What the Kulea Zapier integration actually does

Kulea is a marketing automation and personalisation platform aimed at small and mid-sized companies: emails, landing pages, forms, lead scoring. Through Zapier, everything a contact does in Kulea, from opening an email to visiting a page, can reach your CRM, your sales chat or a spreadsheet, and new contacts from other tools can land in Kulea.

Three results people usually build first. Hot leads in front of sales: Lead Score Updated passes each new score, a filter keeps only the high ones, and the rep gets the name. Form fills that reach the CRM: Form Completed sends each submission to the tool sales actually works in. A clean suppression list everywhere: Unsubscribe and Email Bounced Event remove the contact from your other mailing tools, so nobody keeps writing to someone who said no.

What the integration does not do matters as much. Every trigger is a polling one: none of them is instant, so on the free plan a form fill can wait up to 15 minutes before the Zap sees it. There is one action only, Create New Contact: no update, no tagging, no adding to a campaign from Zapier. Several triggers return a partial link that you have to complete with your account's address before it works.

The trigger costs nothing, and Zapier checking Kulea for new events is free however often it runs. Each action that completes counts as one task; one that fails does not. Watch Lead Score Updated: every score change is a run, and Kulea itself warns it can eat a lot of tasks. The free plan only builds two-step Zaps. A filter, a search or a second action makes the Zap multi-step, and that needs a paid plan.

Connect your Kulea account in three steps

    Open the connection dialog

    In Zapier, open the Apps page of your account and click + Add connection. Type Kulea in the search box and select it. You need an existing Kulea account before you start.

    Sign in to Kulea

    Click Add connection. A new tab opens on Kulea: sign in with the account that owns the contacts, emails and pages your Zaps will follow, or that has write access to them.

    Grant Zapier access

    Approve the access request in that tab. The connection then appears on the Apps page and in every Kulea step you add, so you only do this once per account.

When to use it

this is the only action, there is no update; to avoid duplicates, use Find Contact with its find-or-create option instead.

When to use it
before adding someone from a webinar list, check whether they are already in Kulea.
Watch out
the editor also shows Find or Create Contact; it is this same search with the create box ticked, not a separate operation, and it is the cleanest way to avoid duplicates.

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switch it on and the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
    Ticking this turns Find Contact into Find or Create Contact: the setting above disappears, and the step asks for what it needs to create the missing contact.
  3. If multiple search results are found?
    Three ways out: keep the first match, which is the default, stop the Zap, or hand every match on at once.
When it breaks

When a Kulea Zap breaks

Zapier attaches no help article to Kulea, so the problems you will hit are the general ones. With ten polling triggers on marketing events, they show up quickly.

Most broken Kulea Zaps fall into one of these four cases. If the cause stays unclear, the Zapier troubleshooting guide is the next stop.

  • Past opens and clicks never arrive

    A Zap only reacts to what happens after you publish it. Opens, clicks and form fills from before never trigger it; moving that history is a separate job.
  • Create New Contact loops

    A Zap on New or Updated CRM Data that ends with Create New Contact writes where its own trigger watches. Each run can start the next one and drain your tasks.
  • A big send gets held back

    After a large campaign, Email Opened Event can return a huge batch in one check. Zapier's flood protection may hold that batch back.
  • The same event never runs twice

    On polling triggers, Zapier remembers what it has seen. An event already picked up never starts the Zap a second time.

Kulea Zapier integration: frequently asked questions

01Is the Kulea Zapier integration free?
Yes, Kulea is not a premium app, so it works on the free Zapier plan, which gives 100 tasks per month and unlimited Zaps. That plan only builds two-step Zaps, one trigger and one action. Adding a filter, a search such as Find Contact, or a second action makes the Zap multi-step, and multi-step Zaps need a paid plan. Since many Kulea Zaps need a filter to stay useful, plan for that early.
02How many tasks does a Kulea Zap use?
One task per action that succeeds; the trigger and Zapier's checks are free. The risk with Kulea is volume: Email Opened Event, Webpage Visit and Lead Score Updated can fire very often, and Kulea itself warns that score updates may use an excessive number of tasks. Put a filter right after the trigger, so only the events that matter reach the paid action. An action that fails is not counted.
03Does Kulea trigger Zaps in real time?
No. All 10 Kulea triggers are polling ones: Zapier checks Kulea at a fixed interval and picks up what is new. On the Free plan that means every 15 minutes, on Professional every 2, on Team and Enterprise every minute. On paid plans you can also run a check by hand from the editor. If a form fill must reach sales within seconds, Kulea through Zapier will not get you there on any plan, since even the fastest check runs once a minute.
04What does it take to connect Kulea to Zapier?
A Kulea account and a Zapier account. On the Apps page in Zapier, click + Add connection, choose Kulea, sign in in the tab that opens and approve the access. Use the account that owns the contacts, emails and pages you want to follow. Then check that your source data carries an email address, because both Create New Contact and Find Contact require one. You do this once per account. Every Kulea step in every Zap then reuses it.
05Why are the Kulea email and page links incomplete?
Because several Kulea triggers only return the end of the address. Unsubscribe, Email Bounced Event and Email Opened Event need https://{account}.prod.kulea.marketing/email/ in front; Form Completed and Landing Page Visit Event need the same address ending in /pages/. Replace {account} with your ma2id, visible in your Kulea URL. For Link Clicked Event, the URL sits inside a text field and a Zapier text step can extract it. Do it in a step before the action that needs the link.
06What if the Kulea action you want does not exist?
There is a single action, Create New Contact, and a single search, Find Contact with its find-or-create option. Updating a contact, tagging it or adding it to a campaign is not available from Zapier. The usual workaround is to let Kulea's own automation react to the new contact, and use Zapier only to bring contacts in and push signals out. For a missing operation, raise the request with Kulea. Note that chaining Find Contact before another step makes the Zap multi-step, so it needs a paid plan.
07Zapier, Make or n8n for Kulea?
It depends on your criteria rather than on a winner. Zapier offers a ready-made Kulea app with 12 operations, quick to set up for a marketing team without developers, but every trigger is polling. Make and n8n are worth weighing if cost per run on high-volume events or control over the logic matters more to you. On those platforms, check first that a ready-made Kulea module exists before comparing anything else.
