What the Documentero Zapier integration actually does
It lets a Zap (an automation on Zapier: one event starts it, then one or more steps run on their own every time) pass data to Documentero, which merges it into a template you prepared and produces a Word, Excel or PDF file. Documentero only acts here. It never starts a Zap by itself.
Three results come up again and again. A quote drafted from a spreadsheet row, through Generate Document. A certificate sent to the person who just filled in a form, through Generate Document and Send as Email Attachment. A contract prepared from a deal your sales team just closed, again with Generate Document, so the file exists before anyone opens Word.
What Zapier does not do for this app matters just as much. There is no trigger: nothing on Zapier can react when a document gets generated. There is no search either, so a Zap cannot look up a document that already exists. And the template itself is built in Documentero; the Zap only feeds it values. Want the file stored in a shared folder too? That is a second action from another app, and a paid plan.

- Zap
- The automation itself: one starting event, then the steps that run on their own each time that event happens.
- Trigger
- The event that starts a Zap. Documentero has none, so another app, such as a form or a spreadsheet, plays that role.
- Action
- What the Zap does once it has started. Here, that means generating a document, or generating it and emailing it.
- Task
- The unit Zapier bills: one action completed successfully. The number shown on your plan counts exactly those.
- Polling vs instant trigger
- Polling: Zapier asks the other app for news on a timer. Instant: that app tells Zapier the moment something happens.
- Filter
- A step that lets the Zap carry on only when the data meets your condition, and stops it quietly otherwise.
- Connection
- Your Documentero account, linked to Zapier once, then reused by every step that calls Documentero afterwards.
- Multi-step Zap
- Anything beyond one trigger and one action. A filter or a second action turns a Zap into one, and it needs a paid plan.
What a generated document costs on Zapier
Documentero is not a premium app, so it runs on the free plan. Zapier bills in tasks, and only finished actions count.

The trigger in the other app never costs a task, however often Zapier checks it. Each successful Documentero action costs one; a failed one costs nothing. The free plan covers 100 tasks a month, but only two-step Zaps: one trigger, one action. Add a filter, or a second action after Documentero, and you need a paid plan. The interval grid below applies to the other app's trigger, and only when that trigger polls.
Connect Documentero to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps, then click + Add connection. Have your Documentero login at hand: without an account on the app, there is nothing to link.

Find Documentero
A dialog opens. Type Documentero in its search box, select the app, then click Add connection. Zapier now hands you over to Documentero to prove the account is yours.

Sign in and grant access
Sign in to Documentero in the tab that opens and allow Zapier to use the account. Templates owned by a colleague need read or write access on your side, or the Zap will not be able to use them.
Your first Zap: a quote file for each approved row

Pick the trigger
Create a new Zap and choose Google Sheets as the starting app, with New Spreadsheet Row as the event. Point it at the sheet where your team logs quotes.

Test it on real rows
Run the test. Zapier brings back the three most recent rows, so you work on a real one and can see which columns exist, the status column included.

Add the filter
Add a Filter step from the plus icon. Pick the status column you spotted in the test, a text rule, and the word your team uses for approved quotes. This step needs a paid plan.

Add Generate Document
Add Documentero with Generate Document. Select your quote template, then map the row's columns (client, amount, date) into it.

Test, then publish
Test the action and open the file it returns. If it reads right, click Publish to switch the Zap on. Rows added before that moment stay untouched.

Same merge, one step further: Documentero builds the file and mails it as an attachment to the address in the Email field, which is required.
When a Documentero Zap breaks
Zapier links no help article to Documentero, and no limit specific to the app is documented. What breaks is general Zapier behavior.
Most of it happens one card earlier, in the trigger app. When a document never shows up, look there first, and keep the Zapier troubleshooting page close.
No catch-up on old data
A Zap only reacts to what happens after you publish it. Rows that already existed never become documents; moving that backlog is a separate job.Flood protection on big batches
