Overview

What the LeadSigma Zapier integration does

LeadSigma is a tool for keeping track of leads and following up with them. On Zapier it works as a destination: other apps start the Zap, and LeadSigma receives the result. You can create leads, find one that already exists, and update it, without copying details across by hand.

Three results are within reach. Leads that file themselves: each new form response becomes a lead through Create a Lead, ready for follow-up. Leads that stay current: Find Lead locates the right record and Update Lead changes it when something happens elsewhere. A cleaner intake: a filter before Create a Lead keeps only the responses that meet your rule, so your list does not fill with noise.

Now what Zapier does not do here. LeadSigma has no trigger on Zapier, so a new or changed lead inside LeadSigma cannot start anything. If you want LeadSigma activity to reach another app, this integration will not carry it. Update Lead also needs the lead's identifier, which in practice means a Find Lead step first, and that makes the Zap multi-step.

To see how other platforms handle the same job, our n8n vs Zapier comparison sets out the criteria, and Zapier training helps if this is your first multi-step Zap.

Vocabulary

Zapier words in one minute

A few Zapier terms carry this page. Here they are in everyday words.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. LeadSigma has none, so your trigger always comes from another app, such as a form tool.
Action
What the Zap does once started. LeadSigma has two: Create a Lead to add one, Update Lead to change one.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's monthly allowance is a count of tasks.
Polling vs instant
Polling: Zapier checks the trigger app on a timer. Instant: that app tells Zapier itself the moment the event happens.
Filter
A step that lets the Zap go on only when the data that arrived meets a condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so later steps can use it. Find Lead is LeadSigma's.
Connection
Your LeadSigma account linked to Zapier once, then reused by every LeadSigma step in every Zap.
Cost

What a LeadSigma Zap costs

The trigger in your other app costs nothing. Every LeadSigma action that succeeds, Create a Lead or Update Lead, counts as one task.

  • Trigger0 tasks
  • Each successful action1 task
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. A trigger plus Create a Lead fits. Anything with Find Lead does not: a search step makes the Zap multi-step, and so does a filter or a second action, which means a paid plan. A failed action is not counted. LeadSigma is not a premium app. The interval grid below applies to your trigger app when it works by polling.

Connect

Connect LeadSigma to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. You need a LeadSigma account, plus write access to any lead you do not own yourself but want the Zap to change.

  2. 02

    Pick LeadSigma

Type LeadSigma into the search box of the dialog, select it, then click Add connection. A new tab opens on the LeadSigma side so you can sign in to the right account.

  3. 03

    Sign in and grant access

Log in to LeadSigma in that tab and allow Zapier to reach the account. The connection then shows on your Apps page and every LeadSigma step reuses it from then on.

First Zap

Your first LeadSigma Zap

GoalTurn each new form response that meets your rule into a lead in LeadSigma.

  1. 01

    Start from your form

Create a new Zap and choose your form tool with the event for a new response. LeadSigma has no trigger, so this first step always comes from another app.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent responses, so you can map the next steps on a real submission rather than on blank sample data.

  3. 03

    Add a filter

Click the plus icon, choose Filter and fill the three boxes: the field to look at, the rule, the value. Only matching responses go on. The Zap is now multi-step, so a paid plan.

  4. 04

    Add Create a Lead

Add LeadSigma and choose Create a Lead. Pick the required Account and Team, then map the response details into the lead fields that came up in the editor.

  5. 05

    Test and publish

Run the action once and check the new lead in LeadSigma. When it looks right, click Publish, and every matching response from then on becomes a lead.

Actions

The 2 LeadSigma actions

LeadSigma gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Lead

Action

In Zapier“Creates a lead in LeadSigma”

Adds a brand-new lead to LeadSigma from whatever arrived in the trigger, so follow-up can start in LeadSigma without retyping a thing.

When to use it
new contacts arrive through a form or another tool and belong in your LeadSigma follow-up list.
Watch out
Account and Team are both required; without access to them, the step cannot be completed.
2

Update Lead

Action

In Zapier“Update a current lead.”

Changes a lead that already sits in LeadSigma when something happens in another app, so the record reflects the latest situation.

When to use it
an event elsewhere should move an existing lead forward in LeadSigma.
Watch out
it needs the Lead Id, which comes from the id returned by a Find Lead step placed just before it.
Searches

The LeadSigma search

1 search step looks for data that already exists in LeadSigma, so a later step can use it.

