What the ChatterFox Zapier integration actually does
It lets an event in some other tool push a message out through your ChatterFox account, with nobody copying a phone number by hand. ChatterFox is a platform for talking to customers and catching leads. On Zapier it exposes a single step, Send Message, and that step always comes second in the chain.
Three typical results, all built on that one action. First, a welcome message: a new lead lands in a form or a sheet, and the person gets a first message on their phone a moment later. Second, a confirmation: a booking or an order is recorded somewhere else, and ChatterFox sends the recipient a short note that it went through. Third, an internal alert: a row flagged as urgent goes out as a message to the person on duty, whose number you typed once in the step.
Now the part the app page does not spell out. ChatterFox has no trigger on Zapier, so nothing that happens inside ChatterFox can start a Zap. A reply from a customer, a new conversation, a lead captured by ChatterFox itself: none of it reaches Zapier. There is no search step either, so a Zap cannot look up a contact or a past conversation in ChatterFox. The flow runs one way, from your other tools into ChatterFox, and stops there.
That shapes how you plan. Whatever starts the Zap has to live in another app (a sheet, a form, a CRM) that knows the phone number of the person to reach. If the number is missing or badly written, the message has nowhere to go.

- Zap
- One automation on Zapier. With ChatterFox it always reads the same way: an event in another tool, then Send Message, run again each time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. ChatterFox offers none, so another app plays this role.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something. Here, Send Message is that step.
- Task
- What Zapier bills: an action that completes. Here that means each ChatterFox message that actually goes out; the other app's trigger is free.
- Polling vs instant
- Polling: Zapier checks the source app on a timer. Instant: the source app calls Zapier the moment something happens. It is the other app's trigger that decides.
- Filter
- A checkpoint before Send Message: the Zap goes on only when the incoming record meets your condition, such as a consent field, and stops otherwise.
- Connection
- Your ChatterFox account, linked to Zapier one time. Every Send Message step in every Zap reuses it, with no new sign-in.

Each message that goes through costs one task. A message that fails is not counted. The trigger of the other app never costs anything, however often Zapier checks it. The free plan gives 100 tasks a month and builds Zaps of two steps only: one trigger, one action. Add a filter, say to message only rows with a consent column filled in, and the Zap becomes a multi-step Zap, which needs a paid plan. The check interval below applies to the other app's trigger when it is a polling one.
Connect your ChatterFox account in three steps

Open the connections page
In your Zapier account, go to Apps and click + Add connection. You need an existing ChatterFox account first, since Zapier only links an account, it never creates one.

Pick ChatterFox
Type ChatterFox in the search box of the dialog, select it, then confirm with Add connection. Zapier then hands you over to ChatterFox in a new tab, where the sign-in happens.

Sign in and grant access
Log in to ChatterFox in that tab and allow Zapier to use the account. The connection then shows up in your list and every future ChatterFox step can reuse it.
Your first Zap: a message to every new lead

Build: start in the other app
Create a Zap and pick the app that holds your leads as the trigger. ChatterFox cannot start a Zap, so the first card always belongs to another tool.

Test the trigger
Run the test. Zapier brings back the three most recent items of that account, so you work on a real lead and can see how its phone number is written.

Add the filter
From the plus icon, add Filter. Pick the column you spotted in the test sample, the rule, and the value to compare with. This step makes the Zap multi-step, so it needs a paid plan.

Add Send Message
Add ChatterFox as the action, choose Send Message, fill in the Account ID and map the phone number into To. Then write the message text from the lead's own data.

Test, then publish
Test the action once and read what came back: a message really goes out, so send it to a number you own. When it looks right, click Publish to switch the Zap on.

The number is in the wrong format
