Overview

What the Invision Community Zapier integration actually does

It links your Invision Community site to the other tools you run, with no code. Zapier watches your community for an event (a registration, a new topic, a reported post), then does something with it, here or in another app. That chain is called a Zap. Invision Community side, everything happens the moment it happens: all 35 triggers are instant.

Three results people build first. A welcome that writes itself: New Member Registration Completed starts the Zap, and Create Forum Post drops a greeting in your introductions topic. A moderation alert outside the admin panel: Content Reported or Member Flagged as Spammer pushes the case to wherever your moderators actually look, the moment it lands. A community fed from elsewhere: Create Blog Entry, Create Calendar Event or Create Downloads File publish content that started its life in another tool.

Now the part the app page skips. Zapier gives you no action to delete a member, a topic or a post, and none to edit existing content: on the content side, actions only create. Four of the five searches look things up by their ID, not by a title, so you need that number in hand before the search can help. Find Member is the exception (name or email address). And nothing here reads what happened before the Zap was switched on.

If you are weighing tools, the same app on Make has its own page, the Invision Community Make integration, and our Make vs Zapier comparison sets out the criteria rather than a winner.

Vocabulary

The Zapier vocabulary in one minute

Eight words carry the whole page. Each one is explained here once, then used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in Invision Community that starts the Zap, such as a new topic or a finished registration. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, posts or changes something for you, like creating a forum topic.
Task
The unit Zapier bills. One action completed successfully is one task, and your plan's quota counts exactly those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment the event happens. Here, all are instant.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it quietly otherwise.
Search step
A step that looks up something that already exists, a member or a topic, so the next steps can reuse what it found.
Connection
Your Invision Community account linked to Zapier once, then reused by every step that talks to your community.
Cost

What it really costs

Invision Community is not a premium app on Zapier, so it runs on the free plan. The bill is counted in tasks, and only actions make tasks.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Cost of a triggerZero tasks
  • Instant triggers35 out of 35

The trigger never costs anything, and neither does waiting for it. Each action that goes through counts once, so a Zap with three actions burns three times what a one-action Zap does, and an action that fails is not billed. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a second action, a filter or a search and the Zap becomes multi-step, which needs a paid plan. The interval grid below only concerns polling triggers; this app has none, so your plan never slows it down.

Connect

Connect your Invision Community account in three steps

  1. 01

    Open the connections page

In Zapier, go to the Apps page of your account and click + Add connection. You need an account on your community first, with access to every area the Zap will read or write into.

  2. 02

    Pick Invision Community

Type the app's name in the search box of the dialog, select Invision Community in the results, then click Add connection. A new browser tab opens on your community's side.

  3. 03

    Sign in and allow access

Log in to your community in that tab and grant Zapier access to the account. Once that is done, the connection shows up in your list and every Invision Community step of every Zap can reuse it.

First Zap

Your first Zap: greet every new member

GoalWhen someone finishes registering, post a welcome reply in your introductions topic and add the member to a starter group.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Invision Community as the app and New Member Registration Completed as the event, then select your connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent registrations from your community, so you map the next steps on a real member rather than on a blank.

  3. 03

    Add the welcome post

Add Create Forum Post. Pick your introductions topic in Topic, a staff account in Author, and write the Post HTML, dropping in the new member's name from the trigger.

  4. 04

Add the group, or stop here

Add a Secondary Group needs the Member ID: map it from the trigger. This third step makes the Zap multi-step, so it needs a paid plan; on the free plan, stop at the post.

  5. 05

    Test, then publish

Test each action and check the result on the community itself. Then click Publish: the Zap is on, and it only reacts to registrations from that moment on.

Triggers

The 35 Invision Community triggers

35 events start a Zap when something happens in Invision Community, and 35 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Blog Entry Comment

Instant trigger

In Zapier“Triggers when a new blog entry comment is made, or approved by a moderator.”

Starts your Zap whenever somebody comments on one of the blog entries hosted on your community, including comments a moderator lets through later.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want the author of an entry to hear about new comments without having to log in and check.
Watch out
a comment held for moderation only fires on approval, so its timing follows your moderators, not the commenter.
2

New Blog

Instant trigger

In Zapier“Triggers when a new blog is created.”

