Overview

What the HappSales Zapier integration actually does

HappSales is a CRM built around leads, contacts and sales pipelines. Its Zapier integration is a one-way door: another app notices something, and Zapier writes a fresh lead into HappSales for you. Nothing flows back out. If that matches the job, the setup is short.

Three things come out of it, and all three go through the same action, Create Lead. First, a lead record with a clear title, the only field HappSales insists on. Second, a lead that carries its contact details, so nobody retypes a name or an email address. Third, a lead that records where it came from, since the action accepts source details alongside the contact ones.

Now the honest part. Zapier offers no HappSales trigger, so a change inside HappSales (a new lead, a stage moved) can never start an automation. There is no search either: Zapier cannot check whether a lead already exists before creating it. Run the same input twice and you get two leads. And there is no action to update or delete a lead. Each lead it creates counts as one task on your plan.

So think of it as an inbox for HappSales, not a sync. If two-way behavior matters, the Make vs Zapier and n8n vs Zapier comparisons are there to open before you commit.

Vocabulary

Zapier words, in one minute

Seven terms show up on this page. Here they are in plain words.

Zap
The automation itself: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something, here a new lead in HappSales.
Task
The unit Zapier bills. One task equals one action the Zap finished successfully; your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Connection
Your HappSales account linked to Zapier once, then reused by every step that talks to HappSales.
Cost

What a HappSales Zap really costs

HappSales is not a premium app, so it works on the free plan.

  • Premium appNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • BilledEach lead created successfully
  • Not billedThe trigger, and failed actions

The trigger never costs a task, however often Zapier checks the source app. Each lead created successfully counts as one task; a failed attempt costs nothing at all. The free plan gives 100 tasks a month, unlimited Zaps and two steps per Zap: one trigger, one action. That is precisely the shape of a HappSales Zap. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan.

Connect

Connect HappSales to Zapier in three steps

  1. 01

    Open your app connections

In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box. You need an existing HappSales account before going further.

  2. 02

    Pick HappSales

Type HappSales in the dialog, select it, then click Add connection. A brand new browser tab opens on the HappSales side, where the actual sign-in happens.

  3. 03

    Sign in and grant access

Log in to HappSales in that tab and allow Zapier to reach the account. The connection is saved once and reused by every Zap that creates leads, so you only go through this a single time.

First Zap

Your first HappSales Zap

GoalEvery new item in your source app becomes a lead in HappSales.

  1. 01

    Build the trigger

Create a Zap and pick the app where leads first show up, then the event that should start things. HappSales has no trigger of its own, so this first step always lives in another tool.

  2. 02

    Test the trigger

Run the test. Zapier pulls the three most recent items from the connected account, so you can map the next step on real data instead of a guess.

  3. 03

    Add Create Lead

Add the action step, choose HappSales and pick Create Lead. Select your HappSales connection, then map Lead Title plus whatever contact and source details the trigger brought in.

  4. 04

    Test the action

Test the step and open HappSales to see the lead it created. Fix the mapping here, while it is cheap, rather than after the Zap has created a pile of badly filled leads.

  5. 05

    Publish

Click Publish to switch the Zap on. From now on it reacts to new items only; anything that existed before stays where it is.

Actions

The HappSales action, explained

HappSales gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Lead

Action

In Zapier“Creates a new sales lead in HappSales with all relevant contact and source details.”

Adds a new lead to HappSales, filled with the contact details and the source information you map from the earlier step.

When to use it
whenever a prospect surfaces in another tool and your sales team should see it in the HappSales pipeline without anyone copying it over.
Watch out
Lead Title is mandatory, and since there is no search, the action creates a duplicate each time the same input arrives again.
When it breaks

When a HappSales Zap breaks

Zapier attaches no help article to HappSales, so the traps below are the general ones that hit any Zap of this shape.

Most problems show up as either missing leads or too many of them. Here is where each comes from. If you need a hand reading a failed run, see our Zapier troubleshooting page.

  • Old records never arrive

A Zap only reacts to what happens after you switch it on. Leads sitting in your source app from before stay there; moving that backlog is a separate job.
  • The Zap feeds itself

If the trigger watches the same place the Zap writes into, each run sets off the next one and the task count drains fast.
  • A bulk import stalls

A source that suddenly returns a huge batch, after an import or a migration, can be held back by Zapier's flood protection.
  • Duplicates in HappSales

Zapier remembers what a polling trigger already saw, so one item won't fire twice. A new item with the same contact still creates a second lead.

FAQ

HappSales Zapier integration: common questions

01Is the HappSales Zapier integration free?
Yes. HappSales is not a premium app, so it runs on Zapier's free plan. That plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A HappSales Zap fits that shape exactly, since it pairs a trigger in another app with Create Lead. You only move to a paid plan if you add a filter, a second action or a search, because any of those turns it into a multi-step Zap.
02How many tasks does creating a HappSales lead use?
One task per lead created successfully. The trigger in your source app costs nothing, no matter how often Zapier checks it, and an attempt that fails is not counted against your plan either. So a Zap that creates fifteen leads in a month uses fifteen of the free plan's 100 tasks. If you later add a second action to the same Zap, each successful action is counted on its own, and every run then costs two tasks instead of one.
03Does HappSales update in real time through Zapier?
It depends on the trigger, because HappSales has no trigger of its own. If the source app offers an instant trigger, it reports the event to Zapier straight away and the lead appears without waiting, whatever your plan. If the trigger is a polling one, Zapier checks on a timer: every 15 minutes on Free, every 2 on Professional and every minute on Team and Enterprise. The editor shows a lightning bolt on instant triggers, so you can tell before publishing.
04What does connecting HappSales to Zapier require?
An existing HappSales account and the right to create leads in it. From the Apps page in Zapier you click + Add connection, search for HappSales, then sign in on the tab that opens and grant access. The connection is stored once and every Zap you build afterwards reuses it. If the account you sign in with can only read data owned by someone else, the Create Lead step will not be able to write anything there.
05Why does Create Lead fail when Lead Title is empty?
Because Lead Title is the one required field of the action. If the trigger step brings in an item where the field you mapped is blank, HappSales has nothing to name the lead and the step stops. The fix is in the mapping: point Lead Title at a field the source always fills, or combine a couple of fields so it is never empty. A failed run like this costs no task, but the lead is not created either.
06What if the HappSales operation you need isn't on Zapier?
Then Zapier cannot do it with HappSales today. The integration only offers Create Lead: there is no trigger, no search, and no step to update or delete a lead. That means no Zap can start from a HappSales event, and none can check for an existing lead before writing. If your process depends on one of those, plan it outside this integration, or confirm with HappSales whether another route exists before building around it.
07Zapier, Make or n8n for HappSales?
Compare on three criteria rather than looking for a winner. First, coverage: on Zapier, HappSales offers a single action, so check what each tool exposes for this CRM before choosing. Second, shape: a two-step Zap fits Zapier's free plan, while anything longer needs a paid plan. Third, who maintains it: a Zap is built from menus, which suits a sales team that wants to own the automation without writing code.
