Overview

What the Ghost Zapier integration really covers

Plugging Ghost into Zapier means two flows. Ghost reports to Zapier when a member joins, changes or leaves, and when a post or a page goes live or gets scheduled. In the other direction, Zapier can add or edit a member, write a post, and look up an author or a member before doing anything.

A member list that fixes itself. Member Created fires on every signup, and Update Member edits that same record a moment later. Handy when the signup form leaves something you want to set by rule rather than by hand.

Posts that start outside Ghost. Create Post writes a post into your site from a Zap step, so nobody copies text from one tab to another.

A live view of the publishing calendar. Post Published, Page Published and Post Scheduled tell the rest of your team, as it happens, what just shipped and what is lined up next.

What you will not find: no action that deletes a member or a post, no search for posts or pages, and nothing that touches comments. If your plan relies on one of those, check the list below before you build anything.

Seven terms come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one event that starts it, then one or more steps that run each time that event happens.
Trigger
The event that starts a Zap, like a new member in Ghost. Once the Zap is on, Zapier waits for it and does nothing before.
Action
What the Zap does after it starts: the step that writes, edits or sends something for you, such as creating a post.
Task
What Zapier bills. One action that completes successfully equals one task, and your plan is a monthly count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant one is pushed by the app the moment it happens. Ghost only has instant ones.
Filter
A step that lets the Zap carry on only when what arrived matches a condition you set, and quietly stops it otherwise.
Search step
A step that finds something already in an app, like an existing member, so later steps can reuse what it found.

A trigger never costs a task, and Ghost firing a hundred signups at Zapier is free in itself. Each action that succeeds is counted separately, so a Zap with three actions uses three times more than a Zap with one. A failed action is not counted. The free plan gives you 100 tasks a month and two-step Zaps only: one trigger, one action. Add a filter or a search step and the Zap becomes multi-step, which needs a paid plan.

Connect Ghost to Zapier in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Ghost site linked to Zapier once, then reused by every Zap that touches it.

    Pick Ghost

    Type Ghost in the search box of the dialog, select it, then click Add connection. You need an account on the Ghost site, plus access to anything you want the Zap to read or change.

    Sign in and allow access

    A new tab opens. Sign in to Ghost there and grant Zapier access to the account. From then on, every Ghost step reuses that connection. You do this only once, not in each Zap.

First Zap

Your first Ghost Zap, step by step

    Create the Zap

    In the Zap editor, choose Ghost as the starting app and Member Created as the event. Pick your Ghost connection from the account list.

    Test the trigger

    Run the test. Zapier brings back the three most recent members of the connected site, so you map the next steps on a real record rather than a made-up one.

    Add the filter

    Click the plus icon, choose Filter, and in Configure & test fill the field, the rule and the value. Pick a text rule for text and a number rule for numbers.

    Add the action

    Add Ghost again with Update Member. In the Member field, map the member ID from step 1, set the number of newsletters, then choose what to change.

    Test, then publish

the content format field is required; send the body in the format you picked.

Update Member

Action

Changes an existing member, picked from a list or identified by an ID from an earlier step. It is the step that keeps Ghost aligned with decisions made in other tools.

When to use it
giving a member a free subscription after they pay at an in-person event.
Watch out
the Member field takes a Member ID, not a label, and removing complimentary subscriptions cannot be combined with the other complimentary options.
Searches

The 2 Ghost searches

2 search steps look for data that already exists in Ghost, so a later step can use it.

A search step looks something up before an action uses it. In the editor, Ghost searches sit at the bottom of the Action event list under SEARCH, and some fields offer a + Add search step button that wires the result in for you. Ghost decides whether the match is exact or close.

Looks up one of your site's authors by email address or by slug, then hands that author to the next steps.

When to use it
a magazine that receives pitches by email and wants to know if the sender already writes for it.
Watch out
an author is not a member; to look up a subscriber, use Find a Member.

Find a Member

Search

In Zapier“Search for a member by email address.”

Finds an existing member from an email address, which gives you the Member ID that Update Member needs.