Fires when a whole new blog is opened on the site, the container, not a post inside it. Good for keeping an inventory of who writes where.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you let members open their own blogs and want each new one logged in a sheet your team reviews.
Watch out
it says nothing about the entries that follow; pair it with New Blog Entry for those.
3

New Blog Entry

Instant trigger

In Zapier“Triggers when a new blog entry is posted, or approved by a moderator.”

Catches every entry published on a community blog, as well as entries that wait in the moderation queue and get approved afterwards.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you syndicate member articles to a newsletter tool or a social scheduler as soon as they go live.
Watch out
if a Zap on this trigger also runs Create Blog Entry in the same blog, it will set itself off again.
4

New Calendar Event Comment

Instant trigger

In Zapier“Triggers when a new calendar event comment is made, or approved by a moderator.”

Reacts to discussion under an event in the community calendar: each new comment, or each one a moderator approves, kicks off the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
attendees ask practical questions under a meetup and the organizer needs them forwarded to an inbox they actually read.
Watch out
busy events produce a lot of comments, and each action that follows costs a task.
5

New Calendar Event

Instant trigger

In Zapier“Triggers when a new calendar event is posted, or approved by a moderator.”

Any event added to the calendar, or approved after review, starts the Zap with that event's details ready to map.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your community runs webinars and you mirror each one into the team calendar or a promotion checklist.
Watch out
events created by a Zap through Create Calendar Event fire this trigger too; keep the two in separate calendars.
6

New Calendar Event Review

Instant trigger

In Zapier“Triggers when a new calendar event review is made, or approved by a moderator.”

Picks up the star ratings and written feedback members leave on a past event, once posted or once a moderator clears them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you collect feedback on every workshop in one spreadsheet to compare sessions over a season.
Watch out
reviews and comments are separate triggers; a post-event survey thread needs the comment one.
7

RSVP Status Change

Instant trigger

In Zapier“Triggers when a member changes the RSVP status.”

Watches attendance answers: when a member switches their RSVP on an event, the Zap runs with the new status.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep a live guest list for a physical meetup and need cancellations reflected right away.
Watch out
only events that accept RSVPs ever produce this; check that option on the event itself first.
8

New Club

Instant trigger

In Zapier“Triggers when a new club is created or approved.”

Signals the birth of a club, those small groups inside your community, whether it was created directly or approved by staff.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
community managers want a heads-up on every new club so they can greet its owner and check the rules.
Watch out
clubs awaiting approval only fire once approved, not when the request is sent.
9

Club Deleted

Instant trigger

In Zapier“Triggers when a club is deleted.”

The mirror of New Club: a club disappears from the community and Zapier hears about it straight away.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you track clubs in an external sheet and want the matching row flagged as closed rather than left stale.
Watch out
once the club is gone, Find Club has nothing left to look up; take what you need from the trigger itself.
10

A Member Joined a Club

Instant trigger

In Zapier“Triggers when a member joins a club”

Each time someone joins a club, this trigger hands Zapier the member and the club they just entered.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a paid or private club sends its newcomers an onboarding email from your mailing tool.
Watch out
it covers every club at once; add a filter if only one club matters, which makes the Zap multi-step.
11

New Pages Database Record Comment

Instant trigger

In Zapier“Triggers when a new comment is made on a record in a Pages database, or one is approved by a moderator.”

Pages databases are the custom content sections you build in Invision Community. This trigger fires on new comments left on a record there.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a directory or a knowledge base built on Pages, where record owners want to be told about questions under their entry.
Watch out
the Database field is required, so one Zap watches one database.
12

New Pages Database Record

Instant trigger

In Zapier“Triggers when a new record is posted, or approved by a moderator.”

Fires on a fresh record in one of your Pages databases, published straight away or released by a moderator.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
members submit listings, job ads or resources through a Pages database and each one must reach a review sheet.
Watch out
you pick a single database in the required Database field; several databases mean several Zaps.
13

New Pages Database Record Review

Instant trigger

In Zapier“Triggers when a new review is made on a record in a Pages database, or one is approved by a moderator.”

Brings in ratings and reviews left on records of a Pages database, with the same moderation logic as comments.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a product or supplier directory where low scores need a human to follow up quickly.
Watch out
the Database field is required here too; a review on a record in another database will not start this Zap.
14

Content Reported

Instant trigger

In Zapier“Triggers when a content item gets reported.”

