Overview

What the Netex Learning Cloud Zapier integration does for you

The Netex Learning Cloud Zapier integration connects your learning platform to the other tools you use. Three moments of a sprint (enrolment, two thirds done, completion) start an automation, and in the other direction a Zap can create and update users and groups, enrol students in a course and send welcome emails.

Groups that follow progress. User Completed Sprint followed by Add User to Group moves each learner who finishes into the group for the next stage of the programme, without anyone sorting lists by hand.

A team that hears about completions. The same trigger with a chat step tells the people who follow the programme that someone just finished.

Progress you can see from outside. User Reaches Sixty-Six Percent reports when a learner reaches two thirds of a sprint, so the people who follow the programme see that step in their own tools.

What Zapier does not do here: no trigger reports a new user or a new group, only sprint events. Nothing deletes a user or a group, and Update User asks for every required field again, not only the one that changed. The single search, Find User, makes any Zap multi-step, which needs a paid plan. Vocabulary

Zapier words in one minute

Eight terms come back on this page. Here they are, once, in plain words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a sprint event in Netex Learning Cloud.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, such as a welcome email.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those.
Instant vs polling trigger
An instant trigger is reported by the app as it happens; a polling trigger is checked by Zapier on a timer. All three here are instant.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, here a user, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
Cost

What a Netex Learning Cloud Zap really costs

Netex Learning Cloud is not a premium app, so it works from the free plan. The trigger never costs a task: only a completed action is billed.

  • Free plan100 tasks a month
  • Zaps on the free planUnlimited, two steps each
  • Premium appNo
  • Netex Learning Cloud triggers3 instant, 0 polling

Each action that succeeds counts on its own, so the first Zap below, with a group move and a chat message, uses two tasks per completed sprint. An action that fails is not counted. The free plan stops at two steps, one trigger and one action; a second action, a filter or Find User makes the Zap multi-step and needs a paid plan. The interval grid below is Zapier's for polling triggers; it does not apply to the three Netex Learning Cloud triggers, which are all instant.

Connect

Connect Netex Learning Cloud to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. You need a Netex Learning Cloud account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find Netex Learning Cloud

Type Netex Learning Cloud in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the sign-in screen.

  3. 03

    Sign in and grant access

Sign in to Netex Learning Cloud in that tab, then grant Zapier access to the account. The connection is saved once and reused by every step of your Zaps that calls the platform.

First Zap

Your first Zap: finish a sprint, join the next group

GoalWhen a user completes a sprint, add them to the group for the next stage and tell your team in its chat.

  1. 01

    Create the Zap

Start a new Zap, pick Netex Learning Cloud as the app that starts it and User Completed Sprint as the event, then choose the connection you made earlier.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items of the connected account, so you map the next steps on a real completion rather than an empty sample.

  3. 03

Add the user to a group

Add the action Add User to Group. Pick the Group, then map into User the username from the test sample, after checking at test that the completion carries it.

  4. 04

    Tell the team

Add your team chat as the third step and map the user and group into the message. Two actions make this a multi-step Zap, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step once and read what came back. When the group and the message look right, click Publish to switch the Zap on.

Triggers

The 3 Netex Learning Cloud triggers

3 events start a Zap when something happens in Netex Learning Cloud, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

User Completed Sprint

Instant trigger

In Zapier“Triggers when a user completes a sprint.”

Starts your Zap each time a user finishes a sprint on the platform. Completion is the end point of the three sprint events the integration reports.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
move the learner into the group for the next stage, or log the completion in a table the team shares.
Watch out
only sprints completed after the Zap is published start it; earlier completions are not sent.
2

User Enrolled in a Sprint

Instant trigger

In Zapier“Trigger when user is enrolled in a sprint.”

Reacts when a user is enrolled in a sprint, which makes it the moment to set things up around that learner before the work begins.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
send a welcome email through Send Welcome Mail, or add a row to a sheet that tracks who started what.
Watch out
run the trigger test to see which user details come with the enrolment before mapping them into the next step.
3

User Reaches Sixty-Six Percent

Instant trigger

In Zapier“Triggers when a user reaches sixty-six percent of sprint (2/3).”

Goes off when a user reaches two thirds of a sprint. It is the only progress point between enrolment and completion that Zapier reports for this app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
log the two-thirds point in a table or tell the team in its chat, so progress is visible outside the platform.
Watch out
run the trigger test to see which user and sprint details arrive with this event before you map them.
Actions

The 8 Netex Learning Cloud actions

Netex Learning Cloud gives you 8 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add User to Group

Action

In Zapier“Adds users to the selected group.”

Puts a user into a group you pick, from the group and the user's username, both required.

When to use it
move learners into the next group as they finish a sprint.
Watch out
the User field takes the username of the person to add, so map that value and check it at test.
2

Create Group

Action

In Zapier“Creates a new group.”

Creates a new group from a Name and a Code, both required.

When to use it
set up the group a new cohort will join before you add anyone to it.
Watch out
the Code must be unique; check at test the value you send before you publish.
3

Enroll Student

Action

In Zapier“Enrolls student in a course.”

Enrols a student in a course; both Course and Student are required.

When to use it
after a completed sprint, put the learner straight into the next course.
Watch out
Student expects a user ID: find it with Find User or type a custom value, and check at test that it matches.
4

Create User

Action

In Zapier“Creates a new user.”

