What the GoodBarber Zapier integration actually does for you
Connecting GoodBarber to Zapier means your app builder stops being an island. When someone signs up, subscribes, lets a subscription lapse or books an appointment inside your GoodBarber app, Zapier hears about it straight away and can act in GoodBarber itself or in any other tool you connect.
Three outcomes cover most of what people build here. Members sorted on arrival: New User starts the automation and Add User to Group puts the newcomer straight into the group you picked. Gifted access: when a prospect signs up, Create Internal Subscription hands them a subscription as a gift, and Update Expiration Date for Internal Subscription moves its end date later if you extend it. Your team kept in the loop: the three note actions write an internal note on a prospect, an active subscriber or an expired subscriber, so whoever opens the record sees the context.
Now the limits. Zapier only does what those 18 operations allow. There is no action to delete a user, no way to build or publish app content, and no trigger for a push notification you sent by hand. Send Push Notification sends a message by platform, and the page says nothing more about who receives it. If your plan needs something outside that list, Zapier cannot invent it.

Zapier vocabulary in one minute

- Zap
- The automation you build on Zapier. It starts with one trigger and then runs one or more actions each time that trigger happens.
- Trigger
- The event in an app that starts your Zap, such as a new prospect in GoodBarber. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or changes something for you, in GoodBarber or elsewhere.
- Task
- The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts how many of those you use.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens. All five GoodBarber triggers are instant.
- Filter
- A step that lets the Zap continue only when what arrived meets the condition you set, and quietly stops it otherwise.
- Search step
- A step that looks up something already stored in an app, like a group or a subscriber, so later steps can use what it found.
- Multi-step Zap
- Any Zap that goes beyond one trigger and one action. A second action, a filter or a search makes it one, and it needs a paid plan.

A new user or a new booking arriving costs nothing: the trigger is free. Each action that succeeds counts one task, and a failed action counts none. A Zap with three actions eats three tasks per run. The free plan gives 100 tasks a month and builds two-step Zaps only, one trigger and one action. Add a filter or a search step, like Find a Group, and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not slow GoodBarber down: its triggers are all instant.
Connect your GoodBarber account to Zapier

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your GoodBarber account linked once, then reused by every step that needs it.

Pick GoodBarber
Type GoodBarber in the search box of the dialog, select it, then click Add connection. Have your GoodBarber login ready, since the next step asks for it.

Sign in and allow access
Sign in to GoodBarber in the tab that opens and grant Zapier access to the account. If the app belongs to someone else, you need read or write access on what the Zap will touch.
Your first Zap: new member, right group

Create the Zap
Start a new Zap in the editor. This is the Build stage: you pick the app and event that start it, then what follows, and you map fields between steps.

Set the trigger
Choose GoodBarber, then New User, and select your connection. A lightning bolt shows up in the editor because this trigger is instant.

Test the trigger
Run the test. Zapier brings back the three most recent users of the connected account, so you can map a real one instead of guessing.

Find the group
Add Find a Group as the second step and type the exact name of the group. This search step makes the Zap multi-step, so it needs a paid plan.

Add the user
Add Add User to Group, map the user from the trigger and the group from the search, then test the step and read what came back.

Publish
Click Publish to switch the Zap on. From then on, each new user is handled as they arrive. Users created before that moment are not picked up.

New Active Subscriber

A prospect who subscribes to one of your products starts this Zap. It marks the step from simple sign-up to subscriber, the natural start for anything tied to a new subscription.
New Appointment Booking

Whenever a user books an appointment through your GoodBarber app, this trigger hands the booking to your Zap. Zapier puts it forward on the app page, next to New User.
New Expired Subscriber

An active subscription that runs out sends its subscriber into this trigger. It marks the end of paid access, which is exactly when a win-back message or a clean-up step makes sense.
New Prospect

Sign-ups that have not paid yet arrive here. GoodBarber calls them prospects, and this trigger reports each one as soon as the account exists, before any subscription.
New User

The broadest of the five: any user created in your app starts the Zap, whatever their status. Zapier highlights it on the app page, and it is the simplest place to begin.

Create Internal Subscription

Gives a prospect a subscription without asking them to pay, the way you would offer access as a gift. It is the one action built to hand out access as a present.
Send Push Notification

Remove User From Group

Update Note for Active Subscriber

Same idea for people with a running subscription: the Zap writes the internal note your support staff will read on that subscriber's file.
Update Note for Expired Subscriber

Update Note for Prospect

Update Expiration Date for Internal Subscription

Moves the end date of a gifted subscription. It only works on internal subscriptions, the ones created as a gift, not on subscriptions people bought.
GoodBarber searches: finding what already exists
5 search steps look for data that already exists in GoodBarber, so a later step can use it.
A search step looks something up in GoodBarber and passes it to the next step. In the editor, the five searches sit at the bottom of the Action event list, under SEARCH, and some action fields offer + Add search step to insert one for you. Whether a search wants an exact match is decided by the app. None of the five has a find-or-create version.
Find an Active Subscriber
SearchIn Zapier“Finds an active subscriber by ID.”
Looks up a subscriber with a running subscription, using their ID. The result can feed a note or a group change further down the Zap.
Find an Expired Subscriber

Retrieves someone whose subscription has ended, again by ID, so a later step can act on that lapsed record.
Find a Group
SearchIn Zapier“Finds a group by name.”
Finds a group by its name, which spares you from copying internal IDs into every Zap. It is the usual step before adding or removing a user.
Find a Prospect
SearchIn Zapier“Finds a prospect by ID.”
Brings back a prospect, someone signed up but not paying, from their ID. Useful before gifting them a subscription or writing on their file.
Find a User
SearchIn Zapier“Finds a user by login.”
The only search that works from a login instead of an ID. It finds any user of the app, whatever their subscription status.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps relying on it are skipped. Switch it on and the Zap carries on with nothing.
- Create X if it doesn't exist yet?This box would turn a search into find-or-create. No GoodBarber search offers it, so a missing group or user is never created for you.
- If multiple search results are found?Three ways out: keep the first match, which is the default, stop the Zap, or pass every match on at once.
When a GoodBarber Zap breaks
Zapier attaches no help article to GoodBarber, so the traps below are the general ones that hit every app.
Most surprises come from how Zaps behave, not from GoodBarber. Read these four before you publish, and keep the Zapier troubleshooting guide at hand if a run goes wrong.
No catch-up of the past
A Zap only reacts to what happens after you publish it. Users, prospects or bookings created before that stay untouched; moving that backlog is a separate job.A Zap that triggers itself
If a Zap writes into the same place its trigger watches, it starts itself again and again. Each loop burns tasks, so check that your action never recreates what the trigger listens to.A sudden flood held back
