Overview

What the Givebutter Zapier integration actually does

Givebutter runs your fundraising: donation forms, team campaigns, event ticketing. Zapier is the tool that watches it for you. When a gift lands, a ticket goes out or a campaign changes, Zapier hears about it straight away and can run follow-up steps without anyone opening a spreadsheet.

Three outcomes cover most of what people build here. A donor log that fills itself: New Transaction starts a Zap for every gift, and the next step records it wherever your team tracks donations. An event list that stays current: New Ticket fires for each ticket issued, so a gala or a charity run has its attendee list ready the night before. A clean contact base: Create Contact adds a person to Givebutter and merges them with an existing record when the name and the email or phone already match.

Campaign work gets its own pair. New Campaign tells the rest of your tools that a drive just went live, and Updated Campaign follows every edit after that.

Now the limits, because they matter. Givebutter exposes a single action on Zapier, so the integration mostly pushes Givebutter events out to other apps. It cannot edit a transaction, refund a gift, issue a ticket or change a campaign. There is no search step either, so a Zap cannot look up an existing donor before acting. If your plan relies on any of that, check the Make vs Zapier comparison before you build.

Vocabulary

Zapier vocabulary in one minute

Seven words you will meet in the editor. Each one is explained once here and used plainly afterwards.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it and does nothing until it shows up.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app itself as soon as the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap with more than one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What a Givebutter Zap costs you

Zapier counts tasks, and the triggers never touch that count.

  • TriggerFree, never billed
  • Each successful action1 task
  • Failed actionNot billed
  • Free plan100 tasks a month, two steps per Zap
  • Premium appNo, works on the free plan

A gift or a ticket landing in Givebutter costs nothing by itself. What you pay for is each action that succeeds: one Create Contact that goes through is one task. An action that fails is not billed. Stack two actions and every success counts on its own, so the same event costs twice as much. Givebutter is not a premium app, so it works on the free plan: 100 tasks a month and two-step Zaps only. Add a filter and the Zap becomes multi-step, which means a paid plan. The polling grid below does not slow you down here, since all four Givebutter triggers are instant.

Connect

Connect your Givebutter account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Givebutter account linked once, then reused by every Zap that needs it.

  2. 02

    Pick Givebutter

Type Givebutter in the search box of the dialog that appears, select it in the results, then click Add connection. A new tab opens on the Givebutter side.

  3. 03

    Sign in and grant access

Log in to the Givebutter account that holds your campaigns and allow Zapier to access it. You need an account on Givebutter, plus access to any campaign you do not own and want a Zap to touch.

First Zap

Your first Zap: every new donor lands in your contacts

GoalEach gift made through Givebutter adds or merges the donor in your contact list, but only when the condition you choose is met.

  1. 01

    Build: set the trigger

Create a Zap, choose Givebutter as the trigger app and New Transaction as the event. Pick your Givebutter connection. The lightning bolt next to it means the trigger is instant.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent transactions of the connected account, so you map the next steps on a real gift, not on an empty template.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field, the rule and the value in Configure & test. Pick a text rule for text and a number rule for numbers.

  4. 04

    Add Create Contact

Add Givebutter again as the action app with Create Contact. Map First Name and Last Name from the gift, plus email or phone so the merge can recognise a returning donor.

  5. 05

    Test, then Publish

Test the action once and check the contact in Givebutter. Then click Publish. Remember the filter makes this a multi-step Zap, so it needs a paid plan.

Triggers

Givebutter triggers

4 events start a Zap when something happens in Givebutter, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Campaign

Instant trigger

In Zapier“Triggers when a new campaign is created.”

Starts a Zap as soon as someone on your team creates a fundraising campaign in Givebutter, so the launch is known everywhere else before the first gift arrives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a development director wants the board notified, or a project board card opened, the day a new appeal goes live.
Watch out
it fires on creation only, so a campaign that is reworked later will not start this Zap a second time; edits belong to Updated Campaign.
2

New Ticket

Instant trigger

In Zapier“Triggers when a new ticket is issued.”

Each ticket Givebutter issues for one of your events kicks off the Zap, one run per ticket, which turns a sale into an entry on your guest list without anyone copying names by hand.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a school foundation running a spring gala wants check-in and seating sorted while sales are still open.
Watch out
a buyer who takes four seats can mean four runs, and four tasks for every action behind them, so size your plan on tickets, not on buyers.
3

New Transaction

Instant trigger

In Zapier“Triggers when a new transaction is created.”

Every new transaction recorded by Givebutter wakes the Zap up. This is the one to pick when the money itself matters: thank-you flows, donation logs, finance hand-offs.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a food bank wants each gift in its donor sheet and a thank-you sent while the donor still has the page open.
Watch out
the Zap only sees transactions made after you publish it, so last month's gifts will never come through this trigger and need another route.
4

Updated Campaign

Instant trigger

In Zapier“Triggers when a campaign is updated.”

