Kaleyra Zapier integrationAutomate Kaleyra with Zapier.
The Kaleyra Zapier integration is a sending tool, not a listening one. It gives you 0 triggers, 3 actions and 0 searches: Kaleyra texts, messages on WhatsApp and shortens links, while another app always has to start the job.

What the Kaleyra Zapier integration actually does
Kaleyra is a cloud messaging platform. Plugged into Zapier, it becomes the last step of a workflow: something happens in another app (a form, a sheet, a booking tool), and Kaleyra sends a text or a WhatsApp message to the number that came with it. Kaleyra never starts the workflow itself.
Three results you can ship with the three actions on offer. First, an SMS sent to every lead who fills in a form, built on Send SMS. Second, a WhatsApp update sent from an approved business number with Send WhatsApp Message, handy for order or appointment notices. Third, a tidy short link produced by Shorten URLs, so a long tracking address does not eat half of your text.
Now the part the app page skips. Kaleyra offers no trigger on Zapier, so an incoming reply, a delivery receipt or a new contact in Kaleyra cannot start anything. It offers no search either, so a Zap cannot look up a past message. And WhatsApp only works with templates already approved inside the Kaleyra portal: Zapier will not write or submit them for you.
If you are still weighing the tool itself, our Zapier review lays out the trade-offs. The same app also exists on Make, covered on the Kaleyra Make integration page, which helps if your team already runs scenarios there.
Zapier words, in plain English
Eight terms come back on every line of this page. Here they are once, so the rest reads quickly.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. With Kaleyra, it always comes from another app, since Kaleyra has none.
- Action
- What the Zap does once it has started. Here: send an SMS, send a WhatsApp message or shorten a link.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those.
- Polling vs instant trigger
- Polling: Zapier checks the other app on a timer. Instant: that app warns Zapier the moment the event happens, so nothing waits.
- Filter
- A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
- Connection
- Your Kaleyra account linked to Zapier once, then reused by every step that talks to Kaleyra.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
What a Kaleyra Zap really costs in tasks
Every message that goes out is one task. The trigger on the other app costs nothing, however often Zapier checks it.
- Free plan100 tasks a month, unlimited Zaps
- Free plan step limit1 trigger + 1 action
- Kaleyra on the free planAvailable
- Failed actionNot counted
A send that fails is not counted against your plan. The catch sits in the free plan: it builds Zaps of two steps only. Shorten a link, then text it, and you already have two actions, which is a multi-step Zap and a paid plan. Same story the moment you add a filter. Kaleyra itself is open on the free plan. The cheapest setup is one trigger in another app and one send, which stays inside the 100 free tasks a month.
Connect your Kaleyra account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an existing Kaleyra account first: Zapier links to it, it does not create one.
- 02
Find Kaleyra and confirm
Type Kaleyra in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the Kaleyra side to finish the job.
- 03
Sign in and grant access
Log in to Kaleyra in that tab and allow Zapier to use the account. The connection then shows up in your list, ready for every Zap that sends through Kaleyra.
Your first Zap: text every new row of a sheet
GoalA sales rep adds a prospect to a Google Sheet, and only rows marked for SMS get a text from Kaleyra.
- 01
Pick the starting app
Start a new Zap and choose the app and event that kick things off, here a new row in your prospect sheet. Kaleyra has no trigger, so this first card always belongs to another tool.
- 02
Test the trigger
Run the test: Zapier brings back the three most recent rows of the connected sheet. Pick a real one, so every field you map later shows actual data.
- 03
Add the filter
Click the plus icon, choose Filter, then set the column to read, the rule and the value. Text rules only work on text, so check the column type. This step makes the Zap paid.
- 04
Set up Send SMS
Add Kaleyra with Send SMS. Pick a Sender ID allowed in the destination country, map the phone column into To with its country code, and choose the Message Type route.
- 05
Test, then publish
Test the action on your own number first, read what came back, then click Publish. From then on, only new rows are texted: the rows already in the sheet stay untouched.
The 3 Kaleyra actions
Kaleyra gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Send SMS
ActionIn Zapier“Send SMS to one or more active mobile numbers.”
Fires a text to one or several active mobile numbers, using a sender name you choose and the route that fits the message.
Send WhatsApp Message
ActionIn Zapier“This action sends WhatsApp messages to one or more recipients. Ensure you have an approved Whatsapp number and templates added on https://www.kaleyra.io”
Pushes a WhatsApp message from your business number to one or more contacts, built on a template stored in Kaleyra.
Shorten URLs
ActionIn Zapier“This feature allows users to shorten a URL and still lead the recipient to the required webpage. The shortened URL can be inserted into messages helping users control how the character limit is used.”
Turns a long web address into a compact link that still lands on the right page, so the rest of your text keeps its room.
When a Kaleyra Zap breaks
Zapier attaches no help article to Kaleyra, so the failures to plan for are the general ones, all on the trigger side.
Most breakdowns start in the app that feeds Kaleyra, not in Kaleyra itself. If a fix eludes you, our Zapier troubleshooting service takes over.
Old contacts never get the message
A Zap only reacts to what happens after you switch it on. The people already in your list stay silent: sending to that backlog is a separate job.The Zap sets itself off in a loop
If a later step writes back into the very sheet or form your trigger watches, the Zap fires again and again, and your task count drains fast.A bulk import stalls
Drop a large batch of rows at once, after an import or a migration, and Zapier's flood protection can hold the batch back instead of texting everyone. No double send on polled triggers
On a polling trigger, Zapier remembers the items it has already seen, so the same row does not start the Zap and the text twice.
