zap only reacts to what happens after you switch it on. Jobs, quotes and invoices that already existed stay where they are; moving them is a separate job.
  • A Zap that sets itself off

A Zap on New Job that runs Create Job, or on New Contact that runs Create Contact, writes where its own trigger watches and loops, eating tasks fast.
  • Bulk imports held back

Import a large customer list or migrate old jobs, and the sudden batch can be held back by Zapier's flood protection instead of running through.
  • A search that finds nothing

With default settings, a Find Contact, Find Invoice or Find Job that comes back empty stops the Zap there, and the steps after it never run.

FAQ

OneBookPlus and Zapier: frequent questions

01Is the OneBookPlus Zapier integration free?
Yes, OneBookPlus is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: on the free plan a Zap has exactly two steps, one trigger and one action. Once you add a filter, a search such as Find Contact, or a second action, the Zap becomes multi-step and needs a paid plan. Keep in mind too that Zapier tags the app as beta.
02How many tasks does a OneBookPlus Zap use?
One task per action that completes successfully, and nothing else. The trigger never costs a task, and neither does Zapier waiting for it. A Zap that turns a completed job into an invoice uses one task per invoice created. Add a second action, for example Create Contact before Create Invoice, and each run costs two tasks. An action that fails is not counted against your plan. So the monthly bill tracks how many records your Zaps actually write into OneBookPlus or elsewhere.
03Do OneBookPlus triggers run in real time?
Yes, all seven are instant. OneBookPlus itself tells Zapier when a booking, a job, a contact, a paid invoice or an accepted quote appears, and the Zap starts right away. Because of that, the plan intervals do not apply here: the 15 minutes of the free plan only concern polling triggers, where Zapier has to go and ask for news on a timer. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the app and cannot be changed from Zapier.
04What does it take to connect OneBookPlus to Zapier?
An existing OneBookPlus account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for OneBookPlus, click Add connection, sign in to the app in the tab that opens and grant access. If your Zaps must touch records that someone else owns, your account needs read or write access to them. The connection is saved once and every OneBookPlus step in every Zap reuses it, so there is nothing to set up again.
05Why would a OneBookPlus Zap create the same job twice?
Usually because two paths lead to one job. In OneBookPlus, a job can be created by hand, from an accepted quote, or from a booking, and New Job fires for all three. So a Zap that runs Create Job after Quote Accepted or New Booking can duplicate a job the app already made. Worse, a Zap that starts on New Job and runs Create Job writes into what its trigger watches and loops on itself. Check where each job comes from before adding Create Job.
06What if the needed OneBookPlus action does not exist?
Then Zapier cannot do it for this app today. The list is fixed by the app: five actions, all of them creating something (a booking, a contact, an invoice, a job or a quote), and three searches by email, invoice number or job number. There is no step to update or delete a record, and no search by name. The workable options are to change the process so a create step is enough, keep that part manual in OneBookPlus, or look at another automation tool.
07Zapier, Make or n8n for OneBookPlus?
Decide on criteria, not on a ranking. First, coverage: on Zapier you get the 7 instant triggers, 5 create actions and 3 searches listed here, so check that they cover your process before anything else. Second, budget: Zapier bills one task per successful action, and any Zap with more than two steps needs a paid plan. Third, timing: every OneBookPlus trigger on Zapier is instant, so speed does not depend on the plan. Run the same three checks on any other tool you consider, using its own documentation.
