LeadCapture.io Forms Zapier integrationAutomate LeadCapture.io Forms with Zapier.
The LeadCapture.io Forms Zapier integration gives you 1 trigger, 0 actions and 0 searches. That single trigger, New Lead, fires the moment a form captures someone, and hands the lead to any other app you use. Here is how it works and what it costs.

What the LeadCapture.io Forms Zapier integration does
LeadCapture.io lets you build interactive forms that collect leads wherever you place them. The Zapier integration takes each new lead from those forms and passes it to another app on its own, so a lead never sits in the form tool waiting for someone to export it.
Everything starts from one trigger, New Lead. Three results you can build on top of it. First, a running list: each lead from a given form is added as a row in your spreadsheet, without exports. Second, a sorted intake: a filter after the trigger lets only the leads that meet your condition go further (that filter needs a paid plan). Third, one Zap per form: since the trigger asks which form to watch, you can send each form's leads to a different place.
The best news on this page: New Lead is an instant trigger. LeadCapture.io tells Zapier itself when a lead comes in, so the Zap starts at once, even on the free plan, where polling triggers only check every 15 minutes.
What Zapier does not do here: LeadCapture.io Forms has no action and no search on Zapier. A Zap cannot create a form, edit a lead or look one up inside LeadCapture.io. Data flows one way, out of the form tool. If you are still choosing a platform, see our n8n vs Zapier comparison.
Zapier vocabulary in one minute
Seven words come back across this page. Here they are, once, in plain terms.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Here, it is New Lead.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you in another app.
- Task
- The unit Zapier bills: one action that completes successfully. The number on your plan counts those, nothing else.
- Polling vs instant
- A polling trigger is checked on a timer for new items. An instant trigger is reported by the app the moment it happens.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Connection
- Your account on an app, linked to Zapier once and then reused by every step that touches that app.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes it one, and it then needs a paid plan.
What it really costs
LeadCapture.io Forms is not a premium app, so it runs on the free plan. Since the app only offers a trigger, it never spends a task on its own side.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, two-step Zaps only
- New LeadInstant, costs no task by itself
- What spends a taskEach action that succeeds after it
A trigger never costs a task. What you pay for is the action that follows in the other app: each one that succeeds counts as one task, and one that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each one limited to two steps, a trigger and an action. Add a filter or a second action and it becomes a multi-step Zap that needs a paid plan. The interval grid below applies to polling triggers only. New Lead is instant, so it fires straight away whatever your plan.
Connect LeadCapture.io Forms to Zapier in 3 steps
- 01
Open your connections
In your Zapier account, open the Apps page and click + Add connection. In the dialog that appears, search for LeadCapture.io Forms by name and pick it from the list.
- 02
Sign in to LeadCapture.io
Click Add connection. A tab opens on LeadCapture.io: sign in with the account that owns the forms you want to watch. You need an account on the app, plus access to any form you do not own yourself.
- 03
Grant access
Allow Zapier to reach the account. The connection then appears on the Apps page, and every Zap step that uses LeadCapture.io Forms reuses it, so this is done once per account.
Your first LeadCapture.io Forms Zap
GoalEach lead from one LeadCapture.io form that passes a filter becomes a row in your spreadsheet.
- 01
Pick the trigger
Create a Zap, choose LeadCapture.io Forms as the starting app and New Lead as the event, then select the connection you just made.
- 02
Choose the form
Pick the form to watch from the list of your account. Then run the test: Zapier brings back the three most recent leads, so you map fields on a real one.
- 03
Add the filter
From the plus icon, add a Filter step and fill its three boxes: the field to look at, the rule, the value to compare with. The Zap is now multi-step, so it needs a paid plan.
- 04
Add the action
Add the action in your spreadsheet tool, pick its connection, then map each field of the lead into the right column of the new row.
- 05
Test, then publish
Run each step once and read what came back before moving on. When the row looks right, click Publish to switch the Zap on.
The LeadCapture.io Forms trigger on Zapier
1 event starts a Zap when something happens in LeadCapture.io Forms, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Lead
Instant triggerIn Zapier“Triggers when a new lead is pushed to the system.”
Starts your Zap each time a lead is captured by the LeadCapture.io form you chose, and carries that lead's answers into the steps that follow, ready to be mapped into another app.
When it breaks
Zapier ties no help article to LeadCapture.io Forms and no rate limit specific to the app is documented. What breaks here is what breaks on any Zap.
Four situations explain most surprises, and none of them shows a clear error. Know them before you publish. If a Zap still misbehaves, see our Zapier troubleshooting guide.
Past leads are not picked up
A Zap only reacts to leads captured after it is switched on. Leads already sitting in the form are never sent; moving that backlog is a separate job.A Zap that sets itself off
If a Zap writes into the very place its own trigger watches, it starts again and again, and burns through your task count fast.A sudden flood held back
When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back. The wrong form is watched
New Lead listens to the single form picked in the step. Leads from your other forms never reach this Zap, which looks like a silent failure.
