What the Checkvist Zapier integration actually does

It links your Checkvist outliner to the rest of your tools through Zapier. Checkvist can start an automation when a list or an item appears, and it can receive new lists and new items written by other steps. Everything happens on lists and list items, nothing else.

Three results people get out of it. A team list that fills itself: New List Item watches your personal list and Create List Item copies each line into the shared one. Ready-made checklists: when New List spots a fresh list, Create Several List Items drops a standard set of steps into it, nested the way you indented them, so a sub-step lands under its parent instead of floating at the end. A list per project: Create New List opens a dedicated list as soon as another step hands it a name, so a new client never waits for someone to remember.

Now what this integration does not do. There is no search, so a Zap cannot look up an existing list or item before writing. There is no action to tick, edit, move or delete an item: Zapier can only add, and tidying up stays a job you do in Checkvist. And both triggers are checked on a timer, never pushed by Checkvist the moment something changes.

An action that fails is not counted. A Zap with two successful actions eats two tasks per run. Checkvist is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, a check every 15 minutes. The catch is the two-step ceiling: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. A loop, where the Zap writes into the list it watches, is the other way to burn the monthly count.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Checkvist account linked to Zapier once, then reused by every step that touches Checkvist.

    Pick Checkvist

    Type Checkvist in the search box of the dialog, select it in the results, then click Add connection. Zapier opens a new tab where Checkvist asks you to sign in.

    Sign in and grant access

    Log in with the Checkvist account that holds your lists and allow Zapier to use it. For a list someone else owns, your account needs read or write access to it before any Zap can touch it.

First Zap

    Build: choose the trigger

    Create a Zap, pick Checkvist as the app and New List as the event. Select your connection. This trigger has no setting to fill: it watches every new list of the account.

    Test the trigger

    Click test. Zapier brings back the three most recent lists of your account, so you work on a real one. Pick a client list you created as a dry run.

    Add the filter

    From the plus icon, add a Filter: the list name, the text rule contains, the value Client. Personal lists stop here. A filter makes the Zap multi-step, so this needs a paid plan.

    Add the action

    Pick Create Several List Items. Map the target list to the list from step one, and paste your onboarding steps in the items text, indenting the sub-steps you want nested.

    Test, then publish

    Run the action test and open the list in Checkvist to check the nesting. If it looks right, click Publish to switch the Zap on.

When it breaks

When a Checkvist Zap breaks

Zapier attaches no help article to Checkvist and lists no limit of its own. What goes wrong comes from how Zapier works in general.

Four cases come back with this app, mostly because both triggers and all actions live on the same lists. If a Zap misbehaves, the Zapier troubleshooting page is the next stop.

  • Old lists are never picked up

    A Zap only reacts to what happens after you switch it on. Lists and items that already existed stay where they are; moving that backlog is a separate job.
  • A Zap that feeds itself

    Watch a list with New List Item and write into that same list with Create List Item, and every copy sets the Zap off again, burning tasks fast.
  • A bulk import is held back

    Paste a big outline in one go and the trigger may return a huge batch at once. Zapier's flood protection can then hold those items back.
  • The same item never runs twice

    Zapier remembers what it already saw on a polling trigger. An item that started the Zap once will not start it a second time.

01Is the Checkvist Zapier integration free?
Yes, as long as your Zap stays at two steps. Checkvist is not a premium app, so the free Zapier plan accepts it, with 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger and one action, nothing more. Adding a filter, for example to keep only client lists, or chaining a second action turns it into a multi-step Zap, and that needs a paid plan.
02How many tasks does a Checkvist Zap use?

No. Both Checkvist triggers are polling triggers: Zapier goes and asks Checkvist for new lists or items on a timer. On the free plan that check happens every 15 minutes, every 2 minutes on Professional, and every minute on Team and Enterprise. So a new item can wait until the next check before your Zap runs. The trigger type comes from the app itself and cannot be changed from the Zap editor.
04What does it take to connect Checkvist to Zapier?
A Checkvist account and a Zapier account. You add the connection from the Apps page, sign in to Checkvist in the tab that opens and grant Zapier access. If the lists you want to automate belong to someone else, your account needs read or write access on them first. Each Checkvist step then asks for a list, so the list you want to watch or write into should exist before you build the Zap.
05Why does a Checkvist Zap keep running on its own?
Most likely because it writes where it watches. If New List Item monitors a list and Create List Item adds to that same list, each new item triggers the Zap, which adds another item, and so on. The same happens when one Zap creates lists with Create New List while another starts on New List. Point the action at a different list than the trigger, or add a filter that stops the copies. Each loop run costs a task.
06What if the Checkvist action you want does not exist on Zapier?
Then Zapier cannot do it with this app today. The integration only offers New List, New List Item, Create List Item, Create Several List Items and Create New List. There is no step to complete, edit, move or delete an item, and no search to find an existing one. If your process depends on those, it has to happen in Checkvist itself, or through another way of connecting the app, rather than through a Zap.
07Zapier, Make or n8n for Checkvist?
It depends on your criteria rather than on a winner. On Zapier, Checkvist works on the free plan as long as the Zap stays at two steps, with five ready-made operations around lists and items. If your plan is free and your flow is a simple copy, that fits. If your flow needs several steps, compare what Make and n8n offer for the same app on your own criteria: number of steps, budget, who maintains it.
