What the HappyForms Zapier integration actually does
Connecting HappyForms to Zapier means one thing: each time a new activity is created in HappyForms, Zapier hears about it and can pass it to another app. HappyForms builds forms, sign-ups, surveys, polls and checkouts for WordPress. On Zapier, it can only start things.
Three results people usually build on top of New Activity. A running log: every activity becomes a row in a spreadsheet, so the team reads one table instead of the WordPress dashboard. An alert: the activity goes out as a chat message, and someone on the team reacts without opening WordPress. A follow-up: the activity feeds a CRM or an email tool, so nobody retypes a name.
Now the part the official listing skips. Zapier cannot do anything inside HappyForms. There is no action, so no Zap creates, edits or deletes a form or an entry there. There is no search either, so a Zap cannot look up an older activity. If your plan needs data going back into WordPress, this integration will not carry it.
The upside is real, though. The single trigger is instant, which matters more than a long menu when you sit on the free plan (details below).
Want the other side of the fence? The HappyForms Make integration page covers the same app on Make, and Make vs Zapier lays out how the two tools differ in general.
Zapier words, in one minute
Seven terms come back on this page. Here they are once, in plain English.
- Zap
- Your automation on Zapier: one trigger, then one or more actions that run every single time that trigger event shows up.
- Trigger
- The event that starts the Zap. Here it is a new HappyForms activity. Once the Zap is on, Zapier simply waits for it.
- Action
- What the Zap does after it starts: the step that writes a row, sends a message or moves data into another app for you.
- Task
- The unit Zapier bills. One task equals one action that completed successfully. Your plan's allowance is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment the event happens. HappyForms is instant.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set. Otherwise the run stops right there.
- Connection
- Your HappyForms account linked to Zapier once, then reused by every step and every Zap that needs that same app.
What a HappyForms Zap really costs
The trigger costs nothing. Zapier bills tasks, and only for actions that went through.
- TriggerFree, never counted
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo, works on the free plan
So a Zap with one HappyForms trigger and one action spends one task per activity. Add a second action and each activity costs two. An action that fails is not counted. The free plan covers 100 tasks a month and Zaps of two steps only: one trigger, one action. A filter or a second action turns the Zap into a multi-step Zap, which needs a paid plan. HappyForms is not a premium app, so the free plan accepts it. The interval grid below applies to polling triggers only. New Activity is instant, so it ignores it.
Connect HappyForms to Zapier in 3 steps
- 01
Open the Apps page
In your Zapier account, go to Apps, then click + Add connection. A dialog opens with a search box. Type HappyForms and pick it from the list of results.
- 02
Confirm and sign in
Click Add connection. A new tab asks you to sign in to HappyForms. Use the account that owns the forms you care about, since Zapier will only see what that account can reach.
- 03
Grant access
Allow Zapier to access the account. The connection now sits on your Apps page and every future Zap reuses it. If a form belongs to someone else, you need read access to it first.
Your first Zap: HappyForms to Google Sheets
GoalEach new HappyForms activity that passes a filter becomes one row in a shared Google Sheets file.
- 01
Build the trigger
Create a Zap, choose HappyForms as the app and New Activity as the event. Pick the connection you made earlier. Nothing else to set on this side.
- 02
Test it on real data
Run the test. Zapier brings back the three most recent activities of the account. Read one carefully: that is exactly what every later step will receive.
- 03
Add a filter
Click the plus icon, add Filter, and choose a value you spotted in the test item. Pick a text rule for text and a number rule for numbers, or it never passes.
- 04
Add the Google Sheets action
Add the action, connect Google Sheets, then map the values from the HappyForms test into the columns. With the filter, this is a multi-step Zap, so a paid plan.
- 05
Test and publish
Test the action once and check the new row. Then click Publish. From that moment, each new activity that passes the filter writes its own row.
The HappyForms trigger
1 event starts a Zap when something happens in HappyForms, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Activity
Instant triggerIn Zapier“Triggers when a new activity is created.”
This is the only door out of HappyForms. Whenever a new activity is created in HappyForms, Zapier receives it and hands its contents to the steps you placed after it. Run the trigger test before mapping anything: the sample shows which values an activity really carries.
When a HappyForms Zap breaks
Zapier lists no help article and no rate limit specific to HappyForms. What follows comes from how Zapier behaves with every app.
Most surprises with this integration are not errors at all. They are limits nobody mentioned. Four of them are worth knowing before you publish, and the Zapier troubleshooting page goes further if a Zap still misbehaves.
Old entries never show up
A Zap reacts only to activities created after it is switched on. Entries collected last month stay out of reach, and moving that backlog is a separate job.A sudden flood gets held back
If a bulk import or a migration produces a huge batch of activities at once, Zapier's flood protection can hold the trigger back instead of firing for each one.The filter step blocks the free plan
The free plan only builds two-step Zaps. Add a filter or a second action after New Activity and the Zap needs a paid plan before it can be published. No way to write back
With no action on the HappyForms side, a Zap cannot update an entry or tag it as processed. The upside: no Zap can loop back into its own trigger here.
