What the KwesForms Zapier integration does for you

KwesForms is a form service aimed at developers: it handles validation, spam filtering and notification emails for forms coded into a website. On Zapier, it plays one role. When a visitor submits one of your forms, Zapier picks up that submission and passes its answers to the apps you place after it. KwesForms sends data out; nothing is written back into it.

With New Submission as the only operation, the value depends on what comes next. Three common results. A live response sheet: each submission becomes a row the whole team can sort and filter. A contact that creates itself: a contact form fills your CRM without copy and paste. A quick heads-up: a chat or email message tells the right person a request just arrived.

Now what this integration does not do. Zapier cannot create, edit or delete anything in KwesForms: there are no actions. It cannot look up an older submission, since there is no search. And it does not import the submissions you collected before the Zap went live.

One more thing that shapes the experience: New Submission is a polling trigger. Zapier checks your form on a timer instead of being told right away, so on the free plan a submission can wait up to 15 minutes before the Zap runs. For a contact form, that is usually fine. For a demo request where minutes matter, a paid plan shortens the wait.

Connect KwesForms to Zapier in three steps

    Open your connections

    In your Zapier account, open Apps and click + Add connection. Before going further, make sure your KwesForms account already holds at least one form that receives submissions.

    Select KwesForms

    Type KwesForms in the search box of the dialog, select it, then click Add connection. Zapier opens a new browser tab with the KwesForms sign-in screen.

    Sign in and grant access

    Log in to KwesForms in that tab and allow Zapier to read your account. From then on, every KwesForms Zap reuses that connection, so you do this only once.

    Create the Zap

    Start a new Zap, choose KwesForms as the app that starts it and pick New Submission. Select your connection, then the contact form of your site.

    Test the trigger

    Run the test. Zapier fetches the three most recent submissions of that form, so you work on real answers. Send one test entry first if the form is brand new.

    Add a filter

    Click the plus icon and add Filter. Keep only submissions where the email field exists. With this step, the Zap becomes multi-step and needs a paid plan.

    Add the spreadsheet row

    Add your spreadsheet app as the action and map each form answer to a column. Every row created this way is one task on your plan.

    Test and publish

    Run each step once and check the new row. When it looks right, click Publish. From then on, Zapier checks the form at your plan's interval.

When a KwesForms Zap breaks

Zapier links no help article to KwesForms, so the cases below are Zapier's general limits as they apply to a form that feeds other apps.

  • Earlier submissions never come through

    A Zap only reacts to what happens after it is switched on. Entries collected before publishing stay in KwesForms; moving that backlog is a separate job.
  • A submission shows up late

    New Submission is a polling trigger. On the free plan, Zapier checks every 15 minutes, so a delay of that order is normal, not a fault.
  • A spike of entries is held back

    If the form suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • The same entry never runs twice

    Zapier remembers what it has already seen on a polling trigger. Editing an old submission will not restart the Zap for it.

Yes, it works on Zapier's free plan, since KwesForms is not a premium app. The free plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: the New Submission trigger and one action in another app. A filter, a search or a second action turns it into a multi-step Zap, which needs a paid plan. A simple form-to-sheet or form-to-CRM Zap therefore runs at no cost beyond the tasks it spends.
02How many tasks does a KwesForms Zap use?
Only the actions count. The New Submission trigger never costs a task, and neither does Zapier checking the form for new entries, however often it looks. Each action that succeeds afterwards costs one task, and a failed action is not counted. One submission feeding a single action spends one task; feeding three actions spends three. Some apps and actions take more than one task when they complete, so check the ones you add.

No. New Submission is a polling trigger: Zapier checks your form at regular intervals rather than being told the moment someone submits. The interval depends on your plan: every 15 minutes on Free, 2 minutes on Professional, and 1 minute on Team and Enterprise. The type is set by the app and cannot be changed from the editor. On paid plans you can also run a check by hand from the editor when testing.
04What does it take to connect KwesForms to Zapier?
A KwesForms account you can sign in to, with at least one form already created, plus a Zapier account. In Zapier, open Apps, click + Add connection, search for KwesForms and click Add connection. Sign in to KwesForms in the tab that opens and grant access. If the form belongs to someone else, you also need access to it. The connection is then reused by every KwesForms Zap you build, with nothing to redo.
05Can one Zap watch every KwesForms form at once?
No, each Zap watches a single form. The New Submission trigger requires you to choose one form, and that field cannot be left empty. If you run a contact form and a newsletter form, build one Zap for each, and name them after their form so you can tell them apart. That also keeps the field mapping clean, since every form has its own questions. On the free plan, unlimited Zaps make this approach cost nothing extra beyond tasks.
06What if the KwesForms operation required is missing?
Zapier only offers what KwesForms exposes, and today that is one trigger. If the operation you are after, such as updating a submission or looking one up, does not exist, it cannot be added from the editor. The usual workaround is to handle that step in another app within the same Zap, or to check whether another automation platform covers KwesForms differently before you build. Comparing the operation lists first saves you from finding the gap halfway through a project.