A search step looks for something that already exists so later steps can use it. In the editor, Find Lead sits at the bottom of the action list under its own heading, SEARCH. Three settings decide what happens next.

1

Find Lead

Search

In Zapier“Looks up the best matched lead.”

Looks inside LeadSigma and returns the lead that matches best, along with its id, so a later step knows exactly which lead to work on.

When to use it
you want to change a lead with Update Lead and need its identifier first.
Watch out
Organization is required, and how close the match must be is decided by LeadSigma, not by Zapier.

The three settings every search exposes

  1. Successful if no search results are found?
Left at its default, a Find Lead that finds nothing stops the Zap there, and the steps that depended on it are skipped. Turned on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On other apps this box turns a search into find-or-create. LeadSigma exposes no find-or-create, so a missing lead has to be created with Create a Lead in a separate step.
  3. If multiple search results are found?
Three ways out when several leads match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a LeadSigma Zap breaks

Zapier attaches no help article to LeadSigma and publishes no app-specific limit. The cases below come from Zapier's rules and from the required fields.

These four cover what usually goes wrong with an action-only app. If your Zap still fails after these checks, our Zapier troubleshooting page goes further.

  • Update Lead has no lead to work on

Without a Find Lead step before it, Update Lead has no Lead Id. And if Find Lead finds nothing, its default setting stops the Zap there.
  • Old responses never become leads

A Zap only reacts to what happens after it is switched on. Contacts that existed before publishing are not picked up; importing them is a separate job.
  • The Zap keeps restarting itself

If a step writes back into the very place your trigger watches, each write starts the Zap again and burns through tasks fast.
  • A big import gets held back

When the trigger app suddenly sends a huge batch, after a bulk import for example, Zapier's flood protection can hold those runs back.

FAQ

LeadSigma and Zapier: common questions

01Is the LeadSigma Zapier integration free?
Yes, LeadSigma is not a premium app, so it works on the free Zapier plan: 100 tasks a month and unlimited Zaps. The limit is two steps per Zap. A form response turned into a lead with Create a Lead fits. Filtering the responses first does not, and neither does anything using Find Lead, since a filter or a search makes the Zap multi-step, which needs a paid plan. Plan for a paid plan if you want to update leads.
02How many tasks does a LeadSigma Zap use?
One task per successful action. In the form-to-lead Zap, each response that passes the filter costs one task, for Create a Lead; responses the filter stops cost nothing. The trigger in your form tool is free, and an action that fails is not counted. A search step is a step, not an action, but it still makes the Zap multi-step. Count your monthly form responses, keep in mind how many the filter will let through, and size your plan from that.
03Can LeadSigma start a Zap, and is it real time?
No, LeadSigma has no trigger, so a Zap always starts in another app and timing depends on that app. If its trigger is instant, it tells Zapier the moment something happens and your LeadSigma action runs straight away, whatever your plan. If it works by polling, Zapier checks on a timer set by your plan: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. To start, pick the app where leads first appear.
04What does it take to connect LeadSigma to Zapier?
A LeadSigma account, with write access to any lead you do not own yourself but want the Zap to change. In Zapier, open the Apps page, click + Add connection, search for LeadSigma, then click Add connection. Sign in in the tab that opens and grant access. Then check the required fields: Create a Lead asks for an Account and a Team, Find Lead for an Organization, so the connected user needs access to them before those steps can be completed.
05Why does Update Lead ask for a Lead Id?
Because LeadSigma needs to know exactly which lead to change, and the trigger app does not know LeadSigma's identifiers. The usual pattern is Find Lead first, then Update Lead, mapping the id that Find Lead returns into the Lead Id field. That chain is three steps, so it needs a paid plan. If Find Lead finds nothing, the default setting stops the Zap, which avoids updating the wrong lead by accident.
06What if the LeadSigma trigger you need does not exist?
Then Zapier cannot do it with LeadSigma today. The app offers 2 actions and 1 search, and 0 triggers: nothing that happens in LeadSigma can start a Zap. You can still feed LeadSigma from other apps and keep leads up to date with Find Lead and Update Lead. If you need LeadSigma events to reach other tools, another automation platform may expose the app differently, so check before you build around it.
07Zapier, Make or n8n for LeadSigma?
It depends on criteria, not on a single winner. On Zapier, LeadSigma covers creating, finding and updating leads, quick to set up if your form or booking tools already run there. The questions to weigh: do you need LeadSigma events to start automations, how each platform bills the three-step find-then-update chain at your volume, and who will maintain it. Compare what Make and n8n offer for this app on those points.
