What the Contentful Zapier integration actually does

It links your Contentful space to the other tools you use, without code. An entry gets created, edited or published in Contentful, and Zapier carries that event to another app. The reverse works too: something happens elsewhere, and Zapier writes or publishes content in Contentful for you.

Three outcomes cover most of what people build with it. A content feed that fills itself: a form, a sheet or a CRM record becomes a draft entry through Create Entry, with the right content type and locale already set. A heads-up when content ships: Entry Published tells your team chat, your newsletter tool or your sitemap job the moment a piece goes live. Media that lands in the library: Create Asset drops an image or a file into Contentful, and Publish Asset publishes it in a second step.

Now the honest part. Zapier does not watch assets on their own: every trigger here is about entries. It does not delete or archive anything either, and there is no action for content types, tags or environments. And its only lookup, Find Entry, works on entries, not on media. One more thing works in your favor: the Contentful app is not a premium app on Zapier, so a two-step Zap runs on the free plan.

    Open your Zapier apps

    In your Zapier account, go to Apps and click + Add connection. A dialog opens: type Contentful in the search box and pick it from the list. Before you start, make sure the Contentful account you use can reach the spaces you plan to automate.

    Sign in on the Contentful side

    Click Add connection. A new tab opens on Contentful: sign in with the account that owns, or has write access to, the space. If the content belongs to someone else, you need read or write rights on it, or the Zap will see nothing.

    Allow Zapier to access the account. The connection now shows on your Apps page, and every Contentful step of every Zap can pick it. The rights it carries are the rights the Zap gets, so connect the account that can write where your Zaps will write.

    Create the Zap

    Start a new Zap in the editor. Pick Contentful as the starting app and New Entry as the event. Choose your connection, then the space and the environment to watch.

    Run the test. Zapier brings back the three most recent entries of that space, so you map the next steps on a real draft instead of guessing field names.

    Add the filter

Contentful has one search step. Like every search on Zapier, it sits at the bottom of the action list, under the SEARCH heading, and three settings decide what happens when the result is not the clean single match you expect.

Find Entry

Search

In Zapier“Searches for an entry using one or more specified fields.”

Looks up an entry by the value of one or more of its fields and hands its ID and content to the next steps. It is how a Zap gets an Entry ID that no earlier step carried.

When to use it
match an incoming product code to its Contentful entry before an update or a publish.
Watch out
it adds a step, so a Zap built around it needs a paid plan.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, an empty search stops the Zap there and skips every step that relied on it. Switch it on to let the Zap carry on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Find Entry does not offer it on Contentful, so a missing entry has to be handled with a separate Create Entry step.
  3. If multiple search results are found?
    Three ways out: keep the first match (the default), stop the Zap, or pass every match along at once.
When it breaks

When the Contentful Zap breaks

Zapier attaches no help article to Contentful, and the official page lists no Contentful-specific limit.

  • Old entries are never picked up

    A Zap only reacts to what happens after you publish it. Entries that existed before stay untouched, and moving that backlog is a separate job.
  • The update loop

    Updated Entry plus Update Entry on the same space retriggers itself on every update it writes. Add a filter or write into another space to break the circle.
  • A bulk import gets held back

    Importing or migrating a large batch of entries can fire a flood of events at once, and Zapier's flood protection can hold them back.
  • Wrong environment, silent Zap

    Space ID and Environment ID are required on every trigger. Point them at staging and the Zap stays quiet while production keeps moving.

Contentful and Zapier: common questions

01Is the Contentful Zapier integration free?
Yes, as long as your Zap has two steps. Contentful is not a premium app on Zapier, so the free plan can connect it, with 100 tasks a month and as many Zaps as you like. The catch is the step count: the free plan stops at one trigger plus one action. The moment you add a filter, a Find Entry search or a second action, the Zap becomes multi-step and Zapier asks for a paid plan. Plan your first Zap around a single action and it costs nothing.
02How many tasks does a Contentful Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that creates an asset and then publishes it uses two tasks each time it runs. A Zap that only publishes an entry uses one. Watching for new or updated entries costs nothing, however many events Contentful sends. A failed action is not counted either. The real risk is volume: Updated Entry fires on every update, so a busy space can multiply runs quickly if no filter sits right behind the trigger.
03Does Contentful send events to Zapier in real time?
Yes. All three Contentful triggers on Zapier are instant: Contentful tells Zapier as soon as an entry is created, updated or published, and the Zap starts at once. The plan interval grid, 15 minutes on Free, applies to polling triggers only, so it does not slow these down. The editor shows a lightning bolt on an instant trigger. That makes Contentful a good fit for the free plan, where most apps would make you wait for the next check.
04What does it take to connect Contentful to Zapier?
A Contentful account, plus access to the space you want to automate. If the content belongs to another user or another team, your account needs read or write rights on it, otherwise the Zap finds nothing to work with. The connection itself is made from the Apps page of Zapier, with + Add connection, then a sign-in in a new tab. After that, have your Space ID and Environment ID ready: nearly every trigger and action asks for both.
05Why does a Contentful Zap keep running on its own?
Most of the time, it is a loop. A Zap that starts on Updated Entry and ends with Update Entry on the same space edits an entry, which counts as an update, which starts the Zap again. Each turn costs a task, and the count climbs fast. Break the circle with a filter that lets only the changes you care about through, or send the update to a different space or environment. The same logic applies to any Zap that writes where its own trigger is looking.
06What if the Contentful operation you want does not exist?
Then Zapier cannot do it through this app today. There is no delete, no archive, no trigger on assets and no action on content types, tags or environments in the visible list. You can sometimes get around it by chaining the existing steps, for example Find Entry followed by Update Entry. If that is not enough, n8n and Make both have their own Contentful integrations: compare their operation lists with this one before building anything complex.