Fires whenever an existing Givebutter campaign is changed, which lets your other tools follow the life of an appeal after launch instead of freezing on its first version.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a comms lead keeps a campaign tracker in sync each time someone edits a live appeal.
Watch out
every save is a new run, so a Zap behind it should update or notify, never create a fresh record each time, or the edits will pile up as duplicates.
Actions

Givebutter actions

Givebutter gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a Contact. If there is a contact that already exists with the same First and Last Name, as well as the same Email Or Phone, we will automatically deduplicate and merge the contact, otherwise a new contact will be created. If you'd like to always create a new contact regardless of the deduplication logic, pass the force_create parameter as true.”

Adds a person to your Givebutter contacts. When someone with the same first and last name and the same email or phone already exists, Givebutter merges the two instead of making a second record.

When to use it
event sign-ups collected in another tool should end up in the same Givebutter base as your donors.
Watch out
Force Create skips that merge and always adds a new contact, so leave it off unless doubles are really what you want.
When it breaks

When a Givebutter Zap breaks

Zapier attaches no help article to Givebutter, and no limit specific to the app is documented. What breaks here comes from how Zapier itself works.

Four situations explain most surprises on this integration. None of them is a bug: each is a rule of Zapier or of the action that nobody mentions until a run looks wrong. If a Zap still misbehaves after these checks, our Zapier troubleshooting page walks through the next steps.

  • Gifts made before you published

A Zap only reacts to what happens after it is switched on. Transactions and tickets that already existed are never picked up, and moving that backlog is a separate job.
  • A big batch at once

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may hold those runs back instead of running them.
  • Updated Campaign firing again and again

Each edit to a campaign is a new run. A team that saves a campaign ten times in an afternoon starts the Zap ten times, and pays a task for each action.
  • Contacts that merged on their own

Create Contact merges people sharing a full name and an email or phone. Two different people with the same name and a shared family email can end up as one record.

FAQ

Givebutter Zapier integration: your questions

01Is the Givebutter Zapier integration free?
Yes, it works on the free plan. Givebutter is not a premium app on Zapier, so you do not need a paid subscription to connect it. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. A Zap such as New Transaction into Create Contact fits inside that. As soon as you add a filter or a second action, the Zap becomes multi-step and Zapier asks for a paid plan. Whatever you pay on the Givebutter side is unaffected by any of this.
02How many tasks does a Givebutter Zap use?
One task per action that succeeds, and nothing for the trigger. A new transaction arriving costs zero. If your Zap then runs Create Contact successfully, that is one task. Add a second action and each success counts separately, so the same gift costs two tasks. A step that fails is not billed. The catch is volume: ticket-based Zaps run once per ticket, so a sold-out gala can burn far more tasks than the number of buyers suggests.
03Does Givebutter trigger Zaps in real time?
Yes. All four Givebutter triggers are instant: Givebutter tells Zapier as soon as a campaign is created or updated, a ticket is issued or a transaction is recorded. The Zap starts right away whatever your plan, including the free one. The polling grid, 15 minutes on Free and down to 1 minute on Team and Enterprise, only applies to triggers Zapier has to check on a timer, and none of the Givebutter ones work that way. The editor shows a lightning bolt on them.
04What does it take to connect Givebutter to Zapier?
A Givebutter account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for Givebutter, click Add connection, then sign in to Givebutter in the tab that opens and grant access. If the campaigns you want to automate belong to someone else in your organisation, your login needs access to them. Once connected, the same connection is reused by every Zap that uses Givebutter, so you only do this once.
05Why did Create Contact merge two donors into one?
Because Givebutter deduplicates on its own. When the first name, the last name and the email or phone all match an existing contact, the action merges the new data into that record instead of creating another one. That is usually what you want for returning donors. It goes wrong when two real people share a name and a contact detail, such as a household email. The Force Create field turns the merge off and always adds a new contact, at the cost of real duplicates elsewhere.
06What if the Givebutter action you need is not available?
Then Zapier cannot do it with the standard steps today. The integration offers exactly one action, Create Contact, and no search, so there is nothing to update a transaction, issue a ticket or edit a campaign. The four triggers still let Givebutter feed every other app you connect, which covers most reporting and follow-up needs. For writing back into Givebutter beyond contacts, the options are another automation tool or a request to Givebutter to extend its Zapier app.
07Zapier, Make or n8n for Givebutter?
It depends on what you need from Givebutter. Zapier makes sense when the job is pushing gifts, tickets and campaign changes out to other tools quickly, since all four triggers are instant even on the free plan. If you need to do more inside Givebutter than adding contacts, check what the other platforms offer for it before choosing. Budget matters too: Zapier bills per successful action, so high ticket volumes weigh on the task count. Compare those criteria rather than a ranking.