As soon as a member reports a piece of content, Zapier receives the case. It is the shortest route from a report button to your moderators.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your moderation team lives in a chat tool and rarely opens the admin panel during the day.
Watch out
a heated thread can draw many reports in a row, and every alert you send is a task.
15

Content Assigned

Instant trigger

In Zapier“Triggers when a member starts following some content.”

Named for assignment, the moment a piece of content is handed to someone to deal with. Zapier's own wording for it repeats the description of Content Followed, so read the test result before building on it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
support topics are assigned to staff and the assignee should get a task in their to-do tool.
Watch out
confirm on a test item what actually fires it.
16

Content Followed

Instant trigger

In Zapier“Triggers when a member starts following some content.”

When a member starts following a topic, a blog or another item, the Zap gets told who follows what.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you measure interest in announcement threads by logging every new follower in a sheet.
Watch out
popular content collects follows quickly; send them to a single cheap action rather than a long chain.
17

Member Flagged as Spammer

Instant trigger

In Zapier“Triggers when a member gets flagged as a spammer.”

Spam defence, outside the forum: the instant an account is marked as a spammer, Zapier knows about it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you also need the address removed from your newsletter or your CRM, not just from the community.
Watch out
an honest member flagged by mistake goes through the same Zap; keep the follow-up reversible.
18

Course Enrolled

Instant trigger

In Zapier“Triggers when a member enrolls in a course.”

For communities that sell or host courses: each enrolment of a member in a course starts the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
learners get a welcome sequence or a calendar invite from another tool the minute they sign up.
Watch out
enrolments made by a Zap with Enroll a Member to a Course fire it as well, so watch for loops.
19

New Downloads File Comment

Instant trigger

In Zapier“Triggers when a new downloads file comment is made, or approved by a moderator.”

Your Downloads section hosts files; this trigger listens to the comments posted under them, approved ones included.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
people report problems with a plugin or a template in the comments and the maintainer needs a ticket each time.
Watch out
reviews on the same file use a different trigger, New Downloads File Review.
20

New Downloads File

Instant trigger

In Zapier“Triggers when a new file is posted, or approved by a moderator.”

A file lands in Downloads, uploaded by a member or released from moderation, and the Zap starts with its details.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you announce every new resource in a newsletter digest or a social post.
Watch out
an update to an existing file is not a new file; that case belongs to New Downloads File Version.
21

New Downloads File Version

Instant trigger

In Zapier“Triggers when a new file version is posted, or approved by a moderator.”

Fires when an existing file in Downloads gets a new version, which is what people who already downloaded it care about.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you publish a changelog post or alert customers each time a theme or an add-on ships an update.
Watch out
versions held for approval only fire when a moderator lets them through.
22

New Downloads File Review

Instant trigger

In Zapier“Triggers when a new downloads file review is made, or approved by a moderator.”

Collects the ratings members give to files in Downloads, the moment each review is posted or approved.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an author selling add-ons wants every rating in a dashboard to spot a bad release early.
Watch out
a Zap that answers reviews with Create Downloads File Review on the same file would review itself.
23

New Forum Topic

Instant trigger

In Zapier“Triggers when a new topic is posted, or approved by a moderator.”

One of the triggers Zapier puts forward for this app: a new discussion opens in your forums, or a moderator approves one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your support forum needs each new question copied into a helpdesk or a team chat channel.
Watch out
it ignores replies; if replies matter too, New Forum Post covers both, but never run both on the same forum.
24

New Forum Post

Instant trigger

In Zapier“Triggers when a new forum post is made, or approved by a moderator. Note that triggers both for new topics and replies to existing topics.”

Wider than New Forum Topic: it fires on every post, so on the first message of a new topic and on each reply to an existing one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you archive full conversations or track response activity across the forums.
Watch out
a Zap that posts with Create Forum Post in reaction to this trigger will feed itself; it is the classic loop of this app.
29

New Member

Instant trigger

In Zapier“Triggers when a new member account is created (whether by registering, created by an administrator, etc.), regardless of validation status.”

Catches every new account, however it appeared: a sign-up, an admin creating it by hand, or another route. Validation status does not matter.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you need a complete roster of accounts in a CRM, test and staff accounts included.
Watch out
accounts that never confirm their email still fire; for confirmed people, use New Member Registration Completed.
30

Member Deleted

Instant trigger

In Zapier“Triggers when a member account is deleted.”