Adds a new user to the platform. Username, First Name, Last Name, Language, Timezone and Email are all required, and the username must be unique.

When to use it
open an account for someone whose details arrive from another step.
Watch out
Language must follow ISO 3166-2, such as es or en, and Timezone a tz database name such as Europe/Paris.
5

Update Group

Action

In Zapier“Updates an existing group.”

Edits an existing group from a Code and a Name, both required.

When to use it
rename a group when its label changes elsewhere.
Watch out
check at test that the Code you send points to the group you mean.
6

Update Password

Action

In Zapier“Updates an user password.”

Sets a new password for a user, from a Username and a Password, both required.

When to use it
apply a password that an earlier step of the Zap provides.
Watch out
the change applies to the username you map, so check at test that it points to the right account.
7

Update User

Action

In Zapier“Updates an existing user.”

Changes an existing user, found by Username. First Name, Last Name, Language, Timezone and a valid Email are required too.

When to use it
keep a user's details in step with another tool.
Watch out
every one of these fields needs a value, including the ones you do not mean to change; check at test where each value comes from.
8

Send Welcome Mail

Action

In Zapier“Send a welcome email to a user.”

Sends a welcome email to a user. The User field is required and accepts a username, a user id, a commonId or an externalId.

When to use it
greet someone the moment they are enrolled in a sprint.
Watch out
check at test which user the email goes to before you publish.
Searches

The Netex Learning Cloud search

1 search step looks for data that already exists in Netex Learning Cloud, so a later step can use it.

A search step looks up something that already exists and hands it to the steps that follow. In the editor, searches sit at the bottom of the Action event list under SEARCH. Using one makes the Zap multi-step. Three settings decide what happens when the result is not clean.

1

Find User

Search

In Zapier“Finds a user by username or id.”

Looks up a user by username or id, the one required field, and passes the user's details to the next steps.

When to use it
before Enroll Student or Update User, when the trigger does not bring a value the action needs; check at test what it returns.
Watch out
whether it wants the exact value is up to the platform; check at test.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns the search into a find-or-create. Netex Learning Cloud exposes no find-or-create for Find User.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When a Netex Learning Cloud Zap breaks

Zapier attaches no help article of its own to Netex Learning Cloud. What goes wrong comes from Zapier's general rules.

The three cases below apply to any Zap built on these triggers and actions. For a step that stops on an error, see our Zapier troubleshooting guide.

  • Past sprints are not picked up

A Zap only reacts to enrolments and completions that happen after you publish it. Earlier ones stay where they are; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches can start itself again and again and burn through your tasks. Check where each step writes.
  • A sudden flood of events

When a trigger suddenly sends a huge batch, after a bulk import or a migration for example, Zapier's flood protection can hold those runs back.

FAQ

Netex Learning Cloud Zapier integration: questions

01Is the Netex Learning Cloud Zapier integration free?
Partly. Netex Learning Cloud is not a premium app, so it runs on Zapier's free plan: 100 tasks a month and an unlimited number of Zaps of two steps each, one trigger and one action. User Completed Sprint followed by Add User to Group fits. Not every operation can be used that way, though: Find User is a search, and a search makes the Zap multi-step, as does a filter or a second action. Those Zaps need a paid plan.
02How many tasks does a Netex Learning Cloud Zap use?
One per completed action. The trigger is free, so a completed sprint that starts your Zap costs nothing by itself. In the first Zap on this page, the group move and the chat message make two tasks per completion. An action that fails is not counted against your plan. With 100 tasks a month on the free plan, the number of sprint events your platform produces is what really sets the bill.
03Are Netex Learning Cloud triggers real time?
Yes, all three are instant. Netex Learning Cloud tells Zapier the moment a user is enrolled in a sprint, reaches two thirds of it or completes it, and the Zap starts right away whatever your plan. The polling interval of the plans does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the platform and cannot be switched from Zapier.
04What do you need to connect Netex Learning Cloud to Zapier?
A Netex Learning Cloud account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of Zapier: + Add connection, pick Netex Learning Cloud, sign in in the tab that opens, then grant access. Before building, make sure the courses and groups you plan to use are in that account, since Enroll Student requires a Course and Add User to Group a Group.
05Why does Update User ask for every field again?
Because Username, First Name, Last Name, Language, Timezone and Email are all required on Update User, not only the field you want to change. Every one of them needs a value for the step to run, including the fields you do not want to change, so plan where each value comes from. Find User, the one search of the integration, looks up a user by username or id; check at test which details it returns before mapping them. Adding it makes the Zap multi-step, so it needs a paid plan.
06What if the Netex Learning Cloud operation you need is not there?
Then this integration cannot do it today. The Netex Learning Cloud page on Zapier shows the current list of operations. A few gaps appear quickly: no trigger reports a new user or a new group, only sprint events do; no action deletes a user or a group; and the only progress point between enrolment and completion is two thirds. If your process depends on one of those, that part stays outside the Zap.
07Zapier, Make or n8n for Netex Learning Cloud?
Judge it on criteria, not on a winner. Step count first: a two-step Zap fits Zapier's free plan, and any search, filter or second action needs a paid plan. Trigger type second: the three triggers are instant on Zapier, so plan intervals play no part. Third, check the 12 operations against your process: the three sprint events, the eight user and group actions and Find User. Another tool only helps if it covers what is missing there, so compare what Make or n8n offer for that precise point.
