The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    The box that turns a search into find-or-create. None of the iClosed searches exposes it, so a missing contact has to be created in a separate step.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on together.
When it breaks

When an iClosed Zap breaks

Zapier lists no help article and no rate limit specific to iClosed. What breaks is what breaks on any app, with an iClosed twist.

Most of these cases come from how the Zap is drawn, not from iClosed itself. If a Zap keeps stopping for reasons you cannot see, the Zapier troubleshooting page goes further.

  • No catch-up on old calls

    A Zap only reacts to what happens after you publish it. The calls booked and the contacts updated last month will never pass through it; moving that backlog is a separate job.
  • The Contact Updated loop

    Contact Updated followed by Update Contact on the same person writes a change, which fires the trigger, which writes again. The task count drains fast. Same risk with Note Added and Create Note.
  • A bulk import held back

    Importing a large list of contacts at once can make a trigger send a huge batch in one go, and Zapier's flood protection may hold it back until you review it.
  • A search that comes back empty

    When Search Contact or Search Call finds nothing and the setting is left on its default, the Zap stops there and the action after it never runs.

01Is the iClosed Zapier integration free?
Yes, iClosed is not a premium app, so you can use it on the Free plan. That plan gives you 100 tasks a month and lets you build as many Zaps as you like, but each Zap is limited to two steps: one trigger and one action. The moment you want a filter, a search or a second action, for example to find a setter before assigning a lead, the Zap becomes multi-step and needs a paid plan. The trigger itself never counts, so a busy calendar does not burn your quota on its own.
02How many tasks does an iClosed Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that writes a note each time a call is booked uses one task per booking. A Zap that updates a custom field and then assigns a setter uses two, because each successful action counts separately. An action that fails is not billed. 05Why does a Zap with Contact Updated keep running on its own?
Because it writes into the very thing it watches. If Contact Updated starts the Zap and a later step uses Update Contact on that same contact, the update counts as a new change, which starts the Zap again, and so on. Each round costs tasks, so the counter climbs quickly. Break the circle by never writing back to the contact that started the Zap, and send the change to a different system instead of iClosed. The same pattern appears with Note Added and Create Note.
06What if the iClosed operation you need is not in Zapier?
Then the Zapier integration cannot do it as it stands. There is no action to book a call, for example, only to cancel one or to log its outcome, and no trigger dedicated to a lead being qualified. Look first at whether a nearby operation does the job: Contact by Status is the closest signal to a qualification, so test it on real contacts. Otherwise, check the iClosed page of another platform, or ask a specialist to look at a different route, for instance with a Zapier agency.