When an account is removed from the community, the Zap starts so the rest of your tools can follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a deletion request must also clear the person from your mailing list and your support tool.
Watch out
after the deletion Find Member can no longer find them; work only with what the trigger brings.
31

Member Edited

Instant trigger

In Zapier“Triggers when a member account data changed.”

Highlighted by Zapier for this app: any change to a member's account data starts the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
profile changes, such as a new email address, must be copied into your CRM so both records match.
Watch out
a Zap that edits members with Update Member fires this trigger again, so never pair the two on the same accounts.
32

Member Follows

Instant trigger

In Zapier“Triggers when a member account data changed.”

By its name, it fires when a member follows another member. Zapier's description, though, is a copy of Member Edited's, which is a reason to test it before trusting it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you track which members gather an audience, to invite them as moderators or contributors.
Watch out
check the test item before mapping anything.
33

Merged Member

Instant trigger

In Zapier“Triggers when a member gets merged with another account.”

Two accounts become one: when staff merge a member into another, Zapier hears about the merge and can tell your other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your CRM holds both duplicates and needs the losing record archived.
Watch out
map carefully which of the two accounts survives before updating anything elsewhere.
34

New Member Registration Completed

Instant trigger

In Zapier“Triggers when the member registartion is completed .”

Put forward by Zapier and the cleanest signal for onboarding: it fires when a member's registration is complete, not merely started.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
welcome posts, starter groups or a first email from your marketing tool, sent only to real sign-ups.
Watch out
accounts created by an administrator may never go through registration; New Member covers those.
35

Member Warned

Instant trigger

In Zapier“Triggers when a member account gets a warning.”

A moderator issues a warning to an account, and the Zap starts, so the warning leaves a trace outside the admin panel too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep a moderation log in a shared sheet, so the team sees repeat offenders at a glance.
Watch out
warnings concern people; keep the destination private and limited to staff.
Actions

The 22 Invision Community actions

Invision Community gives you 22 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Blog Entry Comment

Action

In Zapier“Creates a new comment on a blog entry.”

Leaves a comment under a blog entry, signed by the author you set.

When to use it
the editor's reply, written in a review tool, lands under the right article.
Watch out
the Comment HTML is stored as is, so test with a real message first.
2

Create Blog Entry

Action

In Zapier“Creates a new blog entry.”

Publishes an article in one of the community's blogs, with a title and an Entry HTML body.

When to use it
posts written in your CMS or newsletter tool get a copy on the community blog.
Watch out
the HTML goes in unaltered; clean it before it reaches this step.
3

Create Calendar Event Comment

Action

In Zapier“Creates a new comment on a calendar event.”

Posts a comment on a calendar event, from the account you name as author.

When to use it
a last-minute change of room or link gets pinned under the event for attendees.
Watch out
it needs the event itself in the required Event field, so the event must already exist.
4

Create Calendar Event

Action

In Zapier“Creates a new event.”

Adds an event to a community calendar, with its title, description and start date and time, all required.

When to use it
webinars booked elsewhere appear on the community calendar without retyping.
Watch out
RSVPs are an option of this action; leave it off and RSVP Status Change will never fire for that event.
5

Create Calendar Event Review

Action

In Zapier“Creates a new review on a calendar event.”

Posts a review with a star rating on a calendar event.

When to use it
feedback gathered in a survey tool after a meetup is published on the event page.
Watch out
Star Rating is required along with the Comment HTML, so map a number, not a sentence.
6

Create Pages Database Record Comment

Action

In Zapier“Creates a new comment on a record in a Pages database.”

Comments on a record in a Pages database, which means naming both the database and the record.

When to use it
a status update from your back office is shown under the matching directory entry.
Watch out
four required fields here, Database, Record, Author and Comment HTML.
7

Create Pages Database Record

Action

In Zapier“Creates a new record.”

Adds a record to the Pages database you name, under the author you choose.

When to use it
a submission form outside the community feeds a directory or a resource library built on Pages.
Watch out
Database and Author are the only required fields listed; the rest depends on how your database is built.
8

Create Pages Database Record Review

Action

In Zapier“Creates a new review on a record in a Pages database.”

