What the PicallEx Zapier integration actually does
PicallEx is a CRM, the place where a sales team keeps its contacts and the orders they turn into. On Zapier it works in one direction only: other apps send it data. A form, a store or an ad campaign hands over a contact or a sale, and PicallEx files it for you.
Two results justify the setup. First, a lead file that fills itself: Create Digital Lead drops each contact captured online into PicallEx, with the phone number your callers need. Second, orders without double entry: Create Order writes a sale from your shop or order form straight into the CRM, with the buyer's address, payment method and shipping method already filled. A third result follows from the first two: one place for the sales team, since leads and orders from several sources end up in the same CRM.
Now the limits. PicallEx has no trigger on Zapier, so nothing that happens inside the CRM can start a Zap: a new lead or a paid order in PicallEx will not notify another app. There is no search step either, so a Zap cannot check whether a contact already exists before adding it, and nothing can be updated or deleted. Two actions, both of them create. If you are weighing other platforms for the same job, see Make vs Zapier and n8n vs Zapier.
Zapier vocabulary, the short version
Eight words carry the whole page. Each one is used below exactly as defined here.
- Zap
- An automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. With PicallEx, the trigger always comes from another app, such as a form or a store.
- Action
- What the Zap does after it starts: the step that writes or creates something for you, here a lead or an order in PicallEx.
- Task
- The unit Zapier bills. One task equals one action that completes successfully; your plan allowance counts those.
- Instant vs polling
- An instant trigger is reported by its app at once. A polling trigger is checked by Zapier on a timer that depends on your plan.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can reuse it. PicallEx offers none on Zapier.
- Connection
- Your PicallEx account linked to Zapier once, then reused by every step of every Zap that writes into PicallEx.
What PicallEx on Zapier really costs
PicallEx is not reserved for paid plans: it works on the Zapier free plan. You pay in tasks, and with PicallEx every task is a lead or an order written.
- Free plan100 tasks a month, two-step Zaps only
- PicallEx operations2 actions, no trigger, no search
- What spends a taskEach lead or order created successfully
The trigger of the other app never costs a task. Each PicallEx action that succeeds counts once, so a Zap that creates a lead and then an order uses two tasks per run. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, limited to two steps: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. How fast the Zap starts depends on the trigger app: if its trigger is polling, the grid below applies.
Connect your PicallEx account in three steps
- 01
Open your connections
In Zapier, open the Apps page of your account and click + Add connection. You need a PicallEx account, plus write access to any part of the account you do not own but want the Zap to fill.
- 02
Pick PicallEx
Type PicallEx in the search box of the dialog, select it, then click Add connection. A new tab opens on the PicallEx side for you to sign in with your own account.
- 03
Sign in and grant access
Log in with the PicallEx account your team works in and allow Zapier to reach it. The connection then appears in your list, ready for both PicallEx actions.
Your first PicallEx Zap: shop orders written into the CRM
GoalCreate an order in PicallEx for every new order in your online shop, but only for the orders that pass your rule.
- 01
Build: choose the trigger
Create a new Zap and pick your shop app with its new order event as the trigger. PicallEx has no trigger, so the Zap always starts elsewhere.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of the connected shop account, so you map the next steps on a real order.
- 03
Add the filter
From the plus icon, add Filter, then set the field, the rule and the value. Pick a rule of the right type. This step makes the Zap multi-step, so a paid plan is required.
- 04
Add Create Order
Choose PicallEx and Create Order, then map every required field from the shop order: first and last name, phone, city, address, zip, state, payment and shipping method.
- 05
Test, then publish
Test the PicallEx step once and open the order it created in your CRM. When it looks right, click Publish to switch the Zap on.
PicallEx actions on Zapier
PicallEx gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

When your PicallEx Zap breaks
Zapier links no help article to PicallEx, so the traps below are the general ones that weigh most on a write-only app.
Several of these failures leave no error message at all. Keep these four cases in mind before you publish, and use Zapier troubleshooting when a run still fails.
Past leads and orders stay outside
A Zap only reacts to what happens after you switch it on. Leads and orders created before that are never sent to PicallEx; moving them is a separate job.A Zap that sets itself off
If a Zap writes into the very place its own trigger watches, it starts itself again and again and burns through your task count fast.A sudden flood is held back
After a bulk import or a migration in the source app, a trigger that returns a huge batch at once can be held back by Zapier's flood protection. The same order seen once
On a polling trigger, Zapier remembers what it has already seen, so one order in your shop does not start the Zap twice.