When to use it
a course seller who receives a payment email and must find the matching reader before changing their access.
Watch out
only email works here, so a misspelled address means no result and, by default, a stopped Zap.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that needed it. Switch it on and the Zap goes on without a result.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Ghost offers no such variant in Zapier, so expect to build the create step yourself.
  3. If multiple search results are found?
    When several items match, you keep the first one (the default), stop the Zap, or pass every result along at once.
When it breaks

Where a Ghost Zap breaks

Zapier lists no help article and no rate limit specific to Ghost. What breaks comes from Zapier's general rules and from a few Ghost fields.

  • Old members are not picked up

    A Zap only reacts to what happens after you switch it on. The members and posts already on your site are never sent, so moving that backlog is a separate job.
  • The Zap that feeds itself

    Member Updated plus Update Member on the same site, or Post Published plus Create Post when the new post gets published, can set each other off and burn tasks fast.
  • A bulk import gets held back

    Import a large member list at once and Zapier's flood protection can hold the batch rather than run every Zap in one go.
  • Member ID versus label

    Update Member wants the Member ID. Zapier notes it must be a Member ID, not a Label ID, so map the ID from a search or an earlier step.
  • Complimentary plans and Stripe

    The old complimentary premium plan option needs a connected Stripe account, and Zapier marks it as deprecated in favour of the complimentary tier option.
  • Mixed complimentary options

    Removing complimentary subscriptions cannot be combined with the other complimentary fields. Without Stripe, the member keeps a comped status until Stripe is connected.

Ghost Zapier integration: your questions

01Is the Ghost Zapier integration free?
Yes, Ghost is not a premium app, so it runs on the free Zapier plan. That plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. As soon as you add a filter, a second action or a search step, the Zap becomes multi-step and you need a paid plan. A Ghost setup that looks up a member before editing them falls into that second case, so check your Zap's shape before you count on the free tier.
02How many tasks does a Ghost Zap use?
One task per action that succeeds, and nothing for the trigger. A new member arriving from Ghost costs nothing on its own; the Update Member that follows costs one task. If your Zap has three actions, each successful run uses three. An action that fails is not counted. Looking for new data costs nothing either, which matters little here since all Ghost triggers are instant. Note that a few apps and actions take more than one task when they complete.
03Is Ghost on Zapier real time?
Yes, all six Ghost triggers are instant. Ghost itself tells Zapier when a member is created, updated or deleted, and when a post or page is published or a post is scheduled. The Zap starts right away, whatever your plan, and the free plan's 15-minute check cycle does not apply. In the editor, those Zaps show a lightning bolt. The instant type comes from Ghost's own API and cannot be switched from the editor.
04What do you need to connect Ghost to Zapier?
An account on the Ghost site, plus access to anything you want the Zap to read or change. In Zapier, open Apps, click + Add connection, pick Ghost, then sign in to Ghost in the tab that opens and grant access. The connection is then reused by every Ghost step. Before building member actions, check how many newsletters your site has: Create Member and Update Member both ask for that number in a required field.
05Why does Update Member reject a member?
Check the Member field first: Zapier notes it must hold a Member ID, not a Label ID. When the earlier step does not carry it, add Find a Member before the update: it looks the person up by email and hands the ID along. Also check the complimentary options. Removing complimentary subscriptions cannot be combined with the other complimentary fields, and the old premium plan option needs a connected Stripe account.
06What if the Ghost operation you need does not exist?
Then Zapier cannot do it with Ghost today, and it is better to know before building. The integration has no step to delete members or posts, no search for posts or pages, and nothing on comments. You can sometimes get close by combining what exists, for example a search followed by Update Member. If the gap blocks a real process, look at the Ghost pages of other automation platforms and compare their lists of operations with yours.
07Zapier, Make or n8n for Ghost?
It depends on what matters most to you, not on a single winner. On Zapier, all six Ghost triggers are instant, and the free plan works for two-step Zaps. Its billing counts every successful action, so heavy member syncs add up. For Make or n8n, read their own Ghost pages rather than assume the same features. Compare the operations you actually need, your monthly volume, and who will maintain the setup, then choose.