Adds a rated review, stars plus text, to a record in a Pages database.

When to use it
verified buyer reviews collected elsewhere appear in your supplier directory.
Watch out
five required fields, from Database to Comment HTML, including Star Rating.
9

Create Member

Action

In Zapier“Creates a new member.”

Creates a new account on the community.

When to use it
customers who buy a course or a membership elsewhere get their community account without signing up again.
Watch out
Zapier flags no required field for this action, so check in the editor what your community asks for.
10

Add a Secondary Group

Action

In Zapier“Adds a secondary group to a member.”

Puts a member into an extra group on top of their main one, which is how many communities open access to private areas.

When to use it
a payment confirmed in your billing tool unlocks the members-only forums.
Watch out
the Member ID is required; get it from a trigger or from Find Member.
11

Remove a Secondary Group

Action

In Zapier“Removes a secondary group from a member.”

Takes a secondary group away from a member, without touching their main group.

When to use it
a cancelled subscription closes the premium areas it had opened.
Watch out
it needs the Member ID too, so a search step usually comes first.
12

Update Member

Action

In Zapier“Updates a member.”

Changes an existing account, identified by its Member ID.

When to use it
a new email address or display name in your CRM is pushed back to the community.
Watch out
you must also provide either a Display Name or an Email Address, or the update fails.
13

Enroll a Member to a Course

Action

In Zapier“Enroll a member to course”

Registers a member in one of the community's courses.

When to use it
a purchase made on your shop gives instant access to the matching course.
Watch out
the Member ID is required, and the enrolment fires Course Enrolled, so avoid chaining the two.
14

Create Downloads File Comment

Action

In Zapier“Creates a new comment on a downloads file.”

Adds a comment to a file in Downloads, under the author you pick.

When to use it
a fix released in your bug tracker gets announced under the file people use.
Watch out
with the New Downloads File Comment trigger on the same file, it loops.
15

Create Downloads File

Action

In Zapier“Creates a new file.”

Uploads a file into a Downloads category, with a title, a description and the file itself.

When to use it
releases built in another tool are published for members to download.
Watch out
the Files field expects the file name as key and the binary content as value, not a link.
16

Create Downloads File Review

Action

In Zapier“Creates a new review on a downloads file.”

Leaves a star rating and a written review on a file in Downloads.

When to use it
reviews from a marketplace you sell on are copied next to the file on your community.
Watch out
the File and Star Rating fields are both required.
17

Create Forum Topic Post

Action

In Zapier“Creates a new post within a topic.”

Also writes a post inside a topic, and asks for the same three required fields as Create Forum Post: Topic, Author, Post HTML.

When to use it
when your editor lists both, either one does the job; pick one and keep it across Zaps.
Watch out
Zapier documents no difference between the two; test both before choosing.
18

Create Forum Post

Action

In Zapier“Creates a new post.”

Adds a reply inside an existing topic, signed by the author you set. One of the actions Zapier puts forward.

When to use it
a welcome message in an introductions thread each time someone registers.
Watch out
paired with the New Forum Post trigger on the same forum, it loops.
19

Create Forum Topic

Action

In Zapier“Creates a new topic.”

Opens a new discussion in the forum you choose, with a title, an author and the first message.

When to use it
a form answer, a support request or an announcement from another tool becomes a topic members can reply to.
Watch out
the Post HTML is saved exactly as sent, so broken HTML shows up broken.
Searches

The 5 Invision Community searches

5 search steps look for data that already exists in Invision Community, so a later step can use it.

A search step finds something that already exists so the next steps can use it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Each one adds a step, so a Zap that uses one is multi-step. This app has no find-or-create variant. Three settings decide what happens when the result is not the expected one.

1

Find Blog

Search

In Zapier“Search for a Blog by the id”

Looks up a blog from its ID and returns it to the following steps.

When to use it
a Zap must publish into a blog chosen dynamically, say one stored per author in a sheet.
Watch out
it searches by ID only, not by blog name.
2

Find Blog Category

Search

In Zapier“Search for a Blog Category by the id”

Retrieves a blog category when you already hold its ID.

When to use it
entries coming from another tool need to land in the right category, mapped from a lookup table.
Watch out
a category name typed in will not match; feed it the number.
3

Find Club

Search

In Zapier“Search for a Club by the id”

Fetches a club from its ID so its details can be reused later in the Zap.

When to use it
a member event in another tool refers to a club, and you need that club's information.
Watch out
a deleted club cannot be found any more.
4

Find Member

Search

In Zapier“Search for a member by name or email address”

The friendliest search of the five: it finds a member from a name or an email address, then hands the account over to the next steps.

When to use it
just before Add a Secondary Group or Update Member, when the incoming data only carries an email.
Watch out
with two possible matches, the multiple-results setting decides which one goes on.
5

Find Topic

Search

In Zapier“Search for a topic by the topic id”

Locates a forum topic by its topic ID.

When to use it
before Create Forum Post, when the target thread is stored as an ID in another system.
Watch out
a topic title will not work here, only its ID.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that needed it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. None of the five searches here offers it, so a missing item stays missing.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them to the next steps.
When it breaks

When an Invision Community Zap breaks

Zapier attaches no help article to this app, and no app-specific rate limit is documented. What breaks is the same as on any Zap, with this app's own way of making it happen.

Three cases cover most failures. If your Zap stops without warning, our Zapier troubleshooting page walks through the checks in order.

  • The past is never picked up

A Zap only reacts to what happens after you publish it. Members, topics or files that already existed are ignored, and moving that backlog is a separate job.
  • The Zap that feeds itself

New Forum Post plus Create Forum Post on the same forum, or Member Edited plus Update Member: the Zap writes where its own trigger listens, fires again and burns tasks fast.
  • Imports and migrations

Bring in hundreds of members or posts at once and the trigger sends a huge batch. Zapier's flood protection can hold that batch back instead of running it all.

FAQ

Questions about the Invision Community Zapier integration

01Is the Invision Community Zapier integration free?
Yes, you can start without paying. Invision Community is not a premium app, so it works on Zapier's free plan, which gives you 100 tasks a month and as many Zaps as you like. The limit is the size of each Zap: one trigger and one action. A second action, a filter or a search step makes the Zap multi-step, and that requires a paid plan. The page shows no prices on purpose, because Zapier changes its grid often.
02How many tasks does an Invision Community Zap use?
One task per action that completes successfully, and nothing else. The trigger is free, whether it fires once a day or a hundred times. A Zap that posts a welcome reply and then adds a group uses two tasks per new member. A failed action is not counted. The real risk is volume: a busy forum with New Forum Post as a trigger can eat through 100 free tasks well before the month ends.
03Does Invision Community trigger Zaps in real time?
Yes, all 35 triggers are instant. Your community tells Zapier the moment a topic, a registration or a report happens, so there is no waiting for a scheduled check, and the interval of your plan does not apply. The editor shows a lightning bolt on such Zaps. One nuance: content held for moderation only fires when it is approved, so any delay comes from your moderators' side, not from Zapier.
04What do you need to connect Invision Community to Zapier?
An account on your community, with access to the areas the Zap will read or write. In Zapier, open the Apps page, click Add connection, pick Invision Community, then sign in to your community in the tab that opens and grant access. Keep in mind that most create actions require an Author, so the account you want to post as must already exist on your community. Create that staff account first, then run your first test.
05Why does a Zap keep firing on its own posts?
Because it writes where its trigger listens. New Forum Post fires on every reply, including the ones your own Zap posts with Create Forum Post, so each reply starts a new run. The same goes for Member Edited with Update Member, or a review trigger with the matching review action. Each loop costs a task per action. Keep the trigger and the action on different forums, or stop the chain with a filter on a paid plan.
06What if the Invision Community action you need does not exist?
Then Zapier cannot do it for this app, and it is better to know before building. Content actions only create: none edits or deletes a topic or a post, and no action deletes a member (Update Member only changes an account). Searches mostly work by ID. The usual workarounds are to change the order of the steps, to use a search to get the right ID, or to look at another platform. If the gap is blocking, a specialist can tell you whether it is worth a custom build.
07Zapier, Make or n8n for Invision Community?
It depends on your criteria, not on a universal winner. Zapier wins on getting started: every trigger here is instant and the free plan covers two-step Zaps. Make suits scenarios with many branches and a tighter eye on volume. n8n fits teams who want to host the tool themselves and do not mind more setup. Compare which operations each platform offers for this app before you commit, because the lists differ.
